Appleton Roebuck CIO Trustees Annual Report, Year Ending August 2020
Period start date : 1 September 2019 Period end date : 31 August 2020 Charity Name: Appleton Roebuck Preschool Groups
Charity Registration Number: 1166924
Charity Structure
Appleton Roebuck Pre-School Groups was first registered in 1977. It is managed by a management committee of parent volunteers. We registered as a Charitable Incorporated Organisation from the year commencing September 2016 and completed a transfer to this new entity during that financial year.
Initially set up as a Pre-School in the Parish Rooms in Appleton Roebuck, the Group then expanded to include a Parent and Toddler Group (Little Apples) and, in 2013, an Out of School Club (OOSC) based at Appleton Roebuck Primary School.
Activities and Objectives
The charity works for the public benefit having as its objects the development of children and young people in particular by: promoting their care and safety; promoting their education and promoting parental involvement; promoting their health and wellbeing’ providing services to support them and their families and carers; providing services to individuals holding membership of the CIO and furthering the aims of the Pres-school Learning Alliance.
Both Pre-school and Out of School Club are registered with Ofsted. This means we comply with the requirements of the Early Years Register and the Childcare Register. These requirements relate to safety, the people providing the care and the organisation of the childcare.
We pride ourselves in offering a friendly, fun and safe environment for the children to play and learn. The Pre-School had its most recent Ofsted inspection in October 2018 and was rated good. Also in October 2018, the Out Of School Club had its second Ofsted inspection and was also rated good. We are very proud of this achievement for a community-led organisation in a small village and is testament to the dedication of our fantastic staff.
Public Benefit Statement
Appleton Roebuck Preschool Groups is situated in a village with few services for children and families. Through its Pre-school, Out of School Club and Little Apples groups, Appleton Roebuck Preschool Groups provides much-needed opportunities for families and children in the local area. These include: children integrating with their peers in a safe, engaging, welcoming setting; gaining
education; improving health and wellbeing of children and their families through activities and engaging with a support network.
Pre-school and Little Apples activities, performance and staffing 2019/20:
In 2019, in response to parent appetite we changed some sessions around to offer more hours. In September, we moved Little Apples to run at the same time as the Village post office on Wednesday afternoons, thus allowing an extra afternoon of Preschool; full day (9-3pm) Monday, Tuesday, Thursday Friday and half day (9-1pm) Wednesdays.
We also offered some sessions during the school holidays which were welcomed by parents .
Through money raised from fundraising events throughout the year, we were able to fund educational trips, including visits to Lotherton Hall and Tropical World as well as to a Christmas Pantomime. We also welcomed members of the emergency services to Pre-school to talk to our children.
During the winter term we introduced a weekly session run by an external organisation, Computer Xplorers, allowing the children to learn about programming, coding and robots. The sessions were made available to all children and were very popular with the children.
Attendance of Little Apples, the Parent and Toddler group, fluctuated in numbers over the year.
Due to the COVID pandemic, we closed Preschool and Little Apples on Monday 23rd March, furloughing half of the Preschool staff immediately as we would still receive some funding income from the Government. We made the decision to continue to pay Preschool staff wages at 100% during this period, based on the availability of funds and in recognition of the commitment of our staff.
We reopened on the 1st June to welcome families back into the Preschool as Covid restrictions eased, with new measures in place to help ensure the safety of children and staff. The team worked hard to ensure that the Site Operating Procedure was significantly reworked and policies and procedures updated to meet new guidelines. Staggered drop off and collection times were put in place along with additional cleaning, mask-wearing and other measures.
Out of School Club activities, performance and staffing:
At Out of School Club we offered a friendly, safe and engaging environment with well-qualified staff and a homely space through to the closure of the Club in 2020.
In December 2019, the Out of School Club committee were approached by Appleton Roebuck School, who hosted the Out of School Club on their premises. After discussions, it was agreed that Appleton Roebuck Primary School would open its own wrap around care club in September 2020 and ARPG would cease to operate Out Of School Club after 17th July, which was the end of the summer term. In reality, the Club closed on Friday 20th March in accordance with school closures caused by the Covid 19 pandemic. When Appleton Roebuck Primary School re-opened for certain year groups on the 1st June 2020 it was unfeasible to run the club, and as such the club never reopened before the planned formal closure.
The Out of School Club Manager remained in post until 31 August 2020 undertaking general management duties. All other Out of School Club staff were furloughed from Monday 23[rd] March 2020.
Our Out of School Club Manager was a trustee of Appleton Roebuck Preschool Groups and was the nominated individual for Ofsted for the group. She received a wage from the charity in line with her counterpart at Preschool.
Our Out Of School Club Manager was made redundant on 31 August 2020 and other Out Of School Club staff were made redundant on 17 July 2020.
Ofsted were notified of the club closure.
Financial Review
Appleton Roebuck Pre-School Groups was financially stable during this financial period, despite the difficulties of the pandemic. Out of School Club’s loss of revenue in the summer term was covered by OOSC savings as well as being off-set by an increase in Pre-school numbers during the year.
There were excellent fund-raising efforts, led by our volunteers, including a successful Gin Tasting Event in February 2020, a nearly new sale in November 2019 and a generous donation from Co-op Local Cause, raising £1,975.39 through their loyalty card.
Unfortunately, because of the pandemic, we were unable to host our second village Easter Egg Hunt, which was a huge success previously. We managed to coordinate a bags2School collection once some COVID restrictions had eased in June 2020. The village Scarecrow weekend also could not take place in 2020.
Thank you to everyone who has donated or assisted in any way - giving up their free time, donating items and contributing financially - to make these events a success. Without everyone’s help and support we would not be as successful.
We’d also like to particularly thank Appleton Roebuck Parish Council for a significant reduction in rent for our Pre-school sessions during the pandemic, which ensured that the financial impact of the closure did not impact our organisation too much.
As a result of increased numbers at both Pre-school and Out of School Club, operating costs rose in 2019/20 compared to the previous year.
