Report of the Trustees
The trustees present their annual report and financial statements for the period
ended 31 July 2023. And then The financial statements have been prepared in
accordance with the accounting policies set out in note 1 to the financial statements
and comply with the charivs Governing Documents, the Charities Act 2011 and
'Accounting and Reporting by Charities: Statement of Recommended Practice
applicable to charities preparing their accounts in aC￿rdance wtth the Flnancial
Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)
(effective 1 January 2019)".
Charlty's purpos•
The Charity's objects are to promote community participation In healthy recreatlon by
providing facilities for playing amateur rugby union football and other sports in
Coventy and Warwickshire {'facilities means land, buildings, equipment and
organisation of 8POrting activities)
In furth8r8nce of the charity's objects the trustees have set out the following alms In
the charity's rules:
To be a Member of th8 RFU and to promote the enjoyment of rugby unlon
and such other sports as may be facilitated by the Club
To provide and manage a facility to enable those who enjoy rugby to traln,
play and spectate at matches and to enjoy communty social activities arlslng
To facilitate and enable those who have not had the opportunity to learn and
play the game of rugby. both children and adults, ensuring equality of
opportunity and supporting those in less fortunate economic circumstances
To be a 'Community Club, which is 'open to all, who wish to enjoy rugby and
associated community sports and social actlviti8s and frC￿ those who wish
to provide volunleer assistance to promoting the Club's aims and helplng to
manage its adivities
To develop and malntain good long terrn relationships with local schools.
(x)Ileges and Club's in order to stimulate and develop the sport of Rugby
within the Community
To encourage long t8mi membership and communlty values
To respond to ad hoc requests and encourage specific funding initiatives to
be applied to fugby related tharitable and benevolent activities (eg
supporting players in difficult economic circumstances , long tenn injuries
etc)
The Trustees are conscious of the need to manage safe guarding and suslain
good practice in thls respect

Training and playbng of Crown Green Bowls
Supporting the training and playing of Flat Green Bowls via Matrix Bowls Club
which has a license to use Clubs fa¢iltlies
Providing subsidised facilities for extemal rugby organisations to use the club
for the development of communty rugby. including schools and the RFU.
W0￿1n9 wlth the RFU and local schools to allow chlldren access to participate
in rugby on a more regular basis
Training volunteers In rugby coachlng. refereeing, first aid and safeguardlng.
Maxlmising Gift Aid on membership subscriptions

Grant making pollcles
The Trustees, policy is:
To fund and manage directy varfous future inltlatlves to achieve its
objectives, rather than making major grants to independent bodies.
To make small grants to other Gharitable organisations promoting rugby on
an ad hoc basis
To make small grants to individuals who have suffered disability from playing
rugby union football and associated sports
Policy on social Inv•sthiont
The Trustees. policy is:
To invest to promole participation In healthy recreatlon within the community
To Invest in facAllties for sport, recreation or other leisure time occupatlon by
such persons who have need for suth facilities by reason of their youth. age,
infirmity or dlsablement. povety or social and economic circUmstan￿S or for
the public at large in the interest of social welfare and with the objective of
improving their condltlon of life.
To manage activities so as to keep the costs of partlcipatlng in the sport of
rugby footb811 as low as p0s￿ble and promote access to the sport
To work with the RFU to develop stronger relationships with local schools and
other institutions in furtherance of the charity's objectives and aims.
Contrlbutlons mad• by volunteers
The charity is managed by a Management Comrnittee made up entirely of
volunteers, which Is further supported by an amy of volunteers from across all age
groups who support coaching. administration, safeguarding and first aid. The
Irustees are committed to ensuring that the work of these volunteers is recognised
and appreaated by members and olhers to ensure that they benefft from the
experlence.

Rugby development achievements have included:
Successful senior rugby season mainlaining their position in Midlands 3
West (South) league.
Successful programme of training and playirvJ Ngby at Junior and Senior
level
Specffic open days at Junior level to promote the playing of Rugby Union
and to recruit new players
Extension of a dub initiative to encourage past senior players to restart
playing based on touch rugby and an annual past players match
Free public spectator access for games at all levels
Organlsatlonal and facllltl•s development achlevements havo Included
Nat West Rugby Task Force events to improve facilities and engage volunteer
actlvlty
Investment in Pitch renovation
Intemal refurbishments

Revlew of the Charlty's financlaA posftlon at the •nd of tho period
The charfty's principal sources of funds are membership subscriptions. ground and
clubhouse renLqls and donations. induding donations from its wholly owned trading
subsidiary.
The deficlt on unrestricted fijnds during the period to 31 July 2023 was £4.077 (2022
- £12.403 Surplus). The Trustees have determined that these shall be allocated In
full to the charity's facilities and rugby development fund.
There are no restricted funds raised for specific purposes in the current or prior year.
Restricted fvnds are those which have been raised primarily to promote activities
Such as tours by different player age groups and because Covld 19 prevented tours
golng ahead no funds are held over In this years accounts.
During the year the charity's expenditure has been applieil fully lo support Its
objedives.
Reservos poIIcy
Total funds as at 31 July 2023 were £726,314 {2022 £730.391).

Fixed Assets Fund as at 31 July 2023 was £479,445 (2022 - £495.074)- Thls
represents the retained reserves which have weviously been applied to procure tha
permanent site and buildings.
Flnancial Resenies Fund £100,000 (2022 - £174,530). The Trustees have
committed to maintalnlng retained reserves of easily IFquidated assets which amount
to at least 75Yo of the previous financial yearfs operating costs. in order to mitigate
against financial risks.
Facilities and Rugby Development Fund was £146.869 (2022 - £60.787).

Litigation arising in respect of an injured mernber, player or member of the
public. Mitigation is by insuranc8.
Fire or other disaster at site. m•bga￿Qn is by insurance
Reputational darnage from safeguardlng incident- Mitigation Is by
Safeguarding training.
Extemal events beyond the charity's control which significantly impact on its
ability to operate and generate funds and which is not covered by business
interruption insurances- eg Pandemic- Mitigation is by cash management
and Reserves Policy.
The Trustees have assessed the rnaior rlsks to which th8 charity is exposed. and are
satisfied that systems are in place to mitigate exposure to these risks and that
opportunities to further mitigate through appropriate grant application and award
from relevant bodies, including the RFU and HM Govemment.
Structure Governance and Managem•nt
The enbty is a Charitable Incorporated Organisation ("CIO) governed by 8
constitution document.
Trustees vdth constitutional offices ar8 elected by members of the dub by vote at the
AGM. each for a period of 3 years but retiring by staggered rotation. A limited
number of addrtional trustees may be appointed by the elected trustees to assist with
the managern8nt of the ch8rity and its operats'ons.

Induction and tralnlng of trustees
New trustees are familiarised with the govemance structure of the chartty, the aims
and objectives of the charity and the roles undertaken by the trustees. management
committee and volunteers. They are given the opportunity to identfy any area of
activity in which they would like to be involved and rf training is required this will b8
identified and provided by the charity. Trustees are also made aware of their
safeguarding and duty of care responsibilrties.
The charlty's organlsatlonal structur•
The charlty is a charitable Incorporated organ5satlon (CIO), govemed by its
Constitution and is registered with the Charrty Commission.
The trustees are members of the Okl Coventrians Rugby Foolball Club management
committee comprising trustees and other appointed members.
The Charity owns 1 OO0k of the issued share caprtal of OCRFC rfradlng) Ltd, a
company registered in England and Wales. OCRFC (Trading) Ltd is responsible for
undertaking certain commercial activities on behall of the charity a view to
donating the profits to the charity for the furtherance of its objecllves.
The charlty works with the RFU network on l)oth a forni81 and Informal basls to
promote the sport of rugby.

None of the trustees has any beneficial interest In the CIO. All of the truslees are
members of the CIO.
