TRUSTEES REPORT FOR 2024/2025

The New Gleadless Library is a volunteer run Community Library. Our primary function is the loaning of books both from Sheffield City Libraries and our own system.
We also host a number of Clubs for the Community, these being a Craft Club which has been so successful it’s now been extended to a second day, a Friendship Group which though new is beginning to gain momentum and a term time Storytime Group for pre-school children, the numbers for this do tend to fluctuate on a week by week basis. The Craft Groups are selffunding with craft supplies being paid for by the subscriptions from its members. We also engage with the local junior school who bring the children along to learn about borrowing books and encourage their reading.
Since taking over the library 12 years ago we have maintained the library service to our community. We work closely with Sheffield City Council who at present continue to support us with an annual Grant which helps us to run the library on a day-to-day basis. We also follow all the Compliance rules required by Sheffield City Council. Fundraising has been difficult since the pandemic, though we do manage to raise small amounts from book sales, the sale of small items of donated goods and the sale of hot drinks and biscuits to people who are in the library to borrow books, attend one of the groups or just taking advantage of the library being a warm space and safe space. We were successful in being awarded £2000 form The Birley Ward pot to replace some of Large Print and Audio books. We are planning to restart some fundraising events beginning with a Table Top sale in March and an Summer /Autumn if the Table Top sale is successful. We are constantly looking for funding from various sites though most of the things on offer aren’t applicable for us.
We have £10,000 invested with St James Place which is now performing better. The initial investment of £10,000 was subject to a £500 administration fee but that has been regained and interest has been earned. Our biggest risk is losing the Grant from Sheffield City Council, we have sufficient reserves to continue for a couple of years as long as we don’t incur any more huge bills. This year has been particularly difficult as we have had to repair our internal sliding door and replace our automatic external doors which has caused an overspend of £6,835.95 on our Grant> However, we did have reserves which went towards this, we also had half the money for the external door paid for by the Doctors Surgery who share the front door with us.
The Charity follows the Constitution which was amended to allow any Trustee to be stay in their position for as long as needed. This is mainly due to the difficulties in recruiting new Committee members and Trustees when an existing member stepped down. At present we advertise on Voluntary Action Sheffield and invite volunteers who have shown an interest to join the
Committee, once the member becomes familiar with the meetings they are invited to become a Trustee. All our non-Trustees are voting members as we are such a small Committee of six members at present. No financial decision is made if less than four members are present. Any new members are interviewed by the Volunteer Co-ordinator in the first instance, then if suitable are invited to a meeting and interviewed by the rest of the Committee. New Trustees are appointed by all of the existing Trustees if they think the person is suitable and they are interested in becoming a Trustee.
