## **AGM for 2024/25 held on Thursday 10[th] April 2025 @7.30pm** 

Present: Patti Derry (Chair), Richard Warner (Treasurer), Chris Eames, , John Milner, Angela Forrest, Di Swansborough, Jane Eyre, Mike Evans and 5 members of the public 

- 1 Apologies None 

- 2 Minutes of the AGM on The minutes of the 11th April 2024 were accepted as a true record by all who were present. 

- 3 Maters Arising 

- Having a digital plan of the Hall for hirers to plan table placing etc had been explored but was deemed as too expensive software for the use by the hirers of the Hall 

- Adjustments to the noisy fan in the disabled toilet had been attempted with some success, Richard Bines still has this on his to-do list 

- The hedge at the side of the carpark is planned to be cut in the autumn

I would like to start my report by thanking all the Trustees and for their hard work and commitment over the last year. This co has played no small part in the great success of the village hal again this year. The hall continues to be used regularly and app by local groups and people from outside the community. 

The range of activities in the hall continues to offer opportuniti sport, culture, hobbies, entertainment and social interaction t sections of our community and bookings for people outside M are growing especially at weekends for weddings and parties. from all of these groups has been very good and as always the cleanliness of the hall is a major feature of that positive endor Thanks must go to Julie for her care to ensure everything is per each booking. 

Financially the Village Hall is in a healthy position thanks to th the high volume of lettings, the income from Flicks in the Sti annual grant from the Parish Council precept. We are very gr those contributing to our funds.  The Trustees regularly rev from  suppliers  and  contractors  and  endeavour  to  find economically favourable for the benefit of the Village Hall. panels help to offset some of the cost of electricity so th running and upkeep costs have been met any surplus can b back into the continued improvement of the hall facilities, 

Currently there are 9 Trustees appointed in line with the constitution.  All trustees are elected or appointed at the Ann meeting.  At the AGM we are saying goodbye to our Richard W has been treasurer since the opening of the hall.  We woul thank him for the efficient and thorough work he has put into t wish him best wishes for his future life.  Moving on, we are announce we have found a replacement for this role and we

CE suggested that the Trustees wrote to Julie Goodchild to thank her for all her hard work through the year. 

- 5 Treasurer’s Report 


Proposed by Chris Eames, seconded by Jane Eyre. The accounts were accepted unanimously. 

   - The treasurer report that there is roughly a £900 deficit on the year, this is explained as the feed in tariff and Renewable Heat incentive are out of sync with the electricity bill. The heat pump was faulty for a time meaning the immersion heaters heated the water for the underfloor heating causing larger electric bills (this has now been rectified). 

   - The fire extinguishers needed replacing this year and the emergency lighting needed some expensive repairs. 

   - Hall hire – Baseline fees were increased for the first time in 5 years. 

   - The funds raised by Flicks in the sticks is given annually after they have completed their accounts for the year. 

- 6 Appointment of Auditor for 2025/26 Proposed by Patti Derry, seconded by Chris Eames. Alan W Scott F.C.M.A. was appointed unanimously. 

- 7 Electon of Trustees for 2024/25 

The Trustees are made up of up to 8 elected members and 6 nominated members. 

All current Trustees, apart from Richard Warner, were willing to stand again and a new Trustee, Paul Haskell was elected.  Paul is happy to take on the role of Treasurer. All were re-appointed/elected en masse. 

Massive thanks were given to the retiring treasurer, Richard Warner, for all his work over the last 6 years.

- 8 Public Forum. 

   - Uneven paving slabs at the side of the Hall were reported, this will be considered by the trustees at the next meeting and action decided then, there are signs warning of the unevenness so hopefully the public will be aware and take care. 

   - The size of the site of the actual village hall land was explained to the meeting 

   - The information of the web-site and the notice board signage was explained re the clubs that use the hall and how to contact them. The meeting closed at 8.15pm
