## **FOR THE YEAR ENDED 31 MARCH 2024** 

The Trustees are pleased to present their report together with the financial statements for the year ended 31 March 2024. The financial statements comply with the Charities Act 2022, and Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard for Smaller Entities. 

## **OBJECTIVES and ACTIVITIES** 

The objects of the Trust are to promote, maintain, improve and advance the education and appreciation of the public in the art of drama and the other arts within the County Borough of Conwy by encouraging and fostering cultural activities such as the study, performance, understanding and appreciation of drama productions, music, literature, the visual arts and educational workshops. The Charity has had regard to the Charity Commission guidance on public benefit. 

As always, Conwy Arts Trust is extremely grateful to the many people who have donated money to us, which has enabled engagement activities to continue at this time.  However attracting funding becomes more difficult as Grant Providers respond to economic pressures. 

In order to maximize impact the Charity has worked closely with Venue Cymru and the Conwy County Borough Council Culture team. Our projects have been funded by a mixture of donations and grants received from the Arts Council of Wales, Children in Need, Clocaenog Grant, Thomas Howell Education Fund, Conwy and Denbighshire NAS and the Albert Hunt Trust. 

Our Key areas of work in 2023/24 were:

## **ACHIEVEMENTS and PERFORMANCE** 

## **Review of the Year** 

The following projects have been delivered by the Trust in the period covered by the financial statements: 

## **take pART** 

take pART is a fabulous festival for children of all ages which,  was an extraordinary success yet again,  captivating young minds and sparking creativity across multiple art disciplines. From ceramics, to dance, music, TV (Casualty, Cyw, Rownd and Rownd) and theatre, the weekend offered a vibrant array of activities that engaged participants in both creating and appreciating art. 

Families gathered in droves, with children eagerly exploring various workshops and interactive installations, whether that be the ambulance from Casualty, the UV puppet shows, dance workshops, Aardman modelling workshops, make- up (Glam or Gore) workshops, the inclusive atmosphere ensured that every child, regardless of their age or skill level, found something to enjoy and learn from. Talented artists and educators guided the young attendees, provided experiences that ignited their imaginations. 

Conwy Arts Trust plays a big part in ensuring take pART’s success by funding the event, and allowing children regardless of their background get involved. Parents and guardians praised the event for its organisation and the diverse opportunities it offered, especially in the Welsh language. take pART created  lasting memories and strengthened the community's appreciation for the arts. 

take pART was successful yet again, showcasing varying arts, bringing people together and inspiring the next  generation of creators. 






## **Creu | Create** 




Creu Create, our flagship project for 12 – 17 year olds experiencing mental health difficulties, was once again funded by BBC Children In Need alongside a grant from the Conwy and Denbighshire National Autism Society and was project managed by Venue Cymru and the Culture and Information Team. 

Create 1 (11 – 17 year olds) and Create 2 (18 – 25 year olds) have continued to offer artist led sessions  dedicated to supporting mental health and helping young people to develop life skills.  An additional grant was accessed through Conwy and Denbighshire NAS to target neurodiverse young people experiencing mental challenges. Funding was also successful through the Albert Hunt Trust, which has enabled the project to run for an additional 4 sessions. 

## **Creu Conwy Ifanc / Young Creatives** 

Young Creatives is a free / low cost programme, which offers inclusive and accessible opportunities for young people & families to engage with the arts. The groups are open access and attended by looked after children, children with disabilities & those from economically vulnerable families. 

The programme aims to improve the mental health & wellbeing of Conwy’s communities from early years to young adults (0 – 25). Opportunities range from Baby Brahms to Vertical Dance to Poetry & Spoken word.  The project was funded by Arts Council Wales, Conwy Arts Trust and supported by Families First through WG Children and Communities Grant. The programme has engaged with over 1600 people during 23/24.  Linkages with Family Centres and Children with Disabilities Teams have been strengthened. 

Some Quotes from participants of Dwylo Bach & Criw Celf Bach: 

‘We regularly attend many free (and paid) groups on offer around Conwy and Denbighshire, and by far, Dwylo Bach is our favourite. As a teacher for Young People with Autism, I see there is so much value in what Dwylo Bach has to offer for ALN children and babies/toddlers alike. From the groups we have been to, no other groups offer the same level of tools for open-ended play and exploration. If funding wasn't to continue, it would be a great loss as nowhere else offers the same early learning opportunities that are vital for children in the early years.’ 

‘Wendy's art sessions are extraordinary! My children thoroughly enjoy her classes and love the opportunity to be able to be creative. Wendy has brilliant imagination in all the different themes she creates and also I enjoy seeing the different ways she uses textures and materials. There is anything like this locally so my children are extremely lucky that these sessions are available to them. As a family of six with four children under 7 I am very grateful as a mum that we are able to attend as family events usually are out of our budget. One of my children is autistic and is nonverbal and if you could see how happy she is being creative in Wendy's classes it's magical. I'm truly grateful the time Wendy puts into the preparation of her classes it needs to be commended. I do hope these classes continue as my children would really miss it’.

## **Amdani Project** 

Conwy Arts Trust supported the Amadani! Conwy project to the sum of £1000 towards their marketing costs. Further information about the project can be found below: 

Amdani! Conwy - our Spirit of 2012 funded volunteering programme in partnership with CVSC and Disability Arts Cymru has been busy this spring! With 83 volunteers now registered to the programme, we have supported 98 opportunities and activities across Conwy! 

From regular volunteering opportunities to participating in extra special projects, Amdani! Conwy has supported a diverse range of opportunities, which benefit volunteers, culture and communities in our area. 

Recent highlights include supporting Ukrainian volunteers organise cultural events for their community at  Conwy Culture Centre; a partnership with St Grwst Church and Jones the Dance to bring BSL supported  dance to Conwy's rural and d/Deaf communities with the support of Arts Council of Wales Nosan Allan |  Night Out, and a collective of our disabled volunteers working with actors, writers and filmmakers from  Hijinx and TAPE to produce a new training film about inclusive communication. 

I would say that the partnership with Amdani! has been one of the most valuable of this very complex  partnership project. As a small company we have been working our socks off making this work which has D/deaf performers at its center. D/deaf audiences were the missing piece as we so badly wanted these works to meet D/deaf audiences. Amdani! have been invaluable connectors, they have met and matched  our energy in making this a success and through their volunteer ambassadors gathered a really significant  D/deaf audience. We really hope that we can build on this with future work. 

Amdani! Conwy volunteers are offered training and a supported pathway into volunteering. Organisations are supported so they can offer accessible opportunities.  Amdani! Conwy volunteers can be  found stewarding at events and workshops, helping with research projects at the Archives and helping with the Croseo Cynnes / Warm  Welcome drop ins at library. Many volunteers have found the programme is helping to break down barriers to volunteering and progress towards employment. 

70% of Amdani volunteer respondents confirmed that they attributed an increase in their wellbeing to participating in Amdani! Conwy 

“Working with Amdani! Conwy has been a pleasure for us all at Bayside Radio. Jasmine and David have worked closely with the Bayside team to match up our needs with skills and aspirations of potential volunteers. The effort that they both put in behind the scenes have made the process straight forward and this is such a benefit to a small team like ours. We really look forward to helping the volunteers gain some unique skills and have fun in the process whilst we are able to harness some really valuable extra resource during the times we need it most.” 

“As a disabled person who has been involved with people with health conditions and disabilities all my life, I enjoy how Amdani has fully committed to supporting and encouraging involvement from people who have all kinds of disabilities” 

## **Clocaenog Wind Farm Fund and Thomas Howell Fund** 

Conwy Archives contains thousands of items including documents, maps and photographs relating to the whole county. With our Thomas Howell fund (£5000) and the Clocaenog Wind Farm fund (£3000) – we have been able to reach out to 22 Conwy schools so far highlighting some of the stories contained within those items by using a professional storyteller to deliver sessions to schools. 

We are delivering a series of bilingual heritage storytelling from the Archives sessions to Fusion schools in Conwy based on themes that fit into their curriculum plans.  These would be delivered at the schools 

themselves to avoid costly coach costs. The stories will focus on Victorian school days, Crime and Punishment, Suffragettes, UpstairsDownstairs, Washday, Conwy Toy Story, a Monks story and life in Wartime Britain. 



The stories are all derived from the archives but have been developed into active learning sessions, which include dressing up and using a handling collection. 

## **Conwy and Denbighshire National Autistic Society** 

We offered a ceramic project for wellbeing, mental health and relaxation working with ceramic artist and master potter Pea Restall. This was offered to People with autism attending the Marl Centre Llandudno at Troop Café, to CIC Adults with Learning Difficulties at Abergele at Copthorne House and at the Peculiar Gallery and the Autism unit at Ysgol Aberconwy. 

The funding was used towards paying Pea Restall’s fees along with all materials, firing costs and any room hire fees. The three projects required 4 days each. Two days for making and two for glazing. This was delivered in two blocks so that groups had the opportunity to revisit skills learnt. 

Pea Restall delivered all the sessions and took away completed work to be fired after the making session and after the glazing session. All pieces will be returned to the groups. Participants were taught in small groups, in a relaxed atmosphere with demonstrations by the tutor, and all were able to receive one to one guidance and support from the tutor to complete the project. 

We ran a range of art experience events including for those experiencing mental health difficulties and we wanted to reach as many people with different needs as possible.

## **Bursary for attendance at ILMC (International Live Music Conference)** 

Conwy Arts trust supported Venue Cymru in sending a member of staff, Emma Joyce, to the ILMC in March 2024. Attending the three-day event was a fantastic opportunity for Venue Cymru. It was jam-packed with industry specialist forums and presentations, providing ample opportunities to network and connect with peers. Over 2,500 professionals attend ILMC events throughout the year.  Emma Joyce was able to take advantage of the mentor that came with the bursary to further progress relationship within the industry for Venue Cymru. There was a host of sessions such as Women in Live Morning mixer, an opportunity to mix with other women in the industry, Ticketing: At What Price, Touring: The Bread and Butter business and many, many more. Not only this, but as an ILMC pass holder, Emma was  able to attend London Calling gigs throughout London to see up and coming bands for free. 

By Conwy Arts Trust supporting this opportunity, it meant Emma was able to meet and make contact with promoters and agencies that they otherwise would not have been able to. Venue Cymru have already seen an increase in availability requests for bands and music from new promoters/contacts following this. Venue Cymru hope to be able to attend again and continue to develop the relationships with the new contacts made and continue building on the relationships within the industry. 

## **Donations to Conwy Arts Trust** 

In order to support the charity, Venue Cymru / Theatr Colwyn have included a donate option for all customer booking tickets online. 

The money raised through the Box Office donations is split 50/50 between a restricted fund for Venue Cymru, Theatr Colwyn and Oriel Colwyn and non-restricted funds. 

The Conwy Arts Trust is grateful to the many people who have donated to the charity this year. Income from donations, which totalled £14,487.68, were as follows:

The Gift Aid Claim from the donations received in the period 2023-2024 is estimated to be in the region of £1,769.53. The claim for 23.24 is in the process of being claimed and approved by HMRC. 

## **Small Grant Scheme** 

The Conwy Arts Trust Small Grant Scheme 


was launched, which offers up to £1,000  towards a new arts project/event that will  benefit the community of Conwy. Sian Young, Arts Development Officer, Conwy County Borough Council, is providing administration services for this grant scheme. 

As a result of the generosity of the public, we have been able to continue our small grants fund to support a range of creative arts projects in our communities.

The grants awarded this year were: 

## **1  Together for Colwyn Bay** 

The Board approved a Small Arts Grant application which was used towards the running costs for the Colwyn Bay Pride Event.  This was a one day family friendly event to promote diversity, inclusivity and celebrate the local and regional LGBTQ+ community, making a significant impact on the success and vibrancy of the event. 

## **2  Menter Iaith** 

Menter Iaith were successful in their Small Arts Grant Application to us, which was requested for use towards the costs of hosting Llanast Llanrwst. Llanast Llanrwst promotes and celebrates Welsh Music and Culture in Rural Conwy and has existed since 2003, holding activities and events in Llanrwst. Lockdown and Covid have had an impact on the festival and they were keen to rekindle the original format of Llanast Llanrwst. They had chosen the weekend in December as it coincided with St Grwst's day which is on the 1st of December, so it is important to the committee that they celebrate the history of the town and in keeping the traditions alive. A number of artists and bands took part in the festival, such as Candelas, Meinir Gwilym, Dafydd Iwan, Yr Anghysur, Tew Tew Tennau and more. The festival took place in Llanrwst: in 4 local pubs, Y Clwb, Nant Conwy Rugby Club, Yr Eglwys and Llanrwst Family Centre. 

## **3  Llandudno Youth Music Theatre** 

Llandudno Youth Music Theatre were successful in their recent request to the Trust for £200 towards the cost of a BSL Interpreter for their annual production at Venue Cymru. This contributed to making the production more accessible. LYMT presented a new musical; Imaginary in the Arena at Venue Cymru with the show originally written for the National Youth Music Theatre in 2017.  The company consists of young people aged from 13 to 19 years. 

## **ACKNOWLEDGEMENTS** 

Conwy Arts Trust would like to thank its volunteer Board Members for their ongoing support. In 2023/24 the following people served as Board Members for the Conwy Arts Trust: Dilwyn Price, Donald Milne, Michael Tree, Kristen Gallagher, Sarah Ecob, Gareth Leech, Joann Rae, Helen Goddard appointed Feb 24. Gail Silver served up until June 23,  James Lusted served up until January 24 and Debra Jones as a non-voting member. 

Cyng Gwennol Ellis and Cllr Ros Griffiths were appointed to join the Board Meetings as Conwy County Borough Council representatives

## **Future Developments** 

There are a number of smaller projects that the Board have agreed to support and they welcome contact with organisations that may want to work collaboratively to promote the Arts in the area.  The Board will be looking at other projects to support in the future the success of which will be dependent on sourcing funding.

## **FINANCIAL REVIEW** 

In the period under review the income the Charity received was £45k.  The majority of the expenditure was for the CREU/CREATE project which is a restricted fund and is fully funded by BBC Children in Need, and Young Creatives, another restricted fund and is fully funded by ACW Lottery.  We also returned a grant back to Space Explorers as it was not able to be spent. The fund brought forward to this year was £100k.  Expenditure in the year on specific projects amounted to £81k (including the returned grant of £11k). 

## **RESERVES and INVESTMENT POLICY** 

The restricted funds brought forward amounted to £46k.  This will be released in accordance with the forward work plan and the projects that are still ongoing.  The non-restricted funds amounted to £18k and as the Charity does not have any fixed assets these funds may be regarded as being readily available to meet short to medium term costs and fund future projects.  The fund balances at year end were managed by Conwy County Borough Council and as the funds need to be readily available to cover expenditure plans no interest was earned on balances.  Going forward the Trust may decide to invest balances in an interest bearing account. 

It is the intention of the Trustees to increase the level of unrestricted funds for more general purposes to enable the Charity to respond to applications for projects and provide match funding for other projects the Board may support. 

## **STRUCTURE, GOVERNANCE and MANAGEMENT** 

## **GOVERNING DOCUMENT** 

The constitution of the Trust was adopted on 13[th] November 2013.  This is the annual report and covers the period from 1 April 2023 to 31 March 2024, a period of 12 months. 

## **TRUSTEES** 

The Trustees have been appointed in accordance with the constitution of the Conwy Arts Trust.  The Trust has been set up for Charitable purposes and no subscriptions are payable to the Trust.  Upon becoming a Member of the Trust a person also becomes a Member of the Board of Management.  Trustees shall remain in post for a period of 5 years but shall be eligible for reappointment.  The member organisation shall have the right to appoint a new representative, informing the Secretary in writing.

## **Risk Review** 

The Trustees have examined the strategic and operational risks which the Charity faces and confirm that the systems in place are sufficient to safeguard the Charity’s funds. 

## **Responsibilities of the Board of Management in Relation to the Financial Statements** 

The Trustees are responsible for preparing the Trustees’ Report and Financial Statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The requirement is to prepare Financial Statements for each financial year which give a view of the state of affairs of the Charitable Trust and of the incoming resources and application of resources, including the income and expenditure of the Trust for the financial period.  In preparing these financial statements, the Trustees are required to: 

- Select suitable accounting policies and then apply them consistently; 

- Observe the methods and principles in the Charities SORP; 

- State whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed in the financial statements; 

- Prepare the financial statements on a going concern basis. 

The Trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy the financial position of the Charitable Trust.  They are also responsible for safeguarding the assets of the Charitable Trust and hence take reasonable steps for the prevention and detection of fraud and other irregularities.

My examination was given in accordance with the general directions given by the Charity Commission. An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. ## **1. Accounting Policies** 

The financial statements have been prepared under the historical cost convention and in accordance with the Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard for Smaller Entities (2015).  The principal accounting policies adopted in the preparation of the financial statements are as follows:- 

## **Incoming Resources** 

Incoming resources includes the amounts given by individuals and businesses and other organizations during the year. Income is recognised when it is received by the Trust. 

## **Resources Expended** 

Expenditure is included on an accruals basis and includes the costs of irrecoverable VAT. 

Grants are charged in the year when the grant is paid to the recipients. 

## **Fund Accounting** 

Funds held by the Charity are either: 

_Unrestricted general funds_ – these are funds which can be used in accordance with the charitable objects at the discretion of the Board of Trustees. 

_Restricted funds_ – these are funds that can only be used for particular restricted purposes within the objects of the Charity.  Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.
