AWBA AGM, 25 November 2024 Chair’s Report
It has been another successful year for AWBA.
Each of the bands is thriving. Paul Brooks stepped down as Apollo MD this year and I wanted to note a thank you to him for all his work over the years. Andy Loveridge has taken on the Apollo MD role and it’s fantastic to welcome him back to the AWBA family. Each band has played at many events this year and it’s great to see bands helping each other out with deps, helping to be on the door, sell tea/coffee etc. I’ve said this before, but in my view, one of the main reasons for AWBA’s existence is to create a community between the member bands.
Since the last AGM, AWBA has organised three successful events:

Christmas carols at Tesco in Yate, which will be repeated this year;

All-band day in February superbly led by Rog Sansom, where we played King Across The Water and The Incredibles. The recordings are available on AWBA’s YouTube channel (thanks to Catherine Herring and Andy Christie for putting them together) and they sound amazing. Watch out for more news on next year’s event coming soon!

Page Park bandstand event where each band did a 30-minute set. This was another success and is a great way for the bands to mingle and hear what the other bands have been up to.
As well as the events, there is a lot of work that goes on behind the scenes to make the charity function. This includes Ken making sure our accounts are up-to-date and submitted to the Charity Commission, and this year we have also started refreshing some of the AWBA policies. We have a new Equality, Diversity and Inclusion policy, a new GDPR policy and a new funding application policy under which AWBA bands can apply for funding from AWBA for specific expenditure. We have also carried out an audit of our instruments and rationalised what we hold.
There is still more work to be done. We are aware that the Constitution needs a refresh and that will remain on the agenda for the trustees. If any band wants to make comments on aspects of the Constitution they feel need updating, then please do so in the next few weeks. Linked to the Constitution, the trustees are also putting together a document of what is expected from each member band in terms of commitment to AWBA.
We do need more trustees and volunteers to help with the running of AWBA. Many hands make light work and the more people who volunteer to help, the easier it is for everyone involved. I continue to believe that AWBA has a role to play, not just in administering gift aid with its charity status, but in creating a band community and I hope we can find more volunteers to continue to make that happen.
Finally, as you all hopefully know, I am stepping down as a trustee of AWBA after four years as chair and I want to say thank you to a few people:

To the committees and the MDs of each of the AWBA bands for all of the hard work they put in keeping the four bands running and organising the fantastic concerts that the bands put on.

To all of the members of each band – there wouldn’t be any bands without them and they continue to contribute to making fabulous music!

To all of the other trustees for their continuing work and the work that they’ve undertaken over the last year for the charity. And also a personal thank you not just to the current trustees, but all those I’ve worked with over the last 4 years.

The Chariy comprises he AWBA Trusees and he our member bands; he 23/24 accouns or all areas ohe Chariy are shown in he atached spreadshees. The spreadshees also compare our 23/24 gures wih hose repored in 22/23 and show our overall balance ahe sarand end ohe reporng period.
The Trusees manage he Chariy’s cenral resources; hese are idened under he heading ‘AWBA’ in he nance spreadshees. The member bands mainain separae accouns, which are idened under he individual band names, viz. Phoenix Wind Band (‘PWB’), Apollo Wind Band (‘AWB’), Weserly Winds Saple Hill (‘WWSH’) and Winerbourne Wind Band (‘WWB’). The heading ‘Chariy’ is used in he accouns o mean he ull nancial scope o he Avon Wind Band Associaon Chariy (i.e. AWBA+PWB+AWB+WWSH+WWB).
AWBA Accouns
Overall, 2023/24 was a successul year or AWBA wih similar levels oexpendiure o 22/23. I am reporng an AWBA in-year loss o£1520, which is due o an apparendrop in our Gif Aid income (£1051 in 24/23 c. £2401 in 22/23).
The Gif Aid in our 24/23 accouns is he paymenoa shorall rom our claim or 22/23 (arising rom an issue I idened in lasyear’s repor). Separaely, I claimed Gif Aid or 23/24, buhis wasn’received unl Ocober 24 (£3648), which was oo lae or inclusion in our 23/24 accouns. Receipoour 23/24 Gif Aid paymenmore han covers he loss shown in our 23/24 accouns.
Noable invesmens during he year were he procuremenonew carol books (£375), he provision ohearing proecon subsidies (£280), unding oour annual AWBA Play/Fun Day (£1549, less £560 conribued by atendees) and, or he rsme, unding o‘Silver’ level insurance or all bands (£567).
The AWBA closing balance on 31 Auguswas £7139.
Band Accouns
Beore commenng on he band accouns, I would like o record my hanks o he Band Treasurers or heir hard work hroughouhe year in supporoheir bands and ome he AWBA Treasurer. The band accouns have been presened and acceped ahe individual band AGMs.
I’m pleased o reporall ohe bands appear o be in good nancial healh. PWB probably has he ghesmargins, mainaining he lowesbalance (£1538) and reporng a small in-year loss (£499), buhey have a healhy urnover wih sucienexibiliy in heir income/expendiure o balance heir accouns going orward. AWB is reporng a signicanin-year gain (£1548) wih a healhy balance ahe close ohe year (£4069). This should puhem in a good posion o manage he increased MD coss hey will ace in he coming year. WWSH is reporng an in-year loss o£883, buhey had a very healhy end oyear balance (£7131) so his doesn’give me any concerns. WWB is reporng he biggesin-year loss a£2194. This was largely he resulohe band’s decision o invesin new sand

banners. Since his was a discreonary expendiure and he band sll had a reasonable year-end balance (£3282), his doesn’give me any cause or concern.
Summary and Forward Look
Overall, he Chariy has ended he 2023/24 year in a good nancial posion. There was a reducon in our Toal Balance (rom £26,610 o £23,060, buhis is enrely manageable. The individual member bands are all in good nancial healh wih no causes or concern. The bands have relavely high sanding coss associaed wih ‘Conducor Fees’ and ‘Hall Hire’, buhey all generae sucienincome o cover hese coss. The main AWBA sanding coss arise rom our Making Music subscripons and insurances, buagain we have sucienincome o cover hese iems wih sucienheadroom o cover discreonary iems (insrumenpurchase/mainenance, All-band evens and responding o band requess or assisance). Looking orward, I expecour coss o rise in line wih inaon, buI’m comorable hawe will connue o generae sucienincome o cover boh our sanding and discreonary expendiure. I ancipae nexyear will be very similar o his, alhough I would be coneno see he resources held in he AWBA accouns reduce as he Trusees supporhe bands in delivering he objecves ohe Chariy.
