Structure Governance and Management
This is the sixth Annual Report and Accounts produced for Pilgrims Christian Community Farm (Registered Charity no. 1164700) following the registration of Pilgrims Christian Community Farm to a Charitable Incorporated Organisation (CIO).
Governing Document
Pilgrims Christian Community Farm operates under a constitution.
Appointment, Induction and training of trustees
Appointment, induction and training of trustees under the terms of the Constitution not more than twelve or less than three trustees are required to serve.
The overall balance of skills of the existing trustee body is taken into consideration when looking to appoint new trustees to ensure that a wide range of interests, professional, equine, mental health and social care expertise is available.
Organisation
The trustees are collectively responsible for the strategy and good governance of the charity and usually meet on a monthly basis and at least quarterly, although with the pausing of activities during the year fewer trustees meetings have been necessary. The trustees delegate the management and day-today operation of the charity, within set policies, to the Chairman.
During the financial period 2022/23, one full meetings of trustees took place. Trustees are kept informed between formal meetings on relevant matters relating to grants, the welfare of horses, arrangements with the landowner and clients.
Objectives and activities
Our objectives are to relieve persons suffering from any form of mental illness and to provide recreational facilities for them with the object of improving their conditions of life and befriending them through the provision of a community farm based on Christian principles.
We have offered sessions with horses and other small animals in a beautiful and peaceful location near Leamington Spa and our beneficiaries have been able to help to care for the animals and take part in therapeutic activities with the horses based on equine facilitated learning techniques. However with the pausing of activities this has not been possible during this year.
Achievements and Performance
At the beginning of November 2022, Pilgrims had been on hold since November 2019. However, during that time Sue Verne, owner of Pipers Bath Stables (the site we had intended to move to when we left The Meadows in Leamington) had been making improvements to the site. The derelict barn was rebuilt and made into a lounge area, a compost toilet was installed and most of the fences repaired. In addition, an old horse lorry was converted into a lounge area with a gas stove. Sue Verne used the facilities to provide

activities for a group of vulnerable ladies she had befriended whilst working as a support worker. (???)
The trustees of Pilgrims decided that we still did not have enough time or volunteers to start the charity formally. However, Sue Verne wanted to have horses at Pipers Bath and offered the use of the site to Alice Evans. They agreed to use the facilities and the horses for informal sessions with people that they knew who were vulnerable and/or had mental health difficulties.
A few adjustments were needed so that Pipers could accommodate horses safely including locks for the gates and a new section of fence which the trustees agreed to pay for.
Lunar the horse that Pilgrims had taken on before Covid had been cared for by Alice Evans who ensured she had the appropriate training every young horse needs. Unfortunately Lunar injured herself in February 2023 and needed surgery which she was still recovering from at the time we were ready to take horses to Pipers. As she needed box rest, it was decided not to take her to Pipers and instead, in April 2023, Ruby and Apollo arrived.
As soon as the new horses were settled, Alice and Sue began to offer informal sessions. Between April and November we were able to offer sessions to people we know who are very vulnerable and/or suffering with mental health difficulties.

As winter drew closer, Alice approached the trustees about providing funding to have concrete laid on the grass area outside the stables. This was to improve access between the barn and toilet and also between the stables and field as it would become very muddy and slippery in wet weather. It would become unsafe for visitors when the horses needed to use

the stables as unfortunately leading them over the grass on a daily basis would quickly churn it into a muddy mess. The Trustees agreed that although the concrete would be expensive and use the majority of Pilgrims’ reserves, it would be a good investment for the site’s suitability for sessions both now and in the future.
Finances
The Trustees are responsible for preparing the Trustees' report and the financial statements in accordance with applicable law and regulations.
Charity law requires the Trustees to prepare financial statements for each financial period in accordance with United Kingdom Generally Accepted Accounting Practice (United Kingdom Accounting Standards and applicable law). Under charity law the Trustees must not approve the financial statements unless they are satisfied that they give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period.
In preparing these financial statements, the Trustees are required to:
~ select suitable accounting policies and then apply them consistently;
~ make judgements and accounting estimates that are reasonable and prudent;
~ state whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the financial statements;
~ prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.
The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity's transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011.They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
Notes relating to finances for 2022-23

During the year a number of special purchases were made in order to help set Pipers Bar up for sessions. These were padlocks, chains and electric fencing (£841) as well as concrete flooring (£2000) for the area immediately outside the stables so that horses can live in there in the winter when the ground there would otherwise be churned up.

Being in the early stages of restarting activities, and with a healthy bank balance, no income was received this year. With Lunar still being cared for and funded by Alice Evans no operating expenses were incurred.

Pilgrims still has £1,300 which will enable Pilgrims it to either ramp up activities or wind-up it’s affairs at a future date when the charity’s future becomes clearer.
