The Manchester Digital Music Archive Trust IMDMArchivel is a small charity which was
estoblished with the objectives of=
Advancing the public's knowledge of and raising artislic capobilities in music ond
related cultural endeavour5 in the Greater Manchester area through the provision
of digital archives and accessible documentalion. and by holding lectures.
creative workshops, performances. exhibitions etc.
Providing. or assisting in the provision of. facilities for recreation and other leisure-
time activities for the general public which support the promotion of their
educational well-being.
Purposes and Alms
Manchester Digital Music Archive is an online community archive that celebrales Greater
Manchester music and its sociol history. It was established in 2CQ3 and became a
registered charity in October 2016.
Our mission stalement is to celebrate Greater Manchester music. protect its heritage and
promote oworeness ol its cultvrol impcrftonce.
Our crowd-sourced archive and website is a place for people all over the world to share
Manchester music ephemera and memories. be they fans. musicians or involved with the
music industry itself.
We ore possionote obout celebroting the hidden chopters ond under-represenled
communities within Greater Manchester music. We believe that through crowd-sourcing
artefacls we can democralise heriloge and provide a platform for mulliple versions of
history lo be shored. There is no hierorchy of'merit. wilhin our archive. The general public
decides what is important and what is'heritage,.

they have brought to those people that the charity aims to help. This enables MDMArchive
to ensure that its aims, objectives, and octivilies remain locused on ils stoled purposes. We
have referred to Ihe guidance contained in the Charity Commission's general guidance
on public benefit when reviewing our aims and objectives and in planning our future
octivities. In porticulor. the Iruslees consider how plonned oclivities will contribute to the
aims and objectives they have set.

Completlng Connectlng Manchester's Muslc Archlve (CMMA)
The CMMA Database is live on our system and is currently awaiting further updates from
the partner archives, wth materiols. This is now finished in terms of our commitment, but
we hope that more information will be added to the dalabase, and Ihere is the prospect
of further funding down the line to extend this aspect.

RNCM 51yh Annlversary Programme
We ore partners in the RNCM 50th Anniver50ry progromme thot was funded via NLHF. Thi5
work involved support to update our website and extend the archive of materials we host
on behalf of the RNCM. Recordings of concerts were digitised by the Sound Archive and
uploaded to our site. We are in process of producing 3 podc0515 telling the story of the
RNCM, with images. sound and interviews for this celebration and will host Ihis on our site.
This is ongoing work.
Volunleers
We have been working with volunteers from RNCM around adding additional material
and contenl to Ihe site. especially adding informotion to ortefocts that were lacking key
detail for searches. This is ongoing and has given us strong regular volunleers that we
hope to work with after Ihis project ends.
Louder Thon Words (LTW) Festlval
Plans ore unde￿aY to take part in this year's LTW Festival, at which we intend to re-run our
'Black Women in Music, panel and add lo this a panel on 'Women in Hip Hop., We ore
hosting this as part of our 201h Anniversary Celebrations.
201h Annlversary Celebrallons and New Webslle
The majorily of our focus was cenlered on the redevelopment of our sile. making it more
user-friendly and occessible for uploads. This work is ongoing, ond os we hove generated
income Ihrough other project octivilies. we are currently self-linoncing this mojor Charily
activity. This means we mainlain control over the content. and the rights issues we were
faced with using public funding.
We have really targeted our social media channels lo gain more engagement ond bring
people to the site. Our Facebook Group now has 3.500 members Ivp 1,000 members on
lasl yearl and our Page has 2.500. Our Inslogrom has up to 1,31XJ from 1.000 member5. We
have resorted to posling directly to X (Twitter) as our bot has now been disabled, due to
cost. We aim to mointain ond grow o bose of volunleers to stort doing more content for
the sociol channels.

Prlnclpal Fundlng Sources
The Chorily's main source of income in the year was for the delivery of the CMMA project
1£5,6001. £300 was received for our contribution to Manchesler Histories Festival Research.
Donations in the year totalled £41X) with regular £1 O and £5 input from two key donors. No
grant funding was received in the year directly by us.
Reserves Policy
The chority does not currenlly have a reserves policy. It ha5 no premises or salaried staff, 50
winding up costs in the event of an unplanned shuldown would be negligible.

Structure, Governance and Management
Recrultment and Appolnlmenl of Trustees
Trustees are oppointed for a temi of Ihree years by a resolution p055ed at a meeting of
the charily Irustees. Individuals are selected for appointment as trustees with regard to the
skills, knowledge and experience needed for Ihe ellective administrotion of the charity
ond ore sought through the networks of existing Board members. Skills represented
amongst the truslee body include digilal technologies. rnu5ic and cultural history, arts
odministrotion, ond finance monogemenl. Trustees who retire con be reoppoinled or up
to three consecutive terms but may only be reappointed for a fourth term after an interval
ol one year.
Governlng Document
The chority was established as a Charilable Incorporated Organisation ICIOI who's only
voting members ore its charity trustees I'Foundotion' model constitulionl. The constitution
establishes the object5 and aims of the charily and how il is governed. In the evenl of the
charity being wound up, the members are liable to contribvte no more than £1 for the
poyment of the debts ond liobilities of the CIO.
Inductlon and Tralnlng of Truslees
Prospective new trustees are introduced to the work of MDMArchive by otlending
meetings with the Chair of the truslees and other boord members. These briefings also
cover the legal obligations and responsibilities of trustees.
New trustees are referred to the Charity Commission's 'The Essenlial Trustee.. What you
need to know, resource. the Charity's constitution. and the latest published accounts.
Rlsk Management
The Board of Trustees has conducted a review of Ihe major risks to which the charity is
exposed. Where appropriate, systems or procedures hove been estoblished to mitigole
the risks the charity faces. Procedures are in place lo ensure compliance with health ond
sofety of volunteer5. young people. other service use[5 ond vi51tors. Internal financial risk5
are minimised by the implementation of procedure5 for the authorisation of all
transactions, and syslems are in place to ensure compliance with health and safety
legislation.

Organlsatlonol Structure
The only members of MDMArchive are its charity ITU5tees. The Iru5tee body meets 05
required lo agree the charity's programme of activity. The general day-to-day
administration and management of finances are undertoken by board members and a
volunteer co-founder of the organisation. In the current period, freelance staff were
engaged to deliver elements of the HLF project. Olher project activities were undertaken
by the co-founders working in o voluntary capacity and other volunleers.

The Board ol Trustees is responsible lor preparing the Report of the Board of Trustees and
the financial statements in occordance with applicoble law and regulations.
Chority low requires Ihe Boord of TTU51ees to prepare finonciol slotements lor each
financial year. Under Charity law the Board of Trustees must not approve the financial
statements unless they are satisfied that they give a Irue and lair view of the slate of affairs
of the chority ond Ihe income ond expenditure of the chority for thot period.
The charity has a gross income ol less Ihan £250,[￿ and has prepared receipts and
poyments occounts Using the Chorily Commission chority occounting lemplate CCI 60.
The Board ol Trustees is responsible for keeping adequote accounting records that are
sufficient to show ond explain Ihe chority's tronsoclions ond disclose ot ony time Ihe
financial posilion ol the charity and lo enable it to ensure that the financial statements
comply with the Charities Act. They are also responsible for sofeguarding Ihe ossels of the
chority ond hence toking reosonoble steps for the prevention ond detection of froud and
other irregularities.

I report to the trustees on my examination of the accounts of the Manchester Digital Music Archive Trust (the
TrLJStI for the year ended 31 October 2023.
Responsibilities and basis of report
As the charity Iruslees of the Trusl you are responsible for the preparation of the accounts in accordance
with the requirements of the Charities Act 2011 {Ihe Acl'}.
I report in respect of my examinatson of the Trust's accounts carried out under sedion 145 of the 2011 Act
and in carrying out my examination I have followed all the applicable Directions given by the Charity
Commission under section 14515llbl of the Act.
Independent examlner's statement
I have completed my examination. I confim that no material matters have come lo my attention in
connection with the examination giving me cause lo believe ihal in any material respect..
1. accounting records were not kept in respect of the Trust as required by seth'on 130 of the Act,. or
2. the accounts do not accord with those records.. or
3. the accounts do not comply with the applicable requirements conceming the form and conlenl of
accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any
requirement that the accounts give a 'true and fair view which is not a maller considered as part of
an independent examination.
I have no concerns and have come acros$ no other matters in Connection with the examination to which
allenlion should be drawn in this report in order lo enable a proper understanding of the accounts lo be
