## **MINUTES OF ANNUAL GENERAL MEETING HELD AT CRESSAGE VILLAGE HALL TUESDAY 16[TH] NOVEMBER 2021 @ 7.30pm** 

_Present_ :     Matthew Ellis, Marie Instan, Clare Walshaw, Jenny Chadd, Rob Davies, Brian Oakley, Laura Christmas

**1. Minutes of previous AGM -** These were read and proposed by Matthew Ellis and Seconded by Clare Walshaw. All agreed. 

**2. Chairman’s Report –** Thank you all for attending. Thanks to Secretary and Treasurer 

I would like to thank you all for joining us this evening. I would also like to thank Clare and Matt for their continued support and dedication to our Village hall over the last year. 

The last 18 months have brought new and unexpected challenges having to change the way we operate due to the Covid pandemic. Initially having to close completely, followed by writing risk assessments, keeping up to date with the ever changing government guidelines and putting in extra measures to keep ourselves and all who use the facility safe. 

Some of our groups were able to return in the 2nd phase due to the nature of their business however it was July that the majority were able to continue their activities. We made the decision as a committee to hold open all regular users slots based on their pre Covid timetable until the time they as organisations felt safe to return. I am pleased to say that all groups are now back with us. We continue to encourage good hygiene practices from all our groups and have a cleaning regime in place for all users to minimise the risk of infection. 

We were fortunate enough to get a grant to help with the cost of making changes and the loss of revenue during this time, which has eased the stress from a financial point of view. 

The pandemic has meant that holding large fundraising events has not been an option. The committee decided during this time we would not hold our annual Christmas Fair as effective management of social distancing would be difficult whilst still making the event viable. We have started back with our monthly bingo which provides us with a small profit every month and is attended usually by around 16 -24 people. 

Looking ahead to next year it would be great to have some community events for all to enjoy and continue to raise vital funds to keep the hall operational. 

## **3. Financial Report – Presented by Matt Ellis** 

A financial statement was presented as at 31.12.20 which showed Bank account and cash in hand of £25,093.19 including Fund raising account of £7,500 proposed the accounts and Clare Walshaw seconded by Marie Instan and everyone agreed. 

## **4. Letting Secretary’s Report – Presented by Marie** 

After a very quiet few months at the beginning of lockdown where we all became hermits, things are now getting back to normal with taking bookings. 

All our regular groups, WI, CGC, Tia Chi, Silver Movers have now started back up. We have also welcomed some new groups Jamie’s Ballet, Liz with Yoga, Talks on Tuesday and Rebecca with Friday story time, which is great for the community. 

Private bookings have also increased since September as everyone has been able to start celebrating with extended family and friends. We have had many children’s parties and adult birthday celebrations along with bookings from Business users. 

Bookings have also been taken for December and into 2022 so looking ahead things are very positive. 



**6. Election of Committee -** None Received.  Rachel Neale would like to join the committee along with Rob Davies and Brian Oakley.  Jenny Chadd and Laura Christmas happy to assist with events but do not want to join the committee.  Welcome new members and helpers!  Many thanks for coming on board, we value you input and commitment. 

## **7. AOB** 

Brian Oakley paid special thanks to Marie Instan for all her commitment and dedication and commended Marie for her prompt responses which are well received. 

The meeting Closed at 8:00pm followed by a committee meeting.  Next AGM Wednesday 13[th] July 2022.
