Evans (Secretary) Mr D Verne (Trustee) PILGRIMS CHRISTIAN COMMUNITY FARM Page 3 **PILGRIMS CHRISTIAN COMMUNITY FARM** ## **STATEMENT OF TRUSTEES’ RESPONSIBILITIES** ## **PERIOD ENDED 31 OCTOBER 2025** ## **Structure Governance and Management** This is the eighth Annual Report and Accounts produced for Pilgrims Christian Community Farm (Registered Charity no. 1164700) following the registration of Pilgrims Christian Community Farm to a Charitable Incorporated Organisation (CIO). ## Governing Document Pilgrims Christian Community Farm operates under a constitution. ## Appointment, Induction and training of trustees Appointment, induction and training of trustees under the terms of the Constitution not more than twelve or less than three trustees are required to serve. The overall balance of skills of the existing trustee body is taken into consideration when looking to appoint new trustees to ensure that a wide range of interests, professional, equine, mental health and social care expertise is available. ## Organisation The trustees are collectively responsible for the strategy and good governance of the charity and usually meet on a monthly basis and at least quarterly, although with the pausing of activities during the year fewer trustees meetings have been necessary. The trustees delegate the management and day-today operation of the charity, within set policies, to the Chairman. During the financial period 2024/25, two full meetings of trustees took place. Trustees are kept informed between formal meetings on relevant matters relating to grants, the welfare of horses, arrangements with the landowner and clients. ## **Objectives and activities** Our objectives are to relieve persons suffering from any form of mental illness and to provide recreational facilities for them with the object of improving their conditions of life and befriending them through the provision of a community farm based on Christian principles. We have offered sessions with horses and other small animals in a beautiful and peaceful location near Leamington Spa and our beneficiaries have been able to help to care for the animals and take part in therapeutic activities with the horses based on equine facilitated learning techniques. We have also taken beneficiaries on outings. ## **Achievements and Performance** The past year has seen an incredible number of sessions and activities take place and also an increase in practical support we have been able to provide. The total number of sessions for the year is 148. Sue has continued to give her time generously and all the beneficiaries and Trustees are grateful for her hard work and commitment. We are also grateful for the volunteers who help us in all sorts of ways. PILGRIMS CHRISTIAN COMMUNITY FARM Page 4 **PILGRIMS CHRISTIAN COMMUNITY FARM** ## **STATEMENT OF TRUSTEES’ RESPONSIBILITIES** ## **PERIOD ENDED 31 OCTOBER 2025** As always, most sessions take place at Pipers and our beneficiaries have enjoyed the peaceful environment as well as interacting with the horses. We offer hot and cold drinks, cakes and biscuits and have also had several picnics and barbeques. We are delighted that the ladies from the Esther project continue to visit Pipers regularly and we have had positive feedback from them. We have also welcomed visitors from the Changing Lives charity. In addition to sessions at Pipers, we meet once a week with a group of vulnerable ladies in a community café in Leamington where they have a drink and snack bought for them. This group have also started going to the Queen’s Hussars Museum to hear a talk which happens once a month. We frequently take individuals who are struggling to a café for a drink and/or something to eat – one of the advantages of doing this, is that the majority of these people do not have their own transport and so it is easier to meet them in town. Other activities we have arranged for our beneficiaries have been a trip to Warwick boat Centre, group walks in the countryside and birthday celebrations for some of our regular attendees. These seem to be particularly appreciated as most of the people we support would not otherwise have the opportunity to take part in these sorts of things. We provided a Christmas dinner again this year which everyone seemed to enjoy, especially as most of the people who attended do not have their own families to celebrate with. Very sadly a lady known to the group died of cancer this year and tragically a girl also known to the group was murdered in Leamington. In addition, three more people known to the group have died including Steve the musician who many of us remember playing music at barbeques and picnics at Pipers. This has understandably been distressing, particularly to relatives and friends and we continue to support them. By way of memorial, we have created a peace garden at Pipers. Many people have joined in with digging, planting and painting and it has been especially therapeutic for those who are grieving. The result is beautiful and every visitor has enjoyed the tranquility of sitting there for a cup of tea and a chat, or simply sitting there to be quiet and reflect. PILGRIMS CHRISTIAN COMMUNITY FARM Page 5 **PILGRIMS CHRISTIAN COMMUNITY FARM STATEMENT OF TRUSTEES’ RESPONSIBILITIES** ## **PERIOD ENDED 31 OCTOBER 2025** I Another form of support we have provided is help with practical and logistical needs to a number of people who have urgently needed help because of difficult circumstances. We became concerned when we lost contact with one lady who is well known to the group as we had good reason to believe she might be at risk. Sadly, this turned out to be the case. Thankfully we were able to help her get out of a situation of domestic abuse and she is now safe. We continue to support her. Other practical support we have provided includes: - Taking two people to a rehab facility - Helping a lady who lives in a bus set herself up with clipper and scissors to be able to work as a hairdresser - Clearing out a house after someone had passed away - Hospital visits to a lady with no family of her own - Moving furniture to help a young man just out of prison - Paying a monthly gym membership for a man who needs it urgently As our beneficiaries have got to know and trust our volunteers, so they have felt able to ask for support if they run into difficulties. We have been able to offer support over the phone and in person to several people in distressing or crisis situations. While we can rarely provide a solution, our beneficiaries say they are grateful to be able to speak to someone who cares and our support makes them feel less alone. PILGRIMS CHRISTIAN COMMUNITY FARM Page 6 **PILGRIMS CHRISTIAN COMMUNITY FARM** ## **STATEMENT OF TRUSTEES’ RESPONSIBILITIES** ## **PERIOD ENDED 31 OCTOBER 2025** ## **Trustees, Financials and Horses** The charity needed to elect new trustees as three previous trustees had needed to stand down earlier in 2024. At a meeting on 25 February 2025, Sue Verne nominated David Verne and Shan Richards as trustees. This was seconded by Alice. Shan Richards has agreed to act as Treasurer. We have been delighted and grateful to be receiving £500 a month from a generous donor who is happy for the Trustees to use this money as they see fit. He is particularly keen for the money to be used to provide practical support that helps keep beneficiaries away from drugs and alcohol such as the gym membership. We have had three horses – Rose, Linda and Bonnet - and a foal living at Pipers for part of the year. They belong to a friend of Sue’s and we have a good arrangement where the horses can stay while there is enough grazing and then the owner can take them to another field when our ground needs to rest. ## **Finances** The Trustees are responsible for preparing the Trustees' report and the financial statements in accordance with applicable law and regulations. Charity law requires the Trustees to prepare financial statements for each financial period in accordance with United Kingdom Generally Accepted Accounting Practice (United Kingdom Accounting Standards and applicable law). Under charity law the Trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period. In preparing these financial statements, the Trustees are required to: ~ select suitable accounting policies and then apply them consistently; ~ make judgements and accounting estimates that are reasonable and prudent; ~ state whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the financial statements; ~ prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business. The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity's transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011.They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities. These were padlocks, chains and electric fencing (£841) as well as concrete flooring (£2000) for the area immediately outside the stables so that horses can live in there in the winter when the ground there would otherwise be churned up. - Being in the early stages of restarting activities, and with a healthy bank balance, no income was received this year. With Lunar still being cared for and funded by Alice Evans no operating expenses were incurred. - Pilgrims still has £1,300 which will enable Pilgrims it to either ramp up activities or wind-up it’s affairs at a future date when the charity’s future becomes clearer.
