**KHUSHKHABRI FELLOWSHIP REPORT OF THE TRUSTEES for the year ended 31st March 2021** 

1. 

The Trustees are pleased to present their annual report and financial statements of the charity for the year ended 31st March 2021. 

The Financial Statements have been prepared in accordance with the accounting policies set out in note 1 to the accounts and complies with the Charity’s governing document, the Charities Act 2011 and Accounting and Reporting by Charities: Statement of Recommended Practice (second edition) and Financial Reporting Standard FRS 102.

## **Trustees** 

The Trustees who served during the year and since the year end were as follows:

## **Objectives and Activities** 

The main objects of the charity are: 

- a) The advancement of the Christian faith 

- b) The advancement of education 

In planning the activities of the charitable trust, the trustees have considered the Charity Commission’s guidance on public benefit and, in particular, the specific guidance on charities for the advancement of religion. 

## **Achievements and Performance** 

The KKF charity carries on various voluntary activities and events throughout the year, the work is done mainly by the volunteers because we don’t have any full-time worker working with KKF.  The trustees usually take care of the administrative responsibilities along with governing the event, programmes and projects.  The trustees meet 4 times during the given year as our constitution requires us to meet.  The constitutional procedures are followed through during the whole year, the facts are provided and discussed, the reports are produced, presented, and the decisions are implemented in our events and programmes.  The projects, events, concerns, budget and various other issues and challenges are brought to the attention of the trustees, then the solutions are discussed and the responsibilities are divided among the trustees and task groups as it fits. 

Our four quarterly Trustees meetings are typically closed, unless we invite someone to come as an observer or to report on a project or event.  Also, although not required by our constitution, each year we aim to include with our first quarterly Trustees meeting a morning session that is open for any volunteer from our different ministries or anyone from any of our task groups or organising committees to attend, where each can share about their activities and participate in a time of Q&A. Those in this open or general session are invited to stay for lunch with the Trustees.  Lunch is then followed by our closed session.

We have weekly or monthly events like book-table, teaching free of charge, prayer & fellowship meetings, hospitality etc.  Different task groups meet several times during the year as it is needed by the task or organising group.  Just like the annual conference the organising committee meets a number of times to achieve yearly conference.  Here is the summary of some of the events run weekly, monthly and yearly. 

- **1: The TRW’s 2020 annual conference on 21[st] November 2020:** The 2020 annual conference organising committee worked hard to organise the annual conference, it is one of the ministries sponsored by KKF which brings many people together.  At the end of September 2020, we made the decision to hold the conference virtually because it was becoming very clear to us that we are going to have a second wave of pandemic.  Therefore, we had to cancel the venue where the conference was supposed to be held. Still, we wanted to keep our financial commitments with the venue and the charity was happy to pay towards booking cost.  As we wanted to keep our relationship with the venue and the administration, also we did not lose the creditability of KKF as we use their venue every year. 

In spite of the VIRTUAL conference, we didn’t lose people and their interest.  We had only two months or so to advertise and organise the virtual conference, the organising committee did a wonderful job to carry on each and every task diligently.  We had a successful conference as the result of their hard work and commitments.  The participants acknowledge that we have been providing a great service to the community by bringing likeminded people together from all over the UK for networking and learning from each other for the last 10 years or so.  They have really appreciated the KKF Charity’s constructive approach to sponsor conferences year after year which are helping them to learn from these conferences and implement the results that they have learned through the conferences and workshops in their own ministries in the UK and beyond. 

The title for the TRW 2020 annual conference was **“East Meets West: MBB discipleship that grapples with issues of identity and the influence of post-modern western values”.** The plenary speaker was Dr. Bert de Ruiter.  The conference was for MBBs, and practitioners interested in building the church amongst MBBs and their communities in Britain and beyond. 

## **The following seminars/workshops were offered ONCE virtually:** 

- What does it mean to be a servant leader to MBBs?  (East Meets West continuation) 

- Discipleship of & Outreach to MBBs and their community and Youth in the UK 

- Social Media & Multimedia for Discipleship and Evangelism 

- Safe Houses—the Marriage of East & West Strategies 

- MBB Women & Men—Social & Cultural Expectations and Experiences in Community 

The conference is mostly funded by the contributions and donations from the participants and donors, the donors may not attend the conference, but they are encouraged to help the KKF charity financially towards the cost.  We don’t charge any admission fee, but we do encourage the participants to contribute £15 towards the lunch and logistics (since we did not provide lunch and travel expenses in 2020, we are still commitment to pay honorariums to the speakers and facilitators).  We did not receive many donations during the conference in Nov 2020 as we usually receive during the annual conference, therefore the cost will be paid by the KKF funds.  If we do receive the donations, they will go into our ministry general funds to replenish the funds.  The pandemic might be the reason why we did not receive the donations as we had been receiving during the past conferences. 

- **2: Book-table Outreach:** We had to stop the booktable ministry in March 2020 because of the lockdown and covid-19 pandemic.  The booktable is one of the ways that we have been meeting members of the public since 2008 on every Tuesday from 12.00 noon till 4.00pm in the Town Centre, High Street, High Wycombe.  We meet people who are interested in receiving help from our volunteers through multiple projects run by the KKF Charity.

## **Book-table Outreach** (Continued): 

We started the booktable again in September 2020 according to the government’s guidelines in order to protect ourselves and the members of the public from any covid-19 infection.  We had to stop the booktable again on 10[th] Nov in order to comply with the covid-19 guidelines.  The KKF have the privilege not only to reach out to people from all walks of life from the local community in High Wycombe, but also to help to build the interfaith communities in High Wycombe and beyond. 

**3: KKF cancelled or postponed many events and activities:** We have seen the negative impact on our ministry and voluntary work done in the community.  Here is the list of events which we had to cancel because of the covid-19 pandemic: 

- **Peace and Faith Events:** We had to cancel these multi-faith events which are usually held several times a year at the Guildhall on the High Street or at two mosques in High Wycombe. 

- **Qawwali (cultural music) and Dinner Evening** : We had to cancel these annual social and cultural events which brings together many distinguished guests. 

- **Hospitality:** We had to cancel all the friendship and relationship building events. 

- **Our Partnerships with other organisation:** These partnerships were affected as well because all the partnerships were going through such issues as well. 

- **Community Services:** Our volunteers could not continue to organise such community visits as well as provide help to the families in need. 

- **Tutoring maths and science:** Dr Christian Puritz, one of our trustees, could not continue teaching maths as well.  Ruth Hussain, one of the regular volunteers, could not continue to help kids with schoolwork and teaching English and science.  They had to move back to Germany right before the lockdown restrictions were imposed. 

- **IRC Detention Centre Chaplaincy:** Pastor Mahand could not continue to volunteer and contribute his time to help the detainees at IRC Heathrow Airport. 

- **Annual BBQ gathering and fellowship:** We had to cancel our annual BBQ gathering which brings together many people. 

- **Worship album and distribution of CD:** The Khushkhabri Fellowship’s Christian Pakistani singers had produced a worship CD in 2019, the plans were to distribute among the churches in the UK and beyond, but we had to cancel the distribution activities because it involved visiting different churches, singing, gathering around food, and providing these CDs to the congregations. 

- **Christmas Dinner, Christmas Music and Celebration:** We cancelled this event as well; it was in order to comply with the restrictions and lockdown rules. 

**4: Zoom fellowship:** As I said that we had to cancel many events and activities, but we moved many of these activities online to serve the community and individuals.  The technology was very helpful to keep us connected with many believers of Jesus Christ and non-believer friends.  Unfortunately, we had number of people died because of the covid-19, we were unable to participate in their funerals.  We could not go and visit the relatives of these friends who had died during the pandemic.  We could not console the relatives of the deceased friends.  It was one of the biggest tests of the pastoral care.  Also, it was one of the biggest drawbacks for the online ministry.  We are still using Hybrid Approach (in person and online) to the ministry.

- **5: Zoom Prayer group:** After March 2020, we started a group of believers to pray for each other through zoom.  We had been gathering in a big and small group through zoom and prayed.  We heard each other’s problems and issues, we helped and consoled each other, and we tried to encourage those who were down, heartbroken and had lost their loved ones.  Despite these zoom calls and online contacts and ministry, it didn’t do the justice because there was not any human touch involved during the online ministry. 

- **6: Zoom Bible Study:** We had started the number of bible studies during the week through zoom as well. It will continue as Hybrid Bible Study (in Person and online) even after the pandemic is completely cleared up in the future.  Thank God for these technologies that came into existence at the right time when we needed them the most. 

- **7: Major challenges in 2020:** Mainly our ministry is happening virtually even in 2021; the events like fellowship meetings, prayer meetings, trustees’ meetings, and bible studies have continued to meet through zoom during the COVID-19 pandemic.  KKF and zoom meetings have been running smooth and regularly during 2020 despite the covid-19 pandemic but we have missed seeing people face to face.  However, some of our key volunteers have moved out of the High Wycombe area.  We are thinking through how to recruit more volunteers, both short and long-term people.  Also, we are praying that the donations will continue to come in 2021 and 2022.  Many donors have lost their jobs and businesses.  We believe that God will continue to provide all the needs, wisdom, and resources to run these ministry activities in 2021 and beyond. 

## **Financial Review** 

The total income for the year was £5,236 and total expenditure on charitable activities amounted to £3,562. 

## **Reserves Policy** 

The trustees have examined the charity’s requirements for reserves taking account of the main risks to the organisation.  It has established a policy whereby the unrestricted funds held by the charity should be between 4 and 6 months of expenditure.  The trustees consider that this should be £5,000 in general funds.  The reserves are needed to meet the working capital requirement of the charity and the trustees are confident that at this level they would be able to continue the current activities of the charity in the event of a significant drop in funding. Current funds held in the bank total £12,813 at the year-end which is in excess of the level intended.

## **NOTES TO THE ACCOUNTS**

## 1. **Accounting Policies** 

The principal accounting policies adopted, judgments and key sources of estimation uncertainty in the preparation of the financial statements are as follows: 

## a) **Basis of Preparation** 

The Financial Statements have been prepared in accordance with the second edition of the Charities Statement of Recommended Practice issued in October 2019, the Financial Reporting Standard applicable in the United Kingdom and Republic of Ireland (FRS 102) and the Charities Act 2011. 

Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy notes. 

- b) **Public Benefit Entity** 

   - The Khushkhabri Fellowship meets the definition of a public benefit entity under FRS 102. 

- c) **Going Concern** 

   - The Trustees consider that there are no material uncertainties about the Charity’s ability to continue as a going concern. 

## d) **Income Recognition Policies** 

Items of income are recognised and included in the accounts when all of the following criteria are met: 

- The charity has entitlement to the funds; 

- any performance conditions attached to the items of income have been met or are fully within the control of the charity; 

- there is sufficient certainty that receipt of the income is considered probable; and 

- the amount can be measured reliably. 

Income received in advance of a specific performance or provision of other specified service is deferred until the criteria for income recognition are met. 

## e) **Fund Accounting** 

Unrestricted funds are available to spend on activities that further any of the purposes of the Charity. Designated funds are unrestricted funds of the Charity which the trustees have decided at their discretion to set aside to use for a specific purpose. Restricted funds are donations which the donor has specified are to be solely used for the particular areas of the Charity’s work or for specific projects being undertaken by the Charity. 

## f) **Expenditure and Irrecoverable VAT** 

- Expenditure is recognised once there is a legal or constructive obligation to make a payment to a third party, it is probable that settlement will be required and the amount of the obligation can be measured reliably. 

Irrecoverable VAT is charged as a cost against the activity for which the expenditure was incurred. 

## g) **Debtors** 

Debtors are recognised at the settlement amounts due.

- h) **Cash at Bank and in Hand** Cash at bank and cash in hand includes cash and short-term highly liquid investments with a short maturity of three months or less from the date of acquisition or opening of the deposit or similar account. 

- i) **Creditors and Provisions** Creditors and provisions are recognised where the Charity has a present obligation resulting from a past event that will probably result in the transfer of funds to a third party and the amount due to settle the obligation can be measured or estimated reliably. Creditors and provisions are normally recognised at their settlement amount.
