Majority of the vote in Annual General Meeting will pass the agenda if anything needs to be amended before implementation onto the constitution. All the new trustees will be appointed by the existing trustees and approved by the Annual General Meeting (AGM) of Pun Samaaj UK. The trustees check the charity’s governing document to ensure that they appoint the new trustees in a proper and legal way. The Chair of the charity writes to the prospective trustees, setting out their duties and the charity’s expectations of them; they are asked to sign and return a copy of the letter. Basic duties of a Trustee are displayed in community website. Some of our individuals (members and children) involved with other charitable communities such as Helping You, Rubicon and NIC for Nepal through Go-Funding etc.

This ensures that new trustees are aware of the scope of their responsibilities under the Charities Act. Initially, new trustees will work with the existing trustees on particular activities and projects. After satisfactory feedback from the existing trustees, they are given the task of leading a particular activity or project.

Following appointment, new trustees are introduced to their new role and given instructions about the policies and procedures adopted by our charity.

We are struggling to set an office for the community due to very expensive to rent the property here in the London area.

To promote social inclusion for the public benefit by working with people who are socially excluded on the grounds of their ethnic origin (in particular members of the Nepalese community) to relieve the needs of such people and assist them to integrate into society, by:

providing support to the Nepalese community in particular the Pun Clan of Magar tribe and assisting new arrivals to the UK with integration into the community including through the facilitation of community events;

providing education and training for all age groups to assist in integrating with the wider community;

Providing advice, advocacy, help and representation.

Our long term main objectives are set out to build selfconfidence to provide a community facility for all the inhabitants in the UK and advance for the public benefit. Through our community facilities and activities, it would be a peaceful, vibrant and harmonious community in the UK.

Pun Samaaj UK did not conduct much activity to achieve the above objectives and to ensure on going public benefits, the trustee board has conducted the following activities:
Funeral Service facilities: Pun Samaaj UK conducted full funeral services in different dates in line with the teaching of Hindu and Buddhist. We helped the deceased’s bereaved relatives in conducting of funeral services. All members and families of this community have voluntarily contributed financials and materials to all victim families to ease their pains at the difficult time.
Summary of the main activities undertaken for the public benefit in relation to these objects (include within this section the statutory declaration that trustees have had regard to the guidance issued by the Charity Commission on public benefit)
Annual General Meeting (AGM): Pun Samaaj UK conducts AGM every year (1st Saturday of the January month). This is very important meeting for the members and families to clear up if any grey area as they are not aware of.
Various Executive Committee Board and Trustee Board Meetings: The community held the number of committee and members meetings to make and ratify decisions, exchange opinions and make recommendations. These rules or guidelines could establish all the real issues in the community.
Annual Get-together: Pun Samaaj UK organised Annual Social Get Together Functions to boost their moral of all vulnerable elderly people and youngsters. In this event, Pun Samaaj UK collected sum of £11,795.18 from entry fees and others and spent £10,803.18 on hall hiring, bus booking, foods and managements so managed to make profit of £992.00.
Supported 6 Vulnerable Family Members: Pun Samaaj UK helped 6 vulnerable families as they suddenly lost their loved ones. We guided them to integrate with other communities and helped financial support for funeral and other programs.
Fund Raising for NIC Nepal: Pun Samaaj UK conducted NIC project through Go-funding and managed to raise sum of £10,563.97. PSUK handed over all raised money to NIC president Dr Mahabir Pun.

Section D: Achievements and performance
Pun Samaaj UK has achieved all targets and exceeded in some areas. Pun Samaaj UK has assisted several other groups with their governance and in securing funding to contribute to the sustainability of vital services for the most vulnerable. 1. Annual General Meeting (AGM): AGMs in 2021 and 2022 were organised via Zoom due to COVID19 restrictions and physically in 2023. All AGMs were successfully conducted.

Fund raising for NIC Nepal: achievements of the charity during the year Pun Samaaj UK and Volunteers raised a quite healthy fund using Go-Funding for National Innovation Centre (NIC) Nepal. 3. Bhailo Programme: Ladies Department and Pun Youth Club organised a successful Bhailo programme for all members and families in Colchester. All members and families of this community and other communities have enjoyed meeting and greeting each other. All youth volunteers have engaged in feeding and entertaining all elderly and disabled members during the COVID-19 situation and other functions.
