The trustees pres8nt their annual report and financial stalements for the period
ended 31 July 2024. And then The financial statements have been prepared in
accLJrdance with the accounting policies Set out in note 1 to the financial statements
and comply with the charity's Governing Dcajments, the Charities Act 2011 and
"Accounting and Reporting by Charities: Statement of Recommended Practice
applicable to charities preparing their accounts in accordance with the Financial
Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)
(effective 1 January 2019>"
Charlty's purpose
The Charity's objects are to promote community participation in healthy recreatlon by
providing facilities for playing amateur rugby union football and other sports in
Coventry and Warwickshire (Yacilities" means land, buildings, equipment and
organlsation of sporting actlvlties)
In fjjrtherance of the charity's objects the trustees have set out the following aims In
the charity's rules:
To be a Member of the RFU and to promote the enjoyment of rugby union
and such other sports a5 may be facilitated by the Club
To provide and manage a facilty to enable those who enjoy rugby to train.
play and spectate at m8tches and to enjoy community social activities arising
To facilitate and enable those who have not had the opportunity to learn and
play the game of rugby, both children and adults, ensuring equality of
opportunity and SUp￿rting those in less fortunate economic circumstances
To be a 'Community Club. which is 'open to all, who wish to enjoy rugby and
associated community sports and social activities and from those who wish
to provide volunleer assistance to promoting the Club's aims and helping to
manage its activities
To develop and maintain good lon*temi relationships with local schools,
colleges and Club's in order to stimulate and develop the sport of Rugby
within the Community
To encourage long temi membership and cvmmunity values
To respond to ad hoc requests and encourage specific funding initiatives to
be applied to rugby related charitable and benevolent activities (e.g.
supporting players in difficult economlc circumstances. long tenn injuries etc)

Maln activities
Significant activities during the year have been:
Training and playing Rugby Union at senior level and at all mini & junlor age
groups
Training and playing of Crown Green Bowls
Supporting the training and playirwJ of Flat Green B0￿S via Matrix Bowls Club
which has a license to use Clubs facilities
Providing subsidised facilities for external rugby organisations to use the club
for the development of community rugby, including schools and the RFU.
Working with the RFU and local schwls to allow children access to participate
in rugby on a more regular basis
Training volunteers in rugby coaching, refereeing. first aid and safeguarding.
Maximising Gift Aid on mernbership subscriptions
Public benefit
The Trustees have had regard to the guidan￿ Issued by the Charity Commission on
what activities the charity should undertake

The Trustees. policy is:
To fund and manage direcdy various future initiatives to achieve its
objectives, rather than making major grants to independent bodies.
To make small grants to other charitable organisations promoting rugby on
an ad hoc basis
To make small grants lo individuals who have suffered disability from playlng
rugby union football and associated sports
Pollcy on social inveslment
The Trustees, policy is..
To Invest to promote participation in healthy recreation wlthln the communlty
To invest in facilitles for sport. recreation or other leisure time occupation by
such persons who have need for such facilities by reason of their youth. age,
infirmity or disablement, povety or social and economic circumstsnces or for
the public at large in the interest of social welfare and with the objective of
improving Iheir condltlon of lrfe.
To manage activities so as to keep the costs of participating in the sport of
rugby fcotball as low as possible and promote access to the sport
To work with the RFU lo develop stronger relationships with local schools and
other institutions in furtheran￿ of the charity's objectives and aims.
Contrfbutions made by volunteers
The charity is managed by a Management Committee made up entirely of
volunteers, which is further supp)rted by an amiy of volunteers from across all ege
groups who support coaching, administration, safeguarding and first aid. The
truslees are committed lo ensuring that the work of th8se volunteers is re￿gnised
and appreciated by members others to ensure that they benefit from the
experience.

Revlew of the charfty's financlal posltlon at the end of the perlod
The charity's prlncipal sources of funds are membership subscriptions, ground and
dubhouse rentals and donations, including donations from its wholly owned tradiro
subsidiary.
The deficit on unrestricted funds during the period to 31 July 2024 was £31,499 Loss
(2023 - £4.007 Loss). The Trustees will put a budget plan in place across 2024-2025
period to ensure Ihat the Club better balance the financial spend of the Club against
the revenues received during the period. This budget plan will be reviewed each
quarter by the Trustees.
There are no restricted funds raised for specific purposes in the current or prior year.
Restricted funds are those which have been raised primarily to promote activities
such as tours by different player age groups and because Covid 19 prevented tours
going ahead no funds are held over in this year's accounls.
During the year the charity's expenditure has been applied fully to support Its
objectives.
Reserves pollcy
Tolal funds as at 31 July 2024 were £694,815 (2023 £726,314).
The charity effectively operates 3 financial funds:
Fixed Assets Fund
Financlal Reserves Fund
Facilities & Rugby Development Fund
Fixed Assets Fund as at 31 July 2024 was £535,791 (2023 - £539,098)- This
represents the relained reserves which have previously been applied to procure the
permanent site arKI buildings.
Financial Reserves General Fund £100,000(2023- £100,000). The Trustees have
committed to rnaintaining relained reserves of easily liquidated assets which amount
to at least 75°A of the previous financial year's operating Gosts, in order to mitigate
against financial risks.
Facilities and Rugby Development Fund was £59.024 {2023 - £87,216).

The charity's Investment policy is currently to maintain bank and cash balan￿S as
liquid assets.
Principle rlsks
The principal risks facSng the charity are ￿)nsidered to be:
Litigation arising in respect of an injured mernber, player or member of the
public. Mitigation Is by insurance.
Fire or other disaster at site. Mltlgation is by insurance
Reputational damage from safeguarding incident- Mitigation is by
safeguarding training.
External events beyond the ch8ritWs control which slgnificantly impact on its
ability to operate and generate funds and which is not covered by business
interruption insurances- eg Pandemic- Mitigation is by cash management
and Reserves Policy.
The Trustees have ass8ssed the major risks to which the Charity is exposed. and are
satisfied that systems are in place to mitigate exposure to these risks and that
opportunities to further rnitigate through appropriate grant application and award
from relevant bodies. including the RFU and HM Govemment.
Structure Govemance and Management
The entity is a Charitsble Incorporated Organisation {"CIO) govemed by
constitution document.
Trustees with consts'tutional offices are elected by members of the club by vote at the
AGM. each for a period of 3 years but retiring by staggered rotation. A limited
number of additional trustees may be appointed by the elected trustees to asslst with
the management of the charity and its operations.

Inductlon and trainlng of trustoes
New trustees are familiarised with th8 govemance structure of the charity, the aims
and objectives of the charity and the roles undertaken by the truste8s, manag8m8nt
committee and volunteers. They are given the opportunity to identify any area of
activity in which they would like to b8 involved and if training is required this will be
identified and provided by the charity. Trustees are also made awar8 of thoir
safeguarding and duty of care responsibilities.
The charity's organisational structure
The charity is a charitable incorporated organlsation (CIO). govemgd by its
Constitution and is registered with Ihe Charity Commission.
The trustees are members of the Old Coventrians Rugby Football Club management
ommittee comprising trustees and other appointed members.
The charity owns 100 % of the issued share capitsl of OCRFC (Trading) Ltd, a
company registered in England and Wales. OCRFC (Trading) Ltd is responsible for
undertaking certain commercial activities on behalf of the charity with a view to
donating the profits to tha charity for the furtherance of its objectives.
The charity works with the RFU nelwork on both a formal and inforni81 basis to
promote the sport of rugby.
Relationshlp with any related partles
None of the trust88s has any beneficial interest in the CIO. All of the trustees are
members ofthe CIO.
