General Conditions
BOOKING APPLICATION AND BOOKING FORAI
1. Application for the hire of any GLL BelEer facility must be made on the BOOKING FORM which must be swned by
a valid We￿senta￿"ve of Ihe hiring group or club. or in the case of ir)dividual Hirer, by the person who will be
pawng Ihe hire fee. This person, fesponsible for paymenl of all sums due under this contract. is hereafter referred
lo as Ihe Hirer. Th￿ contracl is personal kn the Hirer, and the Hirer may not assign, novale or share Ihe benefit of
this agreement or the ngms, interest and benelit under rt wrth any other party. The Hirer may not re-sell the hiTed
space wheiher or not for a monetary charge.
2. No part of the premises or facilty is lo be used for any purpose other Ihan the event type sel out on the t*)oking
form. noi is rt to be used foT any unlawful purpose 01 in any unlawtul way. The HFrer may not at any b.me use the
premises for the purposes of running a business.
3. Set up and sel down time should be included wthin your required booking kn'me slot on your booking fom.
The signing of the booking fom indicates and confirms the Hirer has read, understood. agreed to and will abmle
by Ihe lerms and condilions of hire set out in this d￿Ument and any other relevant temis as advised by GLL
Better.
S. An invoice wll be sent shortly after receipt of the cOMp￿ted and signed Booking Fom) and will indKate
acceptance of Ihe booking subject to due paymenl(sl being received.
DEPOSITS
A booking is not confimied Un￿.1 as a mtnimum, the non-refijndable dewsit of 25% is recetved and cleared by GLL
Better. A Security Deposit may also be required amounting to 10% of the total booking value which will be
refunded after the booking less any arnount5 for damage or losses incurTed.
PAYMENTS
In order to confirrn the booking the noTr-refiJndable deposit must be paid. Full payment musl then k made at
least 6 weeks prior to the date of the booking (or the first date of a Mu￿"ple booking) 01 within 14 day5 of the dale
of receipt of invoice. or at the time of booking whoever if the booking is for less than 30 days time. GLL Better
reserves the rMJht to cancel the booking, without refund of the deposrt, if the full paymenl is not received on tr'me.
8. Hirers may pay by cheque- please make cheques payable lo Greenwich Let5ure Limrted and wrile Ihe invoKe
numbei on the ieverse SKfe of the cheque- wh￿h should then be sent to Gieenwich Leisure Limiled. The
Finance Department, Mithjlegate House, The Royal Arsenal, London. SE18 6SX. (Please note that we do not
issue receipts for payments sent to this address unless a stamped addressed envdope is supplied). Please do
not send cash through the post- cash payment wll be accepted at the IIKakn"on of your booking only. If you wish
lo pay by bank transfer please make payment to Barclays Bank, sort code 20-00-00 alc number 23567338 and
Use YOUT invoice number as the reference. It is critical that the invoice number is used otheThMse the payment
will not be credited to your account and YOUT booking may be ieopardised_
Hirers who fall into arrears will be denied access lo the felevanl booked Factlty and wll not be offered any fijrther
bookings until Ihe debt is cleared. Debts will be pursued via nomial legal channèls. Repèaled debtors will be
denied all fulure bookings unless paKI for in full at the time of booking_
LICENCES
10. Where applicable, the Hirer is responsible for Ihe cOmpl￿nce with the lerms and condrtions of any licence issued
by the local Council or any other body. Any PRS OT PPL or other IKence payments are the full responsibilty of the
Hirer and must be made direcl to the collects.ng body.
SAFETY AND SECURITY
The Hirer is responsible for ensuring the fdlowing safety rules are adhered to_ The hirer MUST

14. Provide sufftcient adult supervision where the majonty of the people attending are children or people with special
needs. In any case a Tninimum of 2 responsible adults rrFusI bè piesent throughout Ihe bLKJking.
15. Be Pfesenl, or have present a nominated responsible representative as nolstied to GLL Better in advance, al the
booked actsvty ihroughoul the period of hire. Such person shall be fully responsible for the proservatr'on of order
during the bwjking
16. GLL Better shall not in any circumslances accept responsibiltly or liabilty in respecl of any damage or Ioss of any
property or any items left upon the premise5 by the Hirer or any Other person connected wilh the hire. GLL Better
staff are not authorised to accept iesponsibilty foi the safe keeping of any money, good5 or equipment. The HiTer
musl communicate this to all participants. The GLL Better staff may al their discretion tempofarily store equipment
at a faciltty at the request of the Hirer but GLL Better sh￿1 accepl no responsibility for loss, damage or theft of
such equipment.
17. Where the Hirer collects, processes and stores personal data from indiwduals in relation lo Ihe Booking, Ihe Hirer
is entirely liable for the safety security and 3PPTopriate use of Ihat data in full compliance WEth the GDPR and the
Data Protection Act 2018. GLL Better shall nDt in any circumstances be liable in respect of any breach of such
legislat'on in relation to that dats. howsoever tl (tcurs. or for the loss, damage, Iheft. c￿n￿P110n ot Of any
interference wrth, any personal data for which the Hirer is the Data Controller.

DAMAGE TO FACILITY OR PROPERr
18. The Hirer agrees to defray the cost of making good any loss or damage taused to the building. goods, ehattels.
apparatus or appliances erther to GLL Better or of any other persons during the penfyj of, or arising in conneclion
wrlh or as a consequence of this booking. The Hirer is hereby accordingly advised lo consider acquinng insurance
protectson in this respect an(1 rf required by GLL Better shall present ey￿enCe of sutlable insurance.
19. After cOmp￿tiOn of Ihe bookirrfJ, the condition of the facility and equipment wll be in inspected and any costs of
repairs or replacements wll be reclaimed by the issug of an invoKe tr) the Hirer wlw'ch the Hirer agrees lo pay
wtlhin 30 days
LEISURE CENTRES ONLY_ HIRE OF POOL

20. In emergencies, assistance will be gNen by the duty staff using Ihe takl down pr￿edureS.
21_ The hirer must ensure that all pa￿'c1Panls and visitors (e.g. parents. etc.) abide by the centre rules as displayed.
22_ Pool hire is for social, recreational and com￿￿"tiVe purposes onty. The leaching of swimming is not permitted_
23. Clubs hiring the pool must Pfovide to GLL Better evKlence of appropriale Publ￿ liabilty insurances when
requested.

GLL permrts clubs hiring swmming Fools lo arrange and prov#Je their own lrfeguards. In these circumstances. the

24. The club is required to provide an adequate number of appropriately qualrfjed Pod Lrfeguards who are trained to
nats'onal standards. The club is entirely responsible for checkir¥J. monitoring and procurirvj such qualrfKal￿nS and
training and ensuring this requirement is met by all lrfeguards_
25. The lrfeguaTds must:

26. The Hirer is entirely responsible for ensuring the lifeguards:
feguard and monitor the hired pool area
Supervise the users in Ihe hired pool area
Manlain order in Ihe hired pcol area.
27. In the case of sub aqua club5, in addition to the above. at least one member of the club must hold eilher a current
RLSS Pool Lifeguard or a current PADI qualified Rescue Diver.
GENERAL CONDITIONS I BEHAVIOUR
28. For the benefit of all cvstomer5 and stsff and visitors to the f￿lIty, the participants of the booked activity must

29. Alow yourself and your guestsfvisrtors plenty of kn'me to pas5 through feceplion eSpec￿llY al peak times lo ensure
you are ready lo slart your booking on time_
30. Out of courtesy to otheT useTS. ￿ease keep all people a$S￿Lated th your booking clear of the facilty unbl your
t￿kIng is due lo start.
31. p￿aSe ensure you vacate the facility on I'me at the end of your booked activty
32. The Hirer fflust obtain GLL Better's express written permission in advance of takj.ng any photographs or VKleo
recordings on OT inside the GLL Better facilrty.
33. No smoking is permitted in the GLL Better facility and the Hirer wll ensure all guests or visitors associated
this booking are aware of and will comply wrth this ru￿.
3d. The facility I room shall be clean and returned to its original condrtion at the end of the booking time.
35. No animals (other than Assislance Dogsl shall be pemiitted into the GLL Better facilily.
36_ GLL Better shall not be liable to any party for any k>sses damage or expenses arising out of any circumstancB
beyond its control which may cause Ihe GLL Better facility to be temFM)rarily closed, or the t￿okIng to be
interrupted delayed Of cancelled. No refund in whole or in part shall be due in such an event.
37. GLL Better reserves the righl lo temwrarily or permanently exclude or refvse admission lo the Hirer, (whether
that be an indNidual or a group or clubl or any of its wsrtors or parb"cipants, from the GLL Better facility or
premises irnmedialely and in the futuie, to cancel any exisb.ng fuluie regular bookings. wilhoul refund, to refuse
any further bookings from the Hirer there in GLL Petter's opinion the Hirer, rts visitors or partKipants behave in
an unacceptable or antl Social mannei. fail to follow leasonab￿ instructions, abuse or misuse GLL Better's facilty
or equiwnen( or use abusive gestures 01 language to GLL Better's staff.

provided and rt is the respon5ibilty of the Hirer to ensure that those cOnd￿0￿S are adheied to by all party
pa￿"¢lpants and allendees.
Pool Parties
In emeigencies, assislance will be gtven by the duty staff using the laid doY*n procedures.
g) It is the responsibility ofthe Hiferto ensu￿ ihat the GLL Better"Birthday Party Rules" and the"Swim
Safety Rules" (contained in the Birthday Party Conditions of Bookings) are adhered to at all limes in
particular the iequirements for ratios of swimmers to non-5wimmeis.
h) If the correct ratio of competent adult swirnmers is Trot present then the party will NOT be pemiitted to
proceed. There shall be no refund or discount of any monies in relation to any party so affected.

authorised so lo do, and understsnds that the club or organisalion will be bound by Ihe oblig3tsons Ihat are
contained therein.
bl When requested. all such Hirer5 must Provide to GLL Better evidence of approwate public liabilty insurarKe.
c) By signing the booking contract Hirers are ccfifimiirsg they tsndersland and accept their entire responsibilrty for
Safeguarding the pa￿'c￿pantS that attend their sessions including having in place specific safeguarding policies
arKI procedures that comply wilh the requirements of sects.on 11 of the Children Act 2004 and WorkiTVJ Together
lo Safeguard Children 2015.
dl When requested 50 to do. the Hirer rnu5t provide to GLL Better evidence of the existence and use of these
policies and procedures_
el The Hirer must confirm in Wr￿"n9 to GLL the name and contscl detsils of the Hirer's nominated person who
lakes the lead role for safeguarding and managing concems about children and vulnerable adums
The Hirer will use its bfrst endeavours to ensure persons employed by or WOTking for the Hirer ha5 the right to
work in the UK.
CANCELLATIONS
i) Bookings cannot be cancellad or altered once a conlract has been agreed.
j) Hire fees a￿ not Iranslefable or refundable other than in Ihe examp5es given above wth regard to credits for
unavaiLAbilily.
CONTRACTED PERIOD
k) Contracts for the hire of GLL Bettef facilth.es are generally made for a peric*J of 3 months (referred to hereafter as
a Pericél. Where possible, contracts Tun by Ca￿ndar months divided into norynal calendar quarters as follows..

l) In special circumstance5. Ihe length of hiie fflay be altered by agreement wilh the GLL Better facility
management team.
m) GLL Better may issue a contract at any lime pending availability but ¥there possible. the contract renewal wi
take place in line wilh the calendar month periods listed abov8.
n) On entering inlo the contract: the Hirer agrees to pay for the room or facility al the required dayltsme for all
availab￿ slots within the de&gnated Penod. The contracl will slate the actLtal days of the hire and detsils shoukj
be checked carefully_
o) If the Hirer meets these contract conditions GLL Better ￿1] nomially re-offer Ihe facility and lime slots for the next
Period {'renew the contract.). However, GLL Better reserves the nght lo not renew any contract at ils entire
di5crètson, or lo cancel or suspend any contract by giving al least one Period's noltce should the need arise
unles8 extreme circumstances mean that GLL is unable to provide that ￿ngth of notKe. in which case as much
notice as is reasonably practscaNe will be given.
pl In general, GLL Better will offer contract renewal at ihe beginning of the month pr￿r to ihe contract peri￿_ The
Hirer must confiTm acceptance ofthe new contract wtthin TEN DAYS or rt will automatscally be assumed that the
Hirer does not wish to renew.
q) GLL Better reserves the right lo cancel or aller a contract at short notice due to closure or part closure for
emeigency Of urrforeseen circumstances. Credits will be offered when this occur3_
