**Report of the Trustees and Financial Statements for Spotlight YOPD (Registered Charity number 1165177)**

**1 April 2023 to 31 March 2024**

## **Chair's Report**

We have had a lot to be thankful for over this last year. Quite a revolutionary year for us.

We are very thankful for all those people who have supported us throughout the year and enabled us to make a step change in the work that we do. If you are reading this – Thank you.

The year started with an impactful and insightful social media campaign that was globally recognised and applauded. Our partners, OpenHealth, built a team of specialists that designed the campaign, tested the concept and then delivered a host of different media, images and videos. A truly tremendous achievement.

Articles were published in "Rare Revolution" magazine in April, aligning with Parkinson's Awareness Month and our social media campaign. We extend our gratitude to Rare Revolution Magazine for their time and the heightened awareness they've provided among their readers.

Building on that success, five Trustees and the CEO turned up at the World Parkinsons Congress (WPC) in Barcelona. We managed to build a stand and created an amazing artwork and Graffiti Wall with help from all the YOPD affected people who visited the stand.

Gaynor Edwards (Founder and CEO) opened WPC on Monday morning with a speech to the Leadership Forum and then had a second speaking engagement on Tuesday morning at the YOPD working group for Leadership Forum. Gaynor was also involved with YOPD Women, and their book project, “In Her Shoes” which we showcased on our stand.

We were incredibly sad when Gaynor Edwards decided to resign as CEO - and then delighted that she agreed to stay with us as Patron.

Fortunately, Carl Beech found us and after a thorough recruitment process, agreed to become our new CEO. Carl has worked closely with the Board creating and installing a new strategy within a few months of starting.

The skills that Carl brings to the role in knowledge and use of Social Media has built on the long-standing contacts of Spotlight YOPD; corralled an increasing number of people with YOPD into a peer support group; and plans to start a series of Podcasts (Y-POD) to get the message out about the condition and the options that are available to support individuals.

The other major improvement on previous years, has been the success with fundraising. We have more people fundraising for us and we have improved our ability to receive funds. This allows us to fund a more ambitious set of projects for the next year as set out in the Strategy and means we are in a good position to deliver against the goals we have set ourselves.

We never stand still and we have even more ambitions for next year, including a revised and updated website looking carefully about what support was required for those with YOPD and what is required for those who support those with YOPD.

Nicola Cole **Chair, Spotlight YOPD**

## Thank you to all our supporters

## Introduction

The Trustees present their report with the financial statements of the Charity for the period 1 April 2023 to 31 March 2024.

Spotlight YOPD is a Charitable Incorporated Organisation (CIO) that is eligible for gift aid.

## Objectives

The objects of the CIO are:

- 1) To promote health and to relieve those suffering from Young Onset Parkinson's Disease (YOPD) and to provide support both for such persons and their families.

- 2) To advance the education of the public (including scientific education) and raise awareness in all areas relating to Young Onset Parkinson's Disease.

## **Vision** :

Shining a light on better living now with young onset Parkinson’s (YOPD) and researching for a brighter future

## **Aims**

- To be “the voice” of YOPD

- To have a fully funded vision budget with an operational reserve

- To be the “go to” for information on YOPD

- Every major population centre to have a supportive network

- Faster diagnosis

- Campaigns

## **Values:**

The Board took some time to articulate our Core values and the final approved version is:

**Kindness** - As an organisation we believe in being actively kind to every individual and every organisation that we encounter or interact with.

**Respectful and inclusive** - We will protect the dignity of everyone regardless of faith, race, gender, sexual identity. YOPD doesn’t discriminate and therefore, neither do we. All are welcome.

**Safe** - Spotlight runs various groups both on and offline and often is the first port of call for those newly diagnosed. Being a safe and loving “space” for those with a chronic health condition is vital.

**Optimistic** - We are hopeful for a cure and optimistic that those with YOPD can live their best life now and we will work towards those aims.

**Honest** - We believe in being nothing but completely honest in our assessments of YOPD, research, treatments and will not “sugar coat” the realities of YOPD. **Joyful** - YOPD is a devastating diagnosis but those who encounter Spotlight YOPD will find a group of people who whilst realistic about the condition are fun, quirky and full of joy.

The Trustees had due regard to the Charity Commission's guidance on public benefit, ensuring that the Aims and Strategy are aligned with the objectives, reviewed at Board meetings. The risk register also helps to focus the attention of the Board of Trustees.

## Achievements and Performance

## **Awareness**

Our social media presence continued to mount with our TikTok Page having grossed over 250,000 views and Facebook also increasing month-on-month. A number of interviews were held on various podcasts adding to the significant amount of social media traffic seen.

Our ‘Glitch’ social media campaign (in conjunction with OpenHealth) ran between 27th March and 30th June 2023. We ran a Radio Newsletter with Global (Capital FM and other stations) and our web banner featured at the bottom of their regular members newsletter. It appeared in 155 of the 180 Healthline digital banners available in GP surgeries, and we were able to hit 400 panels across 59 service stations in England and Wales. 58,900 leaflets were also printed and distributed.

There were a couple of articles written in the “Rare Revolution” magazine that went out in April to coincide with Parkinsons Awareness month and our social media campaign.

“Life in 12 Notes” is a film that highlights YOPD and both our CEO and a Trustee have been involved in the making of the film. The film was endorsed by Spotlight YOPD and the logo used in acknowledgements.

We attended the World Parkinsons Congress (WPC) in Barcelona, a global presence which brings all Parkinson’s stakeholders together for discussion, education, and building collaboration. The Spotlight stand formed an automatic meeting space and there was a graffiti wall with Banksy style art which attracted a lot of people with YOPD.

Our third podcast episode was edited and published and our new online support group began with sessions with a Sports therapist and Nutritionist, and a Senior Parkinson’s Nurse. The group continued to grow with over 128 registered at end March 2024.

In addition to the above, there was a lot of activity including:

- Attendance at the YOPD Day at Canterbury University on 21 October.

- Development of a YOPD specific slide set shared with Parkinson’s UK.

- Relationship building with MP’s that raise questions in the house and put YOPD on the agenda.

- Meetings with the CEOs of Cure Parkinson’s and PUK.

- Speaking at a film about YOPD launch event in London with our Patron, Gaynor Edwards.

- Talking to and supporting those newly diagnosed or those struggling with YOPD, and their carers.

## Future Plans

There is a lot of excitement about what has been achieved last year and now we want to refocus our attention in order to improve our impact and availability to the YOPD community.

We anticipate a lot of changes over the next 12 month as we welcome in our new CEO, Carl Beech and start to build on the legacy of contacts and awareness of the recent campaigns. At the time of writing we are finalising a dynamic and robust 5-year vision plan.

Our new strategy will deliver a number of new initiatives across the year, including:

- A new website and support systems such as a new CRM, Mailchimp, JustGiving and Donorfy platforms. Along with new material for those newly diagnosed and a tool for clinicians. This will provide our community with information on-tap as they need it and increase the ease with which people can fundraise for us.

- New fundraising routes will be explored including accessing grant making bodies and Trust funds, along with building business relationships with organisations with corporate responsibility funds for larger project funding.

- Hosting a series of regular Podcasts (Y-POD) supported by a mix of PD nurses, patients, and experts to get the message out about the condition and the options that are available to support individuals.

- We also plan a series of monthly closed, online, Zoom hangouts that only people with YOPD can join.

- Continuing discussions with the UK Health Minister with the aim of establishing a cross-party group for YOPD and gaining access to Blue badges and free prescriptions for those with YOPD.

- Developing a Community plan and appointing a National Community Coordinator with the aim of pulling together local YOPD support groups.

- Finally we will look to review our governance in order to build on our recent successes and move towards a more mature Charity.

These plans are extremely ambitious for a small charity and so we will also be looking to recruit some more Volunteers, Advocates and Ambassadors.

## Risk

Managing our risks continues to be an especially important aspect of our work as a charity. Being aware of those areas that may adversely impact on our vision, mission, aims and objectives is not simply good governance and good leadership and management, it also allows us to take action and proactively mitigate and improve in our work.

## **Finance**

Despite a much healthier bank balance, and hard work undertaken with fund raising activities, this risk is still in the top three. Its risk score is 12 meaning its likelihood to occur is possible and the severity is deemed significant. Mitigations are in place with monthly reporting to the Board, and robust financial controls in place. As we are now spending, we have set specific budgets to raise funds to support our work. We are now seeing some fundraising taking place, so as this becomes embedded the risk score may decrease.

## **Safety of Trustees**

This was a new risk identified last year when considering attendance to the conference in Barcelona. On review, we believe this is a wider risk and requires elevating. We have taken into consideration the risk, not simply physical risks to our Trustees, but also the potential emotional impact of supporting others with YOPD. Its score is 12, which means its likelihood is possible and its severity significant.

## **Sustainability**

There are two risks that score 8 representing the joint third highest risks. These are sustainability of the charity and chair, senior and specialist roles, which came to light when the previous CEO resigned. However, we made a decision, that the sustainability of the charity holds more weight to our continuing to function. The chair, senior and specialist roles risk score has reduced with our new CEO now in post. We have mitigation and succession planning actions in place and being embedded. It scores 8, with likelihood scoring as unlikely, but its severity as significant.

## **Other risks**

Other risks have remained at a similar score over the year, except risk pertaining to the website. This risk score has lowered due to the work implemented to strengthen our website.

## **Summary**

Over the year we have continually monitored our risks. We regularly reviewed all risks and discussed them in detail. Actions are in place to mitigate identified risks. Our risk management continues to mature and enhances our understanding and ability to identify and manage the risks we face.

Sally Smith **Vice Chair, Spotlight YOPD**

## Structure, Governance and Management

## **Governing document**

The Charity is controlled by its governing document, a constitution of a Charitable Incorporated Organisation, dated 15 January 2016.

The 2022/23 Trustees Annual report was submitted. With this Annual report we now have five sets of accounts with independent review.

All new trustees were trained in Safeguarding and Risk Management as part of the Induction process.

Trustees undertook exercises in defining the Charity values and determining the skill set of the Board.

The Board approved revised agreements for volunteers and new policies for Equality, Diversity and Inclusion, Health & Safety, Lone Working, Complaints and Expenses.

A number of Trustees Working groups were formed to ensure focus on our strategic aims going forward.

## **Recruitment and appointments**

Two new Trustees were recruited in the summer of 2023 with the aim to enhance the skill set of the Board.

Three Trustees were reappointed for a second term of three years in 2023. The decision to reappoint was made on the basis of the positive impact made during their first terms and a need to provide both continuity and the right skills mix.

A new Charity Secretary role was created with responsibility for the efficient administration of the charity, particularly with regard to ensuring compliance with statutory and regulatory requirements.

A recruitment campaign was undertaken in the summer to source our new CEO. After advertising the role, we undertook a thorough interview process, culminating in the Board of Trustees approving the appointment of Carl Beech on 1 September 2023.

We also recruited a new Operations Manager to support the delivery of the strategy.

## Financial Review & Reserves Policy

The Trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) and also in accordance with the requirements of the Charities Act 2011.

Income and expenditure both increased in the year and this reflects our enthusiastic participation in World Parkinson’s Congress in Barcelona in July 2023.

We were fortunate that some of our supporters got financial assistance elsewhere and the increased publicity also helped with income. This has meant our closing restricted funds ended the year higher and has allowed us to plan more confidently for the succeeding years. Our new budgeted expenditure to fund podcasts and support groups online could be covered for 9 months with the current unrestricted funds.

## Independent Examiner’s Report

## **Independent examiner’s report to the trustees of Spotlight YOPD**

I report to the trustees on my examination of the accounts of the Spotlight YOPD (the Trust) for the year ended 31 March 2024.

## **Responsibilities and basis of report**

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

## **Independent examiner’s statement**

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

1. Accounting records were not kept in respect of the Trust as required by section 130 of the Act; or

2. The accounts do not accord with those records.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
