MINUTES OF CHARITY TRUSTEES MEETING
26th September 2024
1. Present:Chris Hastngs (CH); Gary Jones (GJ); Carolyn Watson (CW); Neil Wilson. Apologies from
Denise Jones.
2. The Meetng was called to review and comment upon the Club’s actvites in the year since the last
Trustees’ Meetng (11thOctober 2023), to prepare the annual report for submission to the Charity
Commission by30thOctober 2024.
3. Review of year since October 2023:
Trustee Richard James has stepped down and the Trustees, on behalf of themselves and the club,
expressed their immense grattude to Richard for his treless eforts in this role and other
signifcant roles within the club.
Plenty of actvity took place over the period including partcipaton in other Club’s Regatas during
the rowing season, although there was some disrupton and cancellatons due to bad weather, this
was less of a problem than the previous year.
The World Championships at the Isles of Scilly were well atended, and good results were atained.
Congratulatons were expressed for the ladies A team who achieved the highest ever placing for a
Clevedon team at the County Championship in Newquay.
18 Rowers and Coxes atended the Great River Race on the Thames, London. It was a brilliant
event enjoyed by all. Huge thanks go to Kay Hamilton for the extraordinary efort, as highlighted by
NW, she put into coordinatng the event.
The Clevedon Regata was a resounding success with a great day had by Clevedon members and
visitng teams alike. Many positve comments were received from visitng teams regarding the
organisaton, the overall great atmosphere experienced, and the enjoyment of the event.
Minimal maintenance has been required to the two traditonal racing gigs, training gigs and
associated equipment and well within the set annual contngency budget. It has been expressed
that new oars are required,and these will be acquired in the comingmonths.
4. Membership
The Commitee agreed to retain the annual Membership Fee unchanged for 2024/25 (Single £150,
Dual/Family £225, Student/Junior Free).
Membership numbers have remained stable. Several Learn to Row courses were run this year
producing a good amount of interest and subsequent membership uptake for the club including 3
under 20s, two of which are juniors.
There has been an encouraging increase in interest from individuals in younger age groups, and this
will hopefully contnue to be the trend. Membership generally is across a wide age spectrum and
quite evenly divided between male and female.
In common with the majority of Gig Rowing Clubs, there is a shortage of Junior Rowers aged 13-16.
The club has taken steps to engage this age group into the sport through contnued interactons
with Clevedon School to run events to promote the sport. An event to generate interest and
provide a rowing experience was held at the school with a good show of club volunteers helping
with the event. It is hoped that more of these events can be arranged with the school.
5. Commitee/Volunteers
At the 2023 AGM, the Membership were asked to consider volunteering and becoming more
involved with the day-to-day running and management of the Club, to help share the workload on
various individuals. This has been widely taken on board with more volunteer roles and more
volunteers coming forward. It is expected that going forward more volunteers will be forthcoming
with co-ordinators for all chosen regatas to be agreed in advance at the start of the season.
6. Finance
The audited Accounts for the full year to June 2024 show a credit balance of £22,552.17. There
was good support from club members for two fund raising events that generated a good boost to
the club’s income.
7. Community
Planning permission has now been granted for a new Gig Storage Shed. The Trustees are glad to
hear this but acknowledge that this remains work-in-progress due to there stll being some
obstacles to be worked around but theyremain optmistc for the club’s future GigStorage Shed.
8. Review of 5-Year Plan
Permanent Base.As outlined above(7), the Club has come close to achieving its target.
Permanent Usable Slipway.
World Championship Rankings.The Club made a great improvement on its performance at this
year’s World Championships event.
School Links / Junior Rowers.See comments in(4).Fully supported by the Cornish Pilot Gig
Associaton, all Clubs are involved in a campaign to promote and atract young rowers, partcularly
under-16, into the Sport. It is recognised that this is all important in securing Gig Rowing for future
generatons.
Regular Social Rowing.The Club is commited to promote social rowing to its Membership purely
for ftness and enjoyment in additon to the compettve element. Regular weekday events have
been well supported, partcularlyEarlyBird rows in Bristol Harbour.
9. Club Trustees
Afer three years in the role, Gary Jones and Denise Jones will now be stepping down as Trustees
with two further Trustees being appointed. Thanks is extended to Gary and Denise for the work
they have carried out in this role. As previously mentoned, with Richard James also standing
down, a further Trustee role will be vacant meaning three vacant Trustees roles are waitng to be
flled.
10. Trustees’ Comments
CH expressed that the Club’s Website has had a major update and is now a positve representaton
of the club to the Public andprospectve members.
11. The Trusteesare in full agreement that Clevedon Pilot Gig Club remains fully commited to the
aims and requirements of its Charitable status. Whilst Membership numbers have remained
stable with annual losses normally more than of-set by new recruits, the Club has to contnue to
work hard to atract theyoungergeneraton,i.e. under-16’s and those in the 20-30 age range.
12. The Trusteesagreed the next meetng will take place in 2025 at a tme to be arranged prior to the
deadline for submission.
