
## **Southwold & District Tennis Club – Trustees Annual Report 2020\21** 

2021 has been another phenomenal year for growth at the club, despite the challenges that COVID-19 was still presenting. The need for social interaction and our ability to offer it in a safe, outdoor environment has encouraged lots of new members to join. It has been great to have met so many new people, all of whom are contributing to the wonderfully friendly atmosphere that has become synonymous with our coastal club. There has been a lot of activity over the past year and writing this report is a really great reminder of how far we’ve come in the past 12 months and the many people that are involved in making it happen. So I hope you enjoy reading through all of the reports from us the Trustees. 

Court booking and utilisation continues to rise which is important for a number of reasons. Firstly for track and trace purposes and secondly it provides data on court utilisation which is important for fundraising. It is still important to add all of the people you are playing with and I’m delighted to say that the ClubSpark Booker App has now been updated to allow you to do this. It works on Android and IOS phones and makes court booking quick and easy. Guest fee income has also increased because of the online booking and payment system that was implemented last year. 

The Coaching Team, as always, have provided a fantastic service above and beyond their day to day coaching duties. But with the “Big Vision” in mind we are always looking at where we can be even better. Some feedback from members in our club consultation back in 2020 requested some clearer pathways that players could take through the club, which highlighted some areas of our offer that we could review. We have been working collaboratively with Mark and Beth to put such a plan in place that should create a programme of weekly classes that cover an even broader range of ages and abilities. We look forward to updating you on these plans in the near future. 

Whilst avoiding spending funds on unnecessary updates to the club before the new build, we found a cost effective way to introduce some new temporary signage at the club to make it easier for members and non-members to book courts, take out a membership package and to see the latest club rules and updates. 

An updated weekly programme of club events is now also available with additional descriptions about the purpose of each individual class. We unveiled plans for our “Big Vision” at the Digital AGM in 2021, and to our delight our ambitious plans received resounding support from you all. At that stage however, it was just a plan and we were awaiting the result of our planning application. After many meetings and discussions with the East Suffolk Planners it was granted back in May. A truly fantastic achievement for the club, which took us one (very large step) closer to our ambitious plans for the future. With permission granted, our superhuman fundraiser, Sue Sweet, launched into action. Armed with a comprehensive proposal of our plans and a team of wonderful fundraising volunteers, she planned a year of fundraising activity and within just a few short months we were well on our way to our target. We'll leave it to her report to reveal the astounding number we have already achieved, but it puts us in a fantastic position heading into 2022.

As of writing this report we are in the final draft of specification for the build and will be going out to tender in a couple of weeks. Once we have selected a contractor we will have a much more detailed and accurate idea of the final project costs and a timeline of when the works will likely take place and for how long. The aim is to try and do this with minimal impact to the use of the club, and we will, as always, communicate the plans as and when we know what they are. Many of you came forward with offers of support with painting and gardening etc, but if any of you have any trade skills that you think would be beneficial to the building of the club, we would love to hear from you too. 

And finally we are in the position of needing to replace two key roles on the committee and a role on the board of trustees: 

Firstly, Vicky Gladwell our long standing Membership Secretary is stepping down after many years of service to the club. Vicky has been instrumental in the modernisation of membership management and the systems and processes she has created will make the role for our next membership secretary considerably smoother. I’d like to take this opportunity to thank her for her years of dedication to the club. 

Secondly, Jonathan Sutton, our interim Treasurer needs to step away from the day to day roles of the treasurer, but will remain in place to prepare the accounts for auditing each year. In the short time that Jonathan has been interim treasurer he has introduced a clear and easily digestible set of spreadsheets to track our income and expenditure and for this we are extremely grateful. And finally we are looking for someone to join our board of trustees. Sue Sweet is stepping down from the board of trustees after many years of service to the club. The trustees ensure that we fulfill our charitable status and our objectives as a club and her advice and guidance from her position in that role has been invaluable. 

The success of the club relies on the dedication of its volunteers and it's a really great time to come and get involved. So if you would like to find out more about any of these roles, then please get in contact. When George Bennett took over as Chair he presented the committee with a Big Vision, “To make Southwold Tennis Club the best three court club in the country” and I am pleased to say that with his and other volunteers in our Committee we are well on our way to achieving this goal.
