Swaythling Neighbourhood Centre ## AGM 2024-2025 7[th] October 2025 **Present:** Margaret Kelsey (SNC Trustee), Jennie Rawles (SNC Trustee), David Beckett (SNC Trustee), Alice Rawles (SNC Trustee), Ian Elsey (SNC Trustee), Avril Stilwell (SNC Trustee), Michael Rawles (SNC Volunteer), Vicki Rawles (SNC Volunteer), Hayleigh De Vaux (SNC Trustee), Dot Capes (PlayLink) ## **Apologies:** Cllr Val Laurent Meeting Chaired by David Beckett – Welcome ## **Minutes of last Annual General Meeting 2023-2024 (held 4[th] February 2025)** Minutes were presented and agreed as being correct. Agreed by Ian Elsey and Seconded by Vicki Rawles ## **Matters Arising No Matters** Reports were provided by user groups including: **Chairs Report** presented by David Beckett **Bingo Report** provided Marion and Debbie (This is the final report as Bingo has disbanded). Avril took them flowers on their last session to thank them for running the bingo club for so many years. ## **Over 50’s Report** presented by Alice Rawles Alice reported that next week the Over 50’s group will celebrate their 25[th] year anniversary. Alice also pointed out that 16 members of the group volunteer regularly at the Centre’s events. David asked Alice to pass on a thanks and to reiterate how grateful we are of their help. ## **Maintenance Report** presented by Ian Elsey Ian reported that a major repair is needed for the boiler, but before this can commence an asbestos report is needed to ensure the work is carried out safely. The gates are to be fixed - we’ve paid 50% deposit and work should start soon. Margaret thanked Ian for all the hard work he puts in to keep the building open and safe. ## **Booking Report** presented by Avril Stilwell Avril reported: Late night bookings are not being accepted as there is no one to close and lock up. Friday afternoon booking by Muir are a challenge because the car park is full and members have started to park outside on the double yellow lines which is not acceptable. Kick boxing group will return to Room 4 ## **ACCOUNTS** presented by Margaret Kelsey ## **Accounts:** This year, the annual deficit was much less £3,122.42. This reduction is somewhat due to the Gas VAT being reduced from 20% to 5% making a big difference to the price of the bills. We have purchased a new computer, laptop, printer and telephone. This leaves £113.01 left in the IT budget. Margaret reported that we are lucky to still have money in the bank given the amount of repairs and the cost of bills. The Bric a Brac shelf and clothes rail continue to raise money for the centre – Margaret thanked Alice for keeping these items stocked up. We now have a complete set of land registry documents. We purchased these from the Government Website at a cost of £20. Hayleigh asked Margaret what will happen with the bingo accounts now bingo have closed. Margaret said she anticipates that the 2 accounts will be combined. She has already moved some money into the main SNC account. This year we hope to set up online banking with a debit card – this should make purchases and payments much easier. ## **Plans for the Future** Trustees and Committee members have a working party day, from this we have created a business plan for the next 5 years. Copies are available for anyone interested. ## **Trustee Elections** **Election of Trustees** : David explained that the governing documents require trustees to serve for a three-year term before stepping down, trustees can put themselves forward for re-election. Margaret Kelsy and Avril Stilwell stepped down Ian Elsey nominated Margaret for re-election which was seconded by Vicki Rawles.
