SYRESHAM VILLAGE HALL ANNUAL TRUSTEES REPORT 2021 – 1160674

Syresham Village Hall, Main Road Syresham, a CIO charity with the registration number 1160674, has now been open for almost 3 years. The hall is owned and run by the CIO.

Our aim is the provision and maintenance of a village hall for the inhabitants of Syresham and the surrounding area, without distinction of gender or political, religious or other opinions. It is used for meetings and classes and other forms of recreation and leisure activities and events, with the aim of improving the lives of the aforementioned inhabitants. As I have said many times before, it is important that we remind ourselves of this at all times, and especially in this report, so that we continue to ensure that we fulfil this aim.

Last year was of course very difficult for us all owing to the Covid pandemic and we were forced to close the hall completely from March to July during the initial ‘lockdown’. However, the hall was allowed to open again at the beginning of July subject to strict Covid regulations which, unfortunately, severely limited its usage. We managed to make the building Covid secure and provided a QR code for our users and we did open from July until the next lockdown in November. However, the only regular hirers were Sylvie Essame, Taikwondo and Seidoken, plus a few First Aid and educational courses all meeting the very strict Covid regulations. The History Society managed to hold one meeting in the hall and the Trustees met once in the hall – again both meeting all the strict Covid regulations. January brought another ‘lockdown’ so the hall was once again closed until April.

Owing to the pandemic, we have been unable to do any fund-raising during the year and we had to close our regular Thursday morning Coffee Shop which has, over the years, provided a good and regular source of income. We did, however, receive grant funding from SNC (as per the Treasurer’s Report) and as a consequence our finances remain in a very healthy state. Our accounts have been prepared by our Treasurer, Gill Swinford, and audited by Mrs Rosemary Whitehead, and I thank them both for this. I would also like to thank our Secretary, Dot Dunkley and our Treasurer for helping me plough through all the government’s Covid guidance, that enabled us to keep the hall open during at least part of the year.

We have continued to promote the hall on our website www.syreshamvillagehall.com and our thanks go to Keith Watts for managing this website. We also managed to install a fantastic new sound system in the hall, and I thank Keith and David Wilkins for achieving this during such a difficult time. We have not seen the system working fully yet, but hopefully we soon will.

Our cleaner Yvette Gardner has continued to clean the hall whilst it was open and was paid a retainer, as agreed by the Trustees, whilst it was not. I thank Yvette for the work she has done during the year. Keely Guest was due to take over as Booking Clerk in April. However, lockdown was imposed and Samantha Hosking very kindly stayed on to deal with all the consequential cancellations. In July Keely took over, and although bookings have since been extremely limited, Keely has worked well to keep the hall running and I thank her for that.

The hall is insured by Zurich, and our cover includes all the appropriate liabilities, including that of our members and trustees.

Our challenge now is to get the hall completely up and running again and to give our hirers, especially our village organisations, the knowledge and confidence that the hall is a safe place to be. We will, all being well, resume the weekly Coffee Shop in June and plans are in place for our Scarecrow Festival on 24[th] and 25[th] July and a Village Cabaret Show on 30[th] and 31[st] July. We also have an Art Exhibition planned for 9[th] and 10[th] October.

So we look forward positively to what promises to be a busy and interesting year and I thank you all for your continued support.
