TRUSTEES REPORT FOR THE YEAR ENDED 30[TH] JUNE 2023

GOVERNING DOCUMENT

The Ferndown Rotary Charitable Incorporated Organisation (CIO) was founded on 22[nd] June 2016 by the Rotary Club of Ferndown.

On 10[th] July 2019, following the merger with the Rotary Club of Parley, the name of the CIO was changed to Ferndown & Parley Rotary Charitable Incorporated Organisation.

The objects of the CIO are: The relief of the poor and needy in Ferndown & Parley, any other part of the United Kingdom or elsewhere in the world, or such other charitable purpose, institution, or object as the members of the CIO shall in duly constituted meeting direct.

TRUSTEES

The trustees of the CIO are the President, the President Elect, the Secretary and the Treasurer of the Rotary Club of Ferndown & Parley. Their term of office is 1[st] July to 30[th] June the following year. The following were trustees for the year ended 30[th] June 2022.

MEMBERSHIP

The CIO finished the year with a membership of 33, an increase of 4 on the prior year. Current indications are that this upward trend will continue into 2023-24, with potential members already visiting the Club.

We are also pleased to report that this year has seen a much stronger interest from Community Partners, contributing a total of over £500 to support our fundraising activities. Again, there is a realistic expectation that this support will continue into the next Rotary year.

We recognise the risk that this success could lead to complacency and that we must sustain our efforts to gain and retain both members and partners.

FINANCIAL RESULTS AND ACTIVITIES

Gross income for the year was £36,135.28 (prior year - £25,747.54) and some £17,833.52 (prior year - £17,547.84) was applied to good causes.

Taking account of costs, our funds on deposit have increased by £8392.27 over the year. This is largely due to our two June events adding ca £12,000 to our funds but with outstanding costs and donations carrying over to the 2023-24 year.

As with other years our ‘marquee’ fundraising events provided most of our funding:

Additionally, we ran two fundraising collection campaigns: the first, a Christmas Collection over two weekends at a local supermarket with funds raised distributed equally to 3 local charities; the second, during February 2023, raised funds to support international flood and earthquake disasters, those funds being dispensed via donations to the charity Shelterbox who provide local in-country support.

Our volunteer support to the annual Ellingham country show resulted in a generous donation from the show organisers that contributed to our central funds.

The Club’s weekly raffle was organised specifically for donations to Rotary Foundation UK.

International donations were made to support projects run by in-country Rotary clubs:

Running two key events in the last month of the Rotary Year always results in a high level of the funds raised being held on account at the close of the year. They remain available for good causes in the following year.

FINANCIAL GOVERNANCE

The work of the CIO continues to be organised through committees that recommend proposed activities or projects to the CIO’s Council. Proposals adopted by the Council are put forward to the membership and Trustees of the CIO for their support and agreement.

In the past, the committee organising a fundraising activity had been solely responsible for recommending the use of the funds raised, and the CIO’s funds were notionally attributed to those fundraising committees: Service and International.

The decision at the CIO AGM in November 2021, reported last year, to centralise all Unrestricted funds has proven to be a successful and flexible way to manage those funds with donations being made at the discretion of the members, CIO Council and Trustees.

The majority of donations are now accounted for under Central, but occasionally funds are transferred to a specific ‘project’ line in the accounts for visibility and reporting purposes (e.g. Kids Out, Shelterbox).

The two-way transfer of funds between International or Service projects and Central is reflected in the high level of movements (‘Other’) in the CIO accounts.

Restricted funds remain attributed to their source project or nominated cause.

Inward donations from Community Partners are used to support publicity and marketing of the CIO and contribute, where needed, to establishing projects. These funds are held separately and released at the discretion of the CIO Council.

Foundation funds are all Restricted, destined solely for the Rotary Foundation UK, and are therefore held separately.

The President nominates a charity or charities that benefit from the proceeds of various Rotary Club of Ferndown and Parley events throughout the year. This may be supplemented from additional unrestricted funds at the CIO Council discretion.

All financial transactions are managed in accordance with the CIO Financial Control Policy.

The CIO Accounts for the 2022-23 year have been subject to independent external examination and were signed-off accordingly on 10[th] October 2023. The Independent Examiners Report is appended to this report.
