Structure Governance and Management
This is the seventh Annual Report and Accounts produced for Pilgrims Christian Community Farm (Registered Charity no. 1164700) following the registration of Pilgrims Christian Community Farm to a Charitable Incorporated Organisation (CIO).
Governing Document
Pilgrims Christian Community Farm operates under a constitution.
Appointment, Induction and training of trustees
Appointment, induction and training of trustees under the terms of the Constitution not more than twelve or less than three trustees are required to serve.
The overall balance of skills of the existing trustee body is taken into consideration when looking to appoint new trustees to ensure that a wide range of interests, professional, equine, mental health and social care expertise is available.
Organisation
The trustees are collectively responsible for the strategy and good governance of the charity and usually meet on a monthly basis and at least quarterly, although with the pausing of activities during the year fewer trustees meetings have been necessary. The trustees delegate the management and day-today operation of the charity, within set policies, to the Chairman.
During the financial period 2023/24, one full meeting of trustees took place. Trustees are kept informed between formal meetings on relevant matters relating to grants, the welfare of horses, arrangements with the landowner and clients.
Objectives and activities
Our objectives are to relieve persons suffering from any form of mental illness and to provide recreational facilities for them with the object of improving their conditions of life and befriending them through the provision of a community farm based on Christian principles.
We have offered sessions with horses and other small animals in a beautiful and peaceful location near Leamington Spa and our beneficiaries have been able to help to care for the animals and take part in therapeutic activities with the horses based on equine facilitated learning techniques.

Achievements and Performance
Sessions
We began this year with Sue and Alice doing sessions with people known to them who have mental health difficulties and/or are vulnerable in some way.
Many of the sessions were held at Pipers and activities included interacting with the horses, doing jobs such as painting the stables, art and craft activities and the ever-popular coffee and cake. A particular highlight was a barbeque with15 attendees and a party with 20 attendees.
We are delighted to have welcomed the Esther Group run by Lianne Kirkmann to Pipers. The group met there nine times over the year bringing between 6 and 10 people to enjoy the tranquil surroundings, the horses and good company. The Esther Group is a charity that helps vulnerable women; they run a safe house in Leamington for women who are fleeing from domestic violence or coming out of prison and also some women who are homeless. The charity also supports women suffering from trauma and mental health illness.
Sue has organised a number of days out including a trip to Redwings Horse Sanctuary, board surfing and kayaking as well as going to cafes - a welcome option when there was bad weather. It’s wonderful to be able to provide these activities as most of the people we work with wouldn’t otherwise have the opportunity to go out with friends and try new things. Sue also arranged for some hair and beauty sessions. Another highlight was the Christmas Lunch which was enjoyed by 15 people and an Easter meal as well.
It has been a joy to have some other volunteers hosting and leading some of the sessions, and we’re very grateful to Anne and Alison for their help.
In total, 80 sessions have taken place over the course of the year.
Pipers and horses
At the beginning of November 2023, we had two horses, Ruby and Rocky at Pipers. The trustees had previously agreed to have some concrete laid in front of the stables to stop the area getting muddy and slippery and therefore make it safer for both people and horses. The work was done in early December at the cost of £2000. It has been a great improvement and it is much easier to use the area.
In January we needed to move the horses as there was not enough grass left in the fields for the horses and also the fields needed to rest ready for the Spring. Ruby and Rocky then went back to Pilgrims’ old site, The Meadows in Leamington, which had plenty of grazing for

them. In February, Rocky, who was on loan to us, went back to his owner and Ruby who was only 2 years old went to a training yard. As soon as the field at Pipers had recovered enough, three new horses moved in so that we could visitors could enjoy interacting with them again.
The AGM and Resolutions
At the AGM in June 2024, a resolution was proposed and discussed to disband Pilgrims. Sadly, the trustees are unable to continue to commit to running the charity in its current form, especially with both Sue Oldham and Helen Payne needing to step down as trustees due to poor health.
Fortunately, Sue Verne wishes to continue the sessions she is doing at Pipers and would like to take over running Pilgrims. In particular, she has been financing most of the activities she has been doing herself and doing her own fundraising. This has become difficult at times because often people have wanted to donate by bank transfer but not into a personal account. With the support of Pilgrims’ governance, Sue would be able to use the charity bank account and could also apply for funding.
It was decided to reject the resolution and instead repurpose Pilgrims to cover Sue Verne’s activities taking place at Pipers Bath.
Sue Verne was elected as trustee of Pilgrims having been nominated by Sue Oldham and seconded by Helen Payne.
Alice Evans was elected as trustee of Pilgrims having been nominated by Sue Verne and seconded by Stephen Evans.
Sue Verne was nominated the new Chairman of Pilgrims nominated Alice Evans and seconded by Stephen Evans.
Stephen Evans, Sue Oldham and Helen Payne then stepped down as trustees and members.
The previous trustees raised the question of Pilgrims 50% ownership of Lunar the pony. It was agreed that ownership will transfer to Alice Evans, who already owns the other 50% of Lunar. All other equipment and money will remain the ownership of Pilgrims.

Finances
The Trustees are responsible for preparing the Trustees' report and the financial statements in accordance with applicable law and regulations.
Charity law requires the Trustees to prepare financial statements for each financial period in accordance with United Kingdom Generally Accepted Accounting Practice (United Kingdom Accounting Standards and applicable law). Under charity law the Trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period.
In preparing these financial statements, the Trustees are required to:
~ select suitable accounting policies and then apply them consistently;
~ make judgements and accounting estimates that are reasonable and prudent;
~ state whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the financial statements;
~ prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.
The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity's transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011.They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Pilgrims still has £1,300 which will enable Pilgrims it to either ramp up activities or wind-up it’s affairs at a future date when the charity’s future becomes clearer.
