The Trustees are pleased to present their annual directors' report together with the financial statements of the charity for the year ended 31 December 2021 which are also prepared to meet the requirements for a directors’ report and accounts for Companies Act purposes. The financial statements follow the Charities Act 2011, the Companies Act 2006, the charity's Memorandum and Articles of Association, and the Statement of Recommended Practice: Accounting and Reporting by Charities applicable to charities preparing their accounts by the Financial Reporting Standard applicable in the UK and Ireland (FRS 102) (effective 1 January 2015). 

## **STRUCTURE, GOVERNANCE AND MANAGEMENT** 

## **Governing Document** 

The National Federation of Prostate Cancer Support Groups (Tackle Prostate Cancer) is a charitable company limited by guarantee, incorporated on 6 July 2015, and registered as a charity on 14 August 2015. On 1 January 2016, The National Federation of Prostate Cancer Support Groups acquired the whole of the assets and liabilities of the unincorporated association Prostate Cancer Support Federation (PCSF). PCSF had been formed in September 2007 and was dissolved in February 2016. The company was set up under a Memorandum and Articles of Association which set up the objects, powers, and governance of the company. In case of the company being wound up members must contribute an amount not exceeding £1. 

## **Recruitment, induction, and training of Trustees** 

The Board consists of not less than three nor more than ten Trustees made up as follows: 

- Up to seven Trustees elected by the members at the Annual General Meeting, including the Chairman and Secretary. 

- Up to three Trustees appointed by the Board who have a specific ability e.g., finance or marketing: and 

- Up to three further co-opted Trustees selected by the Board as needed. 

Upon appointment to the Board, to help ease their understanding of the current issues concerning the organisation, each new Trustee is provided with a copy of the Charity Commission publication entitled "The Essential Trustee: What you need to know" which gives guidance on what is expected of them. New Trustees are also provided with briefings from the Chairman on the history, structure, and ambitions of the charity. A self-study training guide is also offered to all new Trustees. Directors are also trustees of the charity. Organisation The activities of the charity are governed by the Board of Trustees ('the Board'), all of whom are Directors. The Board meets four times a year and devolves responsibility for overseeing the day-to-day running of the organisation to the Chairman, Secretary, and the Trustee responsible for overseeing financial matters – Erik Friis-Scheel. ## **Related Parties** 

Tackle Prostate Cancer has established a Clinical Advisory Board (CAB) composed of leading prostate cancer specialists and lay people.  The CAB advises us on medical matters, including clinical aspects of campaigns and the medical content on our website. Membership of the CAB is by invitation from the Board of Directors and currently members are:

## **The purpose of the charity** 

The charity is a federation, whose member organisations (“members”) are patient-led prostate cancer support organisations. The purpose of the charity is to co-ordinate, focus and strengthen the efforts of prostate cancer patients in general, and its member organisations specifically, in their cause to alleviate the plight of those affected by prostate cancer. 

## **Objectives and activities for the public benefit** 

As set out in its governing document, the objects of the charity are to relieve the sickness, physical and mental distress of persons affected by prostate cancer in the UK, but not exclusively by: 

1. assisting and strengthening the activities in support of people affected by prostate cancer, including encouraging and supporting the formation of new local prostate support organisations throughout the UK. 

2. encouraging the improvement of health services available to prostate cancer patients; and 

3. acting as a focus for and expressing the views of patient-led support groups concerning 

   - a. raising awareness of prostate cancer. 

   - b. improving the health services available to prostate cancer patients; and 

   - c. priorities for research into the diagnosis and treatment of prostate cancer. 

Our mission is to be the ‘go to’ charity for peer support for people living with and affected by Prostate Cancer. To achieve this, there are three main aims: 

1. Supporting Patients. 

2. Raising awareness. 

3. Campaigning on issues.

## **Achievements** 

2021 was a challenging year due to the ongoing restrictions of the pandemic. However, we made the most of this time by looking internally at how we can ensure we are in the best position to support our membership in the years ahead. 

- Established a strategy review group on direction of Tackle for next 3 years with Strategic Review, signed off by Trustees to ensure we maximise the potential of the generous grant from The National Lottery 

- We worked with our board and membership to define our vision and mission 

- We created sub-groups led by trustees, for communication, strategic review, and fundraising. 

- Worked towards a Fundraising Strategy to secure on-going funding to meet Tackle’s aims into the future. 

- Recognising the diverseness of the Prostate Cancer Community and the need for groups to ensure they are inclusive and mirror the communities where they run, we have commissioned a provider to work with ourselves and our members to develop a new website (which includes a dedicated Member’s Portal) and refresh our brand. 

- Tackle have active representation through our Patient representative on many National Bodies such as NICE, Scottish Medicines Commission, National Prostate Cancer Audit (NPCA). 

- Individual patients from Tackle member groups have forms a group of patients advising NPCA on various aspects of activity including the production of their Annual Report. 

- Tackle continued its contact with other patient organisations in Europe via Europa Uomo and European Association of Urologists (EUA). 

## **Supporting Patients** 

Tackle support patients and those affected by Prostate Cancer through our network of over 95 Prostate Cancer Support Groups. 2021 saw Tackle celebrate the completion of our first year of the three -year grant from the National Lottery. Our Trustees told the Lottery their main aim was to work with our existing network and partners to grow the number of peer-led cancer support groups in areas where there is currently a lack of provision whilst encouraging all groups to become more effective and inclusive, reaching more members from all demographics. 

Much has been achieved in the past year, working under the direction of our Chair, and alongside Trustee sub committees and with volunteers from the groups in our network. 

Our work has been stymied by the pandemic; however, this has given us valuable time to reach out to the groups in our network to listen to them and find out their needs 

## **Working with Groups – What we have learnt** 

We have listened to what groups need and discovered 

- Many groups are struggling with limited ability both in terms of volunteers and ability to attract new members. 

- COVID has bought problems, but also opportunities

- Over 50% of groups have not met for over 18 months. 

- Whilst many groups have been supported to move to Zoom meetings, attendance in some groups has dropped 

- Three groups have closed permanently 

- Groups need tools to help them run their services 

- They do not want to work in isolation to waste a lot of time for no reason. 

- They want to share good practice and collaborate with other groups 

- They need ways to increase and diversify their membership 

- Group Leads have been able to learn from each other by attending Zoom meetings outside their area 

- The pandemic has strengthened both collaboration and sharing of good practice amongst our groups 

Above all groups have told us they want to increase their membership, to be able to reach out to people living with and beyond Prostate Cancer, who currently do not engage with a local prostate cancer support group. There is a growing recognition that the groups do not always reflect the communities they look to serve, and there are barriers to groups in understanding how to engage with people in diverse communities. We have engaged Metro Charity one of our Partner Stakeholders to carry out a deep dive into perceived barriers and opportunities to engagement. This will be both quantitative and qualitative in its approach, and will be made up of surveys, 1to1 meetings and Focus Groups. This work will be feedback to the Board of Trustees and will inform the basis of two days of EDI Training for Trustees and Key Staff and Volunteers, and then the learning will be cascaded alongside EDI training across our Groups. 

Activity in the past 12 months that has contributed to strengthen relationships with groups and supports people living with and affected by Prostate Cancer 

- Increasing regular monthly communication with group leads, via Monthly Briefings 

- Carrying out 2 successful network days attended by 95 people from across 60 groups 

- Involving groups in focus groups and co-production of new website, rebranding, and media assets 

- Attending over 60 Zoom meetings of groups in past 12 months, providing around 30 presentations to groups about Tackle and our plans to support their needs into the future 

- Attending fortnightly Support Group Leaders meetings 

- Surveying groups on regular basis to understand their needs. 

- Supporting the setup of **4 new groups** including 2 Partner Groups 

- Co-producing a new C-Card, promoting, and highlighting the value of Peer Support, working alongside Group Leads 

- Working with Group Leads and partners to explore alternative models of peer support that will look to encourage engagement, (partner groups Hospice, Exercise, Peer Coaching, Music Therapy) 

- Given out grants to support groups to run their services. 

- We continued to provide a Patient Helpline providing support and information for patients, partners and their families.  This is manned 365 days per year by patients who have experienced prostate cancer personally.

## **Raising awareness** 

We are raising awareness of the needs of people living with and affected by Prostate cancer, as well as the importance of early diagnosis through collaborative work. Working alongside partners and stakeholders. 

- We have held monthly meetings with PCR and Orchid to update on projects, share learning and good practice across our areas of expertise. 

- We have encouraged Groups to take part in a range of opportunities with partners including research with PCR, and Community Champion programme with Orchid 

- Online seminar series. We have collaborated with PCR to deliver a six-month series of educational, informative person centric webinars, which have reached an average of 100 people each week since August on topics such as nutrition, sexual function, holistic support, digital and remote follow up, sexual intimacy and looking and feeling good. 

- Begun to set up relationships with the British Association of Urological Nurses (BAUN) to ensure understanding of our work and peer support opportunities 

- Met with several NHS trusts to discuss the development of a Peer Coaching model to support men through treatment decisions. 

- Met with partner organisations including Macmillan, PCUK, NVCO, Men’s Sheds, Maggie’s 

- Met with Pharma companies to look at future partnerships, and project-based work. 

## **Campaigning on issues** 

Tackle have worked with stakeholders and partners from across the Cancer Community to highlight the importance of prompt access to treatment, and treatment and support for the consequences of Prostate Cancer. 

- We partnered with PCR and IPSEN for Hard Things campaign, with media outputs reaching over 48,000,000 people, with over 30,000 direct actual views of 3 campaign films, all featuring people from groups in our network. This campaign highlighted the importance of Peer Support for people living with and affected by prostate cancer in enabling men to talk about the most difficult issues they face because of their cancer 

- The National Screening Committee still advise that a National Screening Programme for prostate cancer is not required.  Tackle continue to campaign in support of a risk based National Screening Programme.  Evidence from USA and Europe shows that regular testing (currently using PSA) over 20 years commencing in a man’s forties and fifties can halve his risk of dying from prostate cancer. In Europe, the European Commission has accepted expert advice from the European Association of Urology (EAU) and is recommending that all EU countries establish risk based national screening programmes. 

- Tackle are supporting a program initiated by the charity CHAPS collecting data from PSA testing across the UK to establish further evidence to support appropriate regular risk-based PSA testing.

## **Risk management** 

The Board has overall responsibility for ensuring that risk is managed in a constructive and considered manner and mitigated (where possible). 

Over the past year Covid has continued to impact of both diagnosis and treatment of Prostate Cancer.  Through our associations with Prostate Cancer UK and NPCA we have continued to highlight this.  Member Groups have also been involved at their local level. 

As with Charities, Tackle has seen a downturn in funding from external sources.  We rely on donated funds from many different sources.  We have set up a Fund raising Sub-group and continue to employ professional input to maximise funding. 

We have a regular review of cash flow forecasts and management accounts to ensure that expenditure is contained within budgeted levels. 

We have reserves that can be used when needed to ensure the long-term financial viability of Tackle. 

Covid required our local member Groups to cease face to face meetings.  We have supported Many groups both financially and practically in continuing meetings virtually.  We hope the next 12 months will see a return to face to face meetings. 

Many of our Groups have seen a downturn in the number of new members joining groups. Through our regular monthly Zoom meetings for Group Leaders and through the regional meetings planned for 2022 we aim to support those groups, enable sharing of experience between them and develop new strategies to reduce this problem. 

We have recognised that there is always a need to ensure that all those requiring our help and support can do so equally irrespective of ethnic grouping, sexual orientation, physical ability etc.  We plan to further address this problem in 2022 with expansion of our training in Equality, Diversity and Inclusion (EDI).  This initially will be training for Directors by a recognised professional body and then cascaded down to our Group Leaders. 

It has been recognised that our Articles of Association may need reviewing along with a review of our Governance documents.  This is planned for 2022. 

The Board will continue to assess risk in a constructive and pro-active manner to safeguard the efficacy of the charity.

## **FINANCIAL REVIEW** 

## **Financial Performance** 

Our income this year at £149,148 was 44% up on 2020. Our expenditure of £113,471 was up by 90% overall with charitable expenditure increased by 72% We finished the year with a surplus of £35,677 

As recognised by the Board in their risk assessment, fundraising continues to be a serious challenge for the Charity. We are extremely grateful to all our members and supporters for their generosity in donating funds to cover the work that we do to support prostate cancer patients and their families. In line with ABPI guidelines, we continued to benefit from financial support from pharmaceutical companies, some of whom we work closely with as patient advocates. 

## **Reserves Policy** 

In line with the guidance issued by the Charity Commission, the Trustees have considered the future needs of the charity and believe that unrestricted general funds, that is funds which are neither restricted nor designated, should be at least three months’ forward operating expenditure. Such funds are needed to safeguard the charity’s activity against an unexpected shortfall in fundraising income, emergency, or unforeseen expenditure and to ensure its financial stability over the longer term. 

## **Future Plans** 

- Deliver the first stage of our diversity strategy working with groups and Trustees to aid groups to reach out further into their communities 

• Hold series of regional Network Events to bring together groups to co-produce assets and resources to enable them to work together, reach new audiences, grow their membership, and effectively run their groups 

• Work with partners, volunteers, and stakeholders to support the setup of new groups and peer support opportunities 

• Collaborate with PCR and Ipsen on series of Webinars so people within our Groups can access relevant and UpToDate information to support their treatment and recovery 

• Collaborate with Orchid on reaching out to diverse communities by linking our groups with opportunities to support their Community Champion programme. 

• Plan, launch and deliver an event which brings together Partners and Family Carers interested in developing opportunities to launch Partner/Carer Groups and activities. 

• Launch new website (including a Member’s Portal) and 3-year strategy 

• Work alongside Group Leads to coproduce best practice tools for good governance and sustainability for inclusion in the new Members Portal on the website. 

• Develop comprehensive database/CRM to allow for audience segmentation and grow engagement.

• Support refresh of Website and Social Media channels to increase engagement and reach more people living with prostate cancer. 

## **Statement of Trustees’ Responsibilities** 

The Trustees (who are also the Directors of the charitable company for the purposes of company law) handle preparing the Annual Report and financial statements following applicable laws and United Kingdom Generally Accepted Accounting Practice. Company law requires the charity trustees to prepare financial statements for each year which give a true and fair view of the situation of the charitable company and of the incoming resources and application of resources including the income and expenditure of the charitable company for that period. In preparing those financial statements, the trustees must: 

- select suitable accounting policies and then apply them consistently. 

- observe the methods and principles in the Charity SORP 2015 (FRS 102). 

- make judgements and estimates that are reasonable and prudent. 

- state whether applicable accounting standards have been followed; and 

- prepare the financial statements on the going concern basis unless it inappropriate to presume that the charitable company will continue in business. 

The trustees handle keeping proper accounting records which show with reasonable accuracy at any time the financial position of the charitable company and to enable them to ensure that the financial statements follow the Companies Act 2006. They are also responsible for safeguarding the assets of the charitable company and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities. 

The trustees handle the maintenance and integrity of the corporate and financial information included on the charitable company website. Legislation in the United Kingdom governing the preparation and dissemination of financial statements may differ from legislation in other jurisdictions.

Penslon costs
The Charity operates a defined contribution stakehohjer pension stheme. The amount charged to
the statement of finanaal activities in respect of pension costs is Ihe Charitys contributions payablè
in the year. The assets of the 8¢heme are held Separately from the Charity. There was no
outstanding liabilrty owed to the scherne at ts end of the current or prior years.

The cost of short-temi em￿oyee benefrts are recognised 88 a liabilty and an expense. The cosl of
any material unused holiday entiuement is rerA)gnised in the period in whiGh the employee's services
are received.
