TRUSTEES ANNUAL REPORT FOR YEAR ENDED 31[st ] JULY 2020
The Society became a registered Charitable Incorporated Organisation, number 1165970, on 10[th] March 2016. Prior to this date, it had existed, but without CIO registration.
The object of the CIO is to promote, improve, develop, and maintain public education in and appreciation of choral music in all its aspects by the presentation of public choral concerts, and by such other means as the CIO, through its management committee, may from time to time determine.
The management of the Society is vested in an Executive Committee comprising the Chair, Secretary, Treasurer, and Music Director.
Trustees: Alan Poulter, Ann Poulter (until March 2020), Helen Reid, Philippa Sandford
Committee Chair: John May
Secretary: Rosie Smith
Treasurer: Ann Poulter (until March 2020)
Musical Director: Peter Foster
The principal address of the Society is: 13, White House Road, Oxford, OX1 4PA
Since the income of the Society is below £25,000, there is no requirement for them to be independently examined by an accountant. They were approved by the Executive Committee on 7[th] May 2021
Statement of Trustees’ responsibilities
The Charities Act 1993 requires Trustees to prepare Financial Statements for each financial year which give a true and fair view of the state of affairs of the Society as at the end of the financial year and of the surplus or deficit for that period. In preparing the financial statements suitable accounting policies have been adopted and consistently applied, to the best of the Trustees’ knowledge and belief, by reference to reasonable and prudent judgments and estimates. Applicable accounting standards have been followed. The Trustees are responsible for maintaining adequate accounting records, for safeguarding the assets of the Society and for preventing and detecting fraud and other irregularities. The Trustees are also required to indicate where the financial statements are prepared other than on the basis that the Society is a going concern.
Activities for the year
From September 2019, we were rehearsing J S Bach’s Christmas Oratorio, in German, for two combined concerts with the Wheatley and Great Milton choirs. The concerts were in St Mary’s Church, Thame, on 16[th] November and in St Peter and St Paul’s Church, Botley, on 30[th] November, with excellent orchestra and soloists. Our choir had 38 members and the joint choirs had just under 100 singers. On 17[th] December, 22 singers from the choir sang carols at Cumnor Hill House Care Home.
From January 2020, we were preparing Haydn’s Little Organ Mass, Mendelssohn’s Hear My Prayer, and Faure’s Cantique de Jean Racine, but our rehearsals were curtailed by the arrival of Covid19, and the concert, due to be held on 21st March, was cancelled.

Notes to the accounts
- The bank statements are checked regularly by the Treasurer against paper receipts and invoices, including venue and chair hire fees and suppliers' bills.
2.The net surplus of income over expenditure this year was £538 (2019: £107) chiefly because of the cancellation of the Spring concert in March.
-
The Committee wishes to express, on behalf of all the members, its gratitude to various donors and sponsors who contributed £ 218 to the Society's reserves (2019: £116).
-
The financial reserves policy approved by the Committee is to hold enough cash in reserve to fund one (physical) concert. At current cost levels, the reserves of £4804 as at 31st July 2020 are thought to be more than adequate for that purpose.
