In carrying out their role the trustees have considered the Commissions guidance on the public benefit.

With the assistance of a body of volunteers, Action Academy trustees organise and run an annual family mountain biking festival at the UK Youth Activity Centre at Avon Tyrrell in Hampshire.

**Summary of the main activities undertaken for the public benefit in relation to these objects (include within this section the statutory declaration that trustees have had regard to the guidance issued by the Charity Commission on public benefit)**

The event marketed as the 'Big Bike Bash' contributes directly to UK Youth through the payment of a site rental. In addition, the trustees, after consultation with Avon Tyrrell management, allocate profit from the event for specific equipment or infrastructure projects which help improve the experience of customers to the site and/or improve additional revenue streams for UK Youth.

2021 was the 14[th] year of the Big Bike Bash (the 2020 event having been cancelled due to Covid) and the 5[th] run under the auspices of the charity. 850 people attended the event in 2021 of whom approximately 40% were children.

## **Additional details of objectives and activities (Optional information)**

UK Youth was our only beneficiary in 2021 through a commitment to purchase cycles for disabled children to the value of £20k. Funds will flow in 2022 once discussions with the suppliers are complete.

You **may choose** to include further statements, where relevant, about:

The trustees are indebted to the unpaid volunteers who help run the event.

- policy on grantmaking;

- policy programme related investment;

Section D                      Achievements and performance

**Summary of the main achievements of the charity during the year**

The 2021 event was a sell out once again. That the event was run at all, and safely, during a Covid pandemic is a tribute to all involved.

A site rental of £14k was paid to UK Youth and £20k committed in early 2022 for the purchase of disabled cycles.

## **Section E                    Financial review**

## **Brief statement of the**

**charity’s policy on reserves**

The reserves policy is reviewed annually. Reserves are principally a contingency against a shortfall in attendance/revenue and/or an increase in costs. Reserves were significantly increased in 2021 due to the uncertainty surrounding the Covid epidemic.

**Details of any funds materially in deficit**

None

## **Further financial review details (Optional information)**

You **may choose** to include additional information, where relevant about:

- the charity’s principal sources of funds (including any fundraising);

- how expenditure has supported the key objectives of the charity;

As the sole fundraising activity, the success of the Big Bike Bash is fundamental. An annual budget of costs and ticket prices is put together to ensure a surplus.

- Due to the outdoor nature of the event and the reliance on a third party (UK Youth) the trustees insure against cancellation.

In the event of cancellation due to Covid the purchaser terms and conditions restrict refunds.

- investment policy and objectives including any ethical investment policy adopted.
