## **THE ANNUAL ACCOUNTS AND REPORT OF THE ROTARY SOMERSET COMMUNITY VOLUNTEERS TRUST: CHARITY NO. 11642381**
**INTRODUCTION** - The Trust continues to serve the communities within Somerset and surrounding Counties with a voluntary service to assist anyone in need and to aid the civil authorities in the event of any emergency. The Trust is a recognised Rotary body to be called on by the civil authorities if an emergency is such that voluntary organisations are called to assist.
**THE ACCOUNTS -** With a single bank account our accounts are split into three separate areas:
_**The Charity account**_ covers those monies raised for charitable purposes. Such monies are ring- fenced to be used only to assist individuals or communities who are most in need of help, whether by a donation form the Trust or by expenditure incurred (with an audit trail) while our volunteers render actual assistance.
_**The Club account**_ consists of funds used to manage and organise our Trust and its membership. It consists of donations intended for this purpose and members’ subscriptions. The Charity account opened with a donation from our predecessor SSCV (SEV) that emerged, as did our Trust, from the 2014 Somerset flooding event.
**EVAG PPE account** consisted of funds that have been granted to the fund for specific purposes, these funds are ring-fenced by the donating body. During the last reporting period a grant provided applied from Somerset Prepared, (a multi-agency partnership working closely with communities to deliver advice, support and training to help and enhance local resilience) this grant was for the purchase of specific Flood defence stores, self-inflating (Sandbags) and PPE to enable us to issue these to those most in need. At the end of this reporting period, we the Trustees’ decided to pass all grant monies back to EVAG, so that they can purchase all the new stock that they require. The Rotary SCV Trust will no longer account for these (Ring Fenced) funds and this section of the account is to close.
**TRUSTEE’S** - Our 5 trustees have only met on 8 separate occasions over the past twelve months, 5 of those have been via Zoom meetings, the more recent were face to face meetings, which have been very worthwhile, although the Rotary SCV is in decline. The Trustees have continued to maintain membership with little success. Our Club membership has dwindled with our membership being unable to meet an or to assist people in the greatest need. We are considering winding up the Rotary side of the club. The SCV is to continue without the comfort blanket of the Rotary Insurance. These last two years have not been good for membership, we have tried hard to maintain numbers but not being able to do anything to get out and help people has not helped our cause, I am sure that should the need arise, we would be able to recruit folk who would like to help those in most urgent need.
**LOGISTICS** - Over the past six years our Rotary Club has worked closely with the Rotary Emergency Volunteer Action Group (EVAG) who has covered the cost of the storage of our flood related stores. We continue to manage a centralized, secure, storage location. Our stores managers conduct regular stores management checks on the stocks of Flood related Stores that we hold. These must be maintained in a good and serviceable condition and ready to be issued. Items that are nearing the end of their shelf life or are showing signs of deterioration are “conditioned” by our staff; these conditioned stores are removed from issue and where possible are sold or disposed of. Moneys raised from these sales go toward the Good and Benefit of our Charity Account.
We have also continued to make, maintain, and deliver Flood Packs from our own bulk stocks; these are delivered to people who are at continued risk of Flooding. We have issued a total of 23 Flood packs, 15 pairs of Waders and a separate 210 yellow Plastic (Sand) bags since July 2020. We have formed a relationship with local Parish Councils, and they now hold small stocks of Flood Packs to assist local people in time of need.
The relationship between our Club, EVAG and other Clubs within the Rotary District 1200 has continued, we are working closely with three County Councils of the West Country, to facilitate the management of Spontaneous Volunteers, should the need arise. Their aims closely align with ours this senior management group has provided direction to our members to meet their volunteering needs.
**AID TO THE CIVIL COMMUNITY** - Our Rotary SCV Trust members who were originally Spontaneous Volunteers, have provided aid to the Civil Community, for many years. We have continued to issue flood packs to local communities, who are subject to flooding. These now include Parish Councils, Village Halls and many private houses throughout Somerset and Devon. Each flood pack contains, 15 x Self Inflating Sandbags, 30 Yellow Plastic (Sand) Bags with polymer inserts, together with a Large, waterproof bag, for the preservation of bedding, clothes and any such items. This year we have added a wind-up torch and a whistle to attract attention into our flood packs and these new items have been well received.
Throughout the Co-vid 19 Pandemic, we have provided our members to act as Car Park Marshalls and Guides at the new Vaccination Centres as they opened. This has been seen as a worthwhile task for our club to perform and has been enjoyed by many – by doing their bit for our local community.
**GRANTS FROM THE CHARITABLE TRUST -** Our Club has made two grants in this reporting period to those most in need. Our Trustees have seen fit to present two donations, we provided £500.00 toward the cost of diesel fuel to enable a Hired Vehicle loaded with much needed medical stores to travel to Ukraine. The second was to provide support to The Shoe Box Appeal, where a club member purchased pram covers for a local family in need, at a cost of £64.99. A total of £564.99
**SUMMARY** – Although the Co-Vid 19 pandemic has continued to hamper our progress, this has been another very good year for our Charitable Group. We have now properly developed our club management systems; although we are all now “Rotarians” and have formed strong bonds and friendships within our group. We are not sure that being Rotarians is the way forward for our club. The annual expense of membership has been difficult for some of our younger members. Next year we will make the necessary decisions on our future; our membership has not grown throughout this reporting period, we still have a strong following of Associate Members. “The Trustees of Rotary SCV Trust” have continued to meet regularly and make all financial decisions

for the Trust and Club. We have enjoyed limited social activities together but have maintained our ability to react to any emergency that we are asked to aid and support, wherever it is needed.
