## **Chair Report for Charity Commission 01/10/2022 – 30/09/2023**

## **STRUCTURE GOVERNANCE AND MANAGEMENT**

## **Governing Document and Charity ConsHtuHon**

TREC GB is a charitable incorporated organisa7on, registered on 20 April 2015, and governed by its cons7tu7on, which was amended to the Associa7on Model on 13th September 2019.

## **Appointment of New Trustees**

The ini7al Trustees of the board were democra7cally elected by the vo7ng members of the exis7ng CIO (before the change in cons7tu7on) from those Trustees who submiNed an applica7on. Following the change in cons7tu7on model, it was decided that a period of Board stability was needed and that the elec7on for any replacement, or addi7onal, trustees was postponed un7l 2021. Under the new TREC GB Cons7tu7on, elec7on of new Trustees was conducted by seeking nomina7ons from the TREC GB membership across the whole of the TREC GB area (Great Britain and the Isle of Man) and all current TREC GB members were able to vote. This elec7on process was also followed in 2022 and new Trustees joined the Board in March 2022.

## **Decision Making Structure**

The Board of Trustees meets by conference call every month. TREC GB has twelve Working Groups dealing with all aspects of the sport including finance, training, compe77on, marke7ng, and liaison with FITE (the World Governing Body for TREC). A Working Group may be asked to inves7gate and discuss an issue and make proposals to the Board as to whether a recommenda7on should be adopted and implemented by TREC GB. All documents (reports, recommenda7ons and proposals) are presented to their intended recipients at least a week in advance of mee7ngs to allow plenty of 7me for considera7on.

## **OBJECTIVES AND ACTIVITIES**

## **The Charity’s ObjecHves**

The Charity’s original objec7ves are as stated in the Governing Document (Cons7tu7on)

- The promo7on, as the governing body of the sport of Bri7sh TREC, of community par7cipa7on in healthy recrea7on in horse riding.

- TREC is a sport intended to test the skills of a horse and rider in planning and execu7ng a long distance ride in unfamiliar countryside.

## **The Charity’s AcHviHes**

A further year on from COVID-19 as members have increased their ac7vi7es and confidence in travelling, TREC GB con7nued to fulfil these objec7ves by suppor7ng the organisa7on and delivery of both Summer and Winter TREC compe77ons, and also delivering a number and range of training sessions (aimed at ensuring compe77on officials are able to retain consistency in standard of compe77on organisa7on and judging across the country). We also con7nued to enhance the understanding and implementa7on of Safeguarding throughout TREC GB. A review of TREC GB policies and procedures was ini7ated and con7nues through the year.

Due to the wide geographical spread of our members, much training is offered via ‘remote’ methods and the on-line and training refresher modules have been well received and will be con7nued. Face-to-face training sessions also took place in 2022, with training offered for Traceurs and Technical Delegates. As well as providing

‘refresher’ training for exis7ng officials, we have three newly qualified Technical Delegates and a further three who have embarked on the training programme.

A training day for training ‘Trainers of UK Judges’ was held in March 2023 and there were 10 successful aNendees.

A training day for Interna7onal Judges was held in July 2023 and 8 aNendees were accepted as Interna7onal Judges

During the Winter season, we held 78 affiliated compe77ons, which was down a liNle compared to 94 in the previous year.

Over the Summer, compe77ons and training events were able to go ahead in 2021 and we were able to hold 21 affiliated summer compe77ons, compared with 34 in the previous year. This year, we combined our two Championships to hold a single compe77on which was based in Bibury, Gloucestershire. This event aNracted the largest ever number of compe7tors at a TREC compe77on, with just under 150 horse and rider4 combina7ons compe7ng.

The number of training and TREC Camps over the Spring and Summer period has been maintained and these aNract people who are not ready (or do not wish) to ride in compe77on.

Organisers are required to fully Risk Assess their event and put in place mi7ga7ng measures as required to comply with any restric7ons and guidelines in place at the 7me.

TREC GB con7nues to support its sixteen affiliated clubs throughout the year.

Membership increased compared with the previous year. This increase con7nues as members become more confident aber the pandemic and with the resump7on of more ‘normal’ ac7vi7es. People have started to return to the same level of riding or compe77on as before the pandemic. The op7on of membership ‘autorenewal’ has been widely accepted by our members and has increased the number of members rejoining at the beginning of our membership year, which is par7cularly important for Red members and ‘rolling membership’ for Blue members encouraged people to join throughout the year.

TREC GB con7nues to plan ac7vi7es for its members and will aim to maintain, and grow, its membership in the future.

## **ACHIEVEMENTS AND PERFORMANCE (InternaHonal)**

Britain was able to send a junior duo team to compete at the FITE TREC European Championships which were held in August at Riocabado, Spain

Two members aNended and judged at the FITE TREC European Championships.
