The Trustees present their report and the independently examined financial statements for the year ended 31 December 2020.
Reference and administrative information set out on page 4 forms part of this report. The financial statements comply with current statutory requirements, the memorandum and articles of association and the Statement of Recommended Practice - Accounting and Reporting by Charities (Charities SORP FRS 102).
Structure, governance & management
The organisation is a charitable incorporated organisation and was registered as a charity on 10 May 2016. The company was established under memorandum of association, which established the objects, and powers of the charitable organisation.
At the present time, all Trustees give their time voluntarily and receive no benefits from the charity. We envisage no change to this position for the foreseeable future.
Trustees are recruited based on the skills they will bring to the organisation and are elected to the post by the current trustees.
Prior to this year all employees of Kids on Track have been volunteers. The Trustees believe that, in order to give the charity the capacity to meet its growth targets, there will be a future need to pay specified key roles. Therefore, Trustees have established a remuneration committee. The members of the remuneration committee have agreed that they will never wish to be paid by Kids on Track. This will ensure that any decisions made about pay are objective and that there will be no conflicts of interest. The remuneration committee has identified the specific roles that will be eligible for pay. These roles are:

This year the charity recruited an Operations Manager on a paid basis. The other roles are currently undertaken by unpaid individuals.
The key roles listed above make up the operating committee and are responsible for the day to day operation of the charity. The operating committee also includes volunteers who manage individual projects. Additional volunteers are recruited to support the camps and mentoring.

The Trustees review the aims, objectives and activities of the charity each year. This report looks at what the charity has achieved and the outcomes of its work within the last twelve months. The Trustees report the success of each key activity and the benefits the charity has brought to those groups of people that it is set up to help. The review also helps the Trustees ensure the charity's aims, objectives and activities remain focused on its stated purposes.
Objectives and activities
Kids on Track exists to increase the opportunity for disadvantaged children in Andover so that all children, no matter what their background, have an equal chance of success.
We achieve this by delivering an enrichment programme for children that will provide a platform for success by ensuring all children who are part of Kids on Track have the following:

A knowledge of what opportunities are available

A belief that they can succeed if they work hard enough

Access to a good education so they can take advantage of the opportunities available

Strong interpersonal and teamworking skills

Perseverance to overcome challenges

Network of support
Our enrichment programme includes holiday clubs, after school activities and mentoring.
Children are referred to the charity by social workers, support workers and schools because they lack the financial means or parental support to access extracurricular activities without the support of Kids on Track.
We start working with children when they are aged between 9 and 11 but our support continues until the children leave school at 16. We believe it is this longterm approach that enables us to make a real difference to the children’s lives.
Fundamental to Kids on Track are our volunteers. The high number of enthusiastic and energetic volunteers that have supported us for the last five years enables us to provide each child with the support they need, and provide strong role models demonstrating positive attitudes, a willingness to give everything a try and a desire to succeed.

In 2020 the charity had the following objectives:

To develop a programme of twice termly activity clubs that are engaging, help support a growth mindset and broaden the participant’s understanding of activities in the local community.

To set out a framework for the mentoring programme
-
To continue running non- residential holiday camps supporting 40-50 children
-
To set up a hundred club in order to guarantee regular income for the charity
-
To develop a system for measuring impact
These objectives were established and agreed before the onset of the global covid pandemic. Like many charities our activities this year have been limited by the pandemic.
Although we had to cancel our Easter and Christmas camps due to lockdowns, we were able to hold our Summer and October camps. We followed Government guidance and advice provided by the National Youth Association to ensure that camps met safety guidelines. The camps were well attended. For many of the children who attended the camps it was their first opportunity to run around outside as they had felt too frightened to leave the house, even once Government restrictions were lifted. Only one individual was unable to come to the camp because he was self-isolating. We also had to cancel our after schools clubs and many of the extracurricular activities were unavailable during the two lockdowns.

At the start of the year we invited 30 children to the local climbing wall. This was a very popular activity enabling the children to move outside their comfort zone and build confidence. However due to the pandemic we had to halt our activity club programme. Instead we:

Delivered Easter eggs and activity packs to 50 families
-
Arranged small group meetings in local parks (once lockdown was lifted but restrictions about meeting up were still in place)
-
Paid for 20 children to attend a tennis week at the local tennis club
-
Paid for 6 children to participate in a summer art workshop
-
Paid for 4 children to attend a football week at a local football club
-
Paid for 4 children to take weekly tennis lessons at the local tennis club

Paid for 1 boy to attend the local rugby club on a weekly basis

Paid for 7 children have weekly football training

Paid for 1 child to have weekly drama lessons
We now offer to pay membership fees and additional costs to extracurricular clubs for any Andover child aged 10-16 that can demonstrate a passion for that activity. These children / young people do not need to have attended the camps and therefore this enables us to support a wider range of families.
- To set out a framework for the Mentoring Programme
Our Mentoring Programme has begun. Only children that are already part of the Kids on Track programme are eligible for mentoring. This is because we believe that mentoring works best when there is already a good relationship. The children have developed a strong level of trust with Kids on Track and are therefore more ready to commit to the mentoring process.
We are currently mentoring 7 young people aged between 12 and 16. These mentees have been identified as having:

Undergone a traumatic life event such as bereavement or
-
Significant ability which is being under used or
-
At risk within the community through making poor choices
-
They have also all indicated enthusiasm for mentoring.
The Mentoring Programme has been particularly impacted by covid. However mentors have met with their mentees outside and have made regular contact throughout the last six months.
We aim to use Outcome Stars as a framework for the mentoring and the mentors have been trained in how to use the stars to work towards agreed targets.
Over the next year we will be monitoring against these targets to measure the impact of the Mentoring Programme.
- To continue running non- residential holiday camps supporting 40-50 children
We unfortunately had to cancel our Easter Camp and Christmas camp due to the pandemic however we were able to hold the Summer camp and the October camp.

Over 50 children aged 10-13 were invited to each camp.

90% are receiving free school meals

40% are on a child in need or child protection plan

30% have experienced domestic violence

55% have mental health issues

20% have low school attendance
Activities have included cycling, cooking, healthy eating, drumming, boxing, hockey, tennis and inflatable table football. A number of the children learned to cycle having never ridden a bike before.
Once children are part of the Kids on Programme they are invited regularly to camps until they graduate at the end of year 7. On average each child attends 4 camps. At first the children are often nervous and reticent to join in as they are unused to being out of their comfort zone. But after they have attended a couple of camps the children become much more confident and much more ready to try new things.
It is this long-term approach which enables Kids on Track to build relationship skills, self-regulation and self-esteem.
Only 8 children dropped out of the scheme this year. Three of these were because we were unable to engage the parents and therefore were unable to get responses to our messages about the camps; two moved out of the area and three lost interest.
We have increased our squad of volunteers to over 100. This enables us to have a ratio of one volunteer to every two children at the camps and ensure that each child gets the attention, encouragement and support they need to succeed. Three of our current Junior Volunteers were in the original group of Andover children that attended the first Kids on Track holiday camps five years ago. They enjoyed the camps so much and felt they had had such a great impact on them they wanted to give something back. We are especially proud of this and we hope that this trend continues.

Despite the pandemic this has been a record year for fundraising. The ‘Friends of Kids on Track’ scheme was set up in July and we now have over 20 regular donors. Our aim is to increase this number to 100 over the next five years.

Future Strategy
The charity aims to achieve the following in 2021:

To increase the number of children attending each camp to 60.
-
To improve attendance at the camps to over 88% which is equivalent to each child attending 8 of the 9 days offered per year.

To increase the number of children who are funded to attend extracurricular activities to 25.
-
To extend the mentoring programme to 20 children.
-
To embed the system for measuring impact.
In shaping our objectives for the year and planning our activities, the trustees have considered the Charity Commission’s guidance on public benefit.
Risk Management
The Trustees have a risk management strategy that comprises:
-
Regular review of the principal risks that the charity faces
-
The establishments of policies, procedures and systems to mitigate these risks
-
Risk assessments for each activity / event clearly communicated to all involved.
Kids on Track places the safeguarding of its beneficiaries as a top priority; as such there is no appetite for accepting risk in this regard. Staff are provided with regular safeguarding training and we have a robust policy based on best practice processes and procedures.
The Trustees consider that the need to attract and retain high quality staff and volunteers is essential and the failure to do this would be a key risk for the charity. The Trustees regularly review their approach to resourcing and aim to make working with Kids on Track a fun and rewarding experience.
Failure to raise sufficient funds is also considered a key risk. Our fundraising strategy is reviewed at each meeting and the charity has a five year financial plan to ensure financial security.

Financial Year 2020
The Charity received grants and donations of £90,113, the total expenditure was £23,167 giving a surplus of £66,946 for the year.
Reserves Policy
The Trustees have examined the charity’s requirements for reserves in light of the main risks to the organisation. Trustees are committed to generating sufficient reserves to support current organisational activities to meet the following requirements:
-
Safeguarding the charity’s ability to deliver camps and other services in the event of delays in receipt of grants or other income.
-
Providing a financial cushion against risk and future uncertainties.
To this end, the Trustees have established a reserves policy that is reviewed annually to ensure that the appropriate levels of reserves are maintained and Kids on Track is able to continue to fund its activities without unnecessary disruption as a result of peaks and troughs in income. This reserve will enable Kids on Track to continue to run for two years without any additional income.
The current amount of reserves held is £30,000
Statement of Responsibility of the Trustees
Our Trustees are responsible for preparing the report of the Trustees’ and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).
Company law requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charitable company and of the incoming resources and application of resources, including the income and expenditure, of the charitable company for that period. In preparing these financial statements, the Trustees are required to:

Select suitable accounting policies and then apply them consistently;

Observe the methods and principles in the Charities SORP;

Make judgements and estimates that are reasonable and prudent;
-
State whether applicable UK Accounting Standards and statements of recommended practice have been followed, subject to any material departures disclosed and explained in the financial statements; and
-
Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in operation.
The Trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charitable company and enable them to ensure that the financial statements comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charitable company and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
In so far as the Trustees are aware:
-
There is no relevant information of which the charity’s independent examiner is unaware; and
-
The Trustees have taken all steps that they ought to have taken to make themselves aware of any relevant information and to establish that the independent examiner is aware of that information.
The Trustees are responsible for the maintenance and integrity of the corporate and financial information included on the charitable company's website. Legislation in the United Kingdom governing the preparation and dissemination of financial statements may differ from legislation in other jurisdictions.

I report on the accounts of the Trust for the year ended 31st December 2020 which are set out on pages 2-4.
Respective Responsibilities of Trustee and Examiner
The charity's trustees are responsible for the preparation of the accounts. The Charity's trustees consider that an audit is not required for this year (under section 144(2) of the Charities Act 2011 (the2011 Act)) and that an independent examination is needed.
It is my responsibility to:

examine the accounts (under section 145 of the 2011 Act);
-
to follow the procedures laid down in the general Directions given by the Charity Comission under section 145 (5)(b) of the 2011 Act
-
to state whether particular matters have come to my attention.
Basis of Independent Examiner's Report
My examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the
evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a true nad fair view and the report is limited to those matters set out in the statement below.
Independent Examiner's Statement
In connection with my examination, no matter has come to my attention

(1) which gives me reasonable cause to believe that in any material respect the requirements

to keep accounting records in accordance with section130 of the 2011 Act; and

to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act

1. ACCOUNTING POLICIES
The accounts have been prepared under the Receipts and Payments method of Accounting. Amounts are included as received by the charity or as cheques drawn or cash paid.
The receipts and payments account and the statement of assets and liabilities have been prepared following the guidance for accounting for smaller charities issued by the Charity Commission.
