ANNUAL REPORT Year ending 31/3/22

INTRODUCTION BY THE TRUSTEES

This annual report outlines Acts 4 Sharing’s eighth year as a charitable organisation – thankfully now out of the COVID-19 restrictions and now more able to meet the objectives of the charity, in bringing relief of poverty, encouragement, love and compassion to all our service users.

The report highlights the demand this year surpassing all our previous years, with record numbers of people who would struggle to receive little or no support in other ways. The provision by the staff, volunteers and all those associated with Acts4Sharing has significantly grown to meet this increased challenge.

We give a special “thank you” to all our wonderful volunteers, our partner churches and organisations, the trustees, referral personnel and the many donors for their amazing support and dedication. We know our supporters help financially but more importantly regularly in prayer, which makes all the difference as we seek opportunities to help and support so many others.

Thank you so very much!

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No.1158033. so read on and be encouraged with what God is doing through A4S. We hope that you find this report helpful and informative and if you want to know more just visit our website http://www.acts4sharing.org/.

THANK YOU

As always, and as it is so right to do, we begin this report by giving thanks to our Heavenly Father, in whose name we seek to serve our local community, as we continue to ‘Share His love in practical ways’ with those in need. We continue to meet in prayer each month bringing thanks for what has gone before, offering prayer for those

whom we have recently helped, and asking for God’s guidance as we move onwards. He is the Rock on which we stand, and we trust Him to lead us in the right direction in the days, week, months and years ahead, as He sees fit.

We also acknowledge that there are many, many human hands involved in enabling Acts 4 Sharing to be what it is and to achieve all that it does. We give huge thanks to each and every volunteer who has worked with us during this year, from those who offer an

occasional hour to those who provide help week after week on a regular basis. We say thank you to those who willingly sort out all the donations that come in, and prepare them to be sent out, occasionally meeting a client when they visit Hope HQ to choose their own items. We say a massive thank you to all those who enthusiastically give of their time and

energy to drive, or go out on the van to collect donations and to deliver them onwards. In this year, we have frequently seen the van out doing multiple deliveries and/ or collections on one day – often a complicated task, to ensure that the correct items are delivered to each person, and most importantly that each person’s needs are met.

We are very grateful that one of our regular volunteers willingly and very ably began to learn the basics of the administrative tasks for the day to day running of all that we do. This proved to be extremely valuable when Sue (CEO/ Administrator) was unable to work for a while following unexpected surgery, and our newly trained volunteer was able to step in.

We recognise that none of this would be possible without the willing and ready support of our Trustees, our advisor and our landlords, and so we give enormous thanks to each one of them for the various tasks that they take on, whether up front and hands on, or behind the scenes.

And, so with all those people in mind, let’s look at what Acts 4 Sharing has been doing during the year 1/4/21- 31/3/22…

HOPE HQ and the GARDEN

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

As mentioned in last year’s report, we were unable to return to ‘skill sharing’ and inviting people in, due to the Covid-19 pandemic. Thankfully, as of July 2021 we were able to safely invite people to join us onsite for our

monthly prayer times and have also been able to return, more easily and safely, to inviting

clients to come in and choose their own items. This tends to be mostly for smaller items, as clothing, bedding and things for their kitchen. It makes such a huge difference to someone’s self-worth to be able to make their own choices, and it is such a joy for us to be able to see their eyes light up when we show them what they can choose from.

Donations have continued to flood in, and although in terms of van collections, it would appear that there

hasn’t been a huge increase in the number of donors, there are many more in addition to this who are able to drop off their donations at Hope HQ.

What never ceases to amaze us is how the right items seem to turn up at the right time, even the more obscure things that we could never imagine would be either needed or donated! And for this, we once again thank God Almighty for His hand upon our work.

So often, the store and a container have been full to bursting, with additional furniture being placed in the office – but we then constantly look in wonderment at how quickly it all goes out to new homes and leaves us with a somewhat clearer space…but never for too long!

We continue to enjoy the beauty of our location, which is occasionally shared with clients when they visit, and was the site of a volunteer barbeque in the summer as many of us joined together in the sunshine.

TRANSPORT

The van continues to be out and about most weekdays, often doing multiple tasks in one trip. We were very grateful to receive specific funding to enable us to keep it running, as without it, we obviously couldn’t continue our work.

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

We’ve continued to partner with Foodbank, providing van and drivers to collect from their central store and delivering to their three local distribution centres at least twice each week.

The van passed its MOT first time and was back within 24 hours after having a service. A couple of minor repairs have needed to be done, but otherwise it has been and remains an amazing workhorse.

STORAGE

At the beginning of the year we still had two storage containers sited in the car park of Poulner Baptist Church; despite the increase in donations coming in, we felt it was more helpful to try to centralise everything at Hope HQ. When the Covid-19 restrictions began to lift, we were able to return to doing some direct deliveries from donors to clients, hence not always needing to bring everything into the store. Therefore, we made the decision to sell one of the containers in June 2021, and the proceeds paid for two months’ rent at Hope HQ.

LOCAL WORK

We began the year still in the grip of the Covid-19 pandemic, but with appropriate safety measures in place, which we continued to use well into the relaxing of restrictions, we have been able to keep working safely. Very few volunteers contracted the virus, and those that did weren’t particularly unwell, and made the sensible choice to isolate from the rest of us.

A few volunteers continued to shield until the summer, but came back on board once they felt able to do so.

Five new volunteers joined us during the year, including a new driver – he came as a donor and never left We are always delighted when new people join the team, especially with the work constantly expanding.

Much the same as last year, even before collating any data, it was very apparent that we were even busier than we’d been in the previous year – although there were only a few extra donors we have seen a 45% increase in the number of people assisted and the kilogrammes of items delivered!

This year the items were donated by a minimum of 220 donors.

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

Whilst this is only approximately a 6% increase in donors, there have been many more times when people have invited us to help them to clear the home of a loved one when they’ve moved into care or passed away. We are finding more and more that this is a valued part of what we do, as they are able to see and know that their loved one’s belongings will be used in a new home rather than being thrown out with the rubbish.

Tim who manages our IT has done a great job at making us more visible on Google; we often receive reports telling us how many people have called us from there or looked up directions or gone on to view our website. It certainly appears to have enabled people to find us more easily Many of our donors have told us that they’ve looked specifically for a local charity to give to, who will give their items away to someone in need, as opposed to selling it.

It's also of note that the number of referral partners has also grown as we’ve become even more widely known across our area, a 25 miles radius of Ringwood. We continue to work with all the local authorities, especially those who are involved in housing, tenancy sustenance and homelessness. We also work closely with various support networks who also get alongside people in need of help. Together we are able to make a difference. Last year we helped 352 people altogether, this has seen a 45% jump and thus we have helped 512 people across all ages and stages in life this year. We’ve heard so many life stories, so many difficult situations – it’s been a privilege to get alongside each one of them and especially to pray with/for them as they move onwards.

Needless to say, helping that many more people also means delivering way more items, and therefore it is no surprise that there has also been a 45% rise in the KG of items delivered – no wonder we all felt somewhat in need of a break by the time we reached November!

We don’t have records of the complete impact of waste saved from landfill as we only keep approximate weights of the larger items, so the following figure doesn’t include bedding, curtains and clothing. This year we delivered at least 24 Tonnes.

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

This included 19 fridge freezers, 21 washing machines, 29 microwaves, 35 dining tables and 97 chairs, 98 sofas/armchairs, 70 chests of drawers and 117 beds of various sizes!!

Altogether we gave away 196 bedding sets and 248 towels, along with 95 pairs of curtains and 78 cushions.

The list goes on, and we would need another whole report to list every item that’s been given, which would include the more unlikely requests for a room divider, a walking frame and a shopping trolley – all of which were provided by donors

The Blessings Box has done what it says on the doors, and blessed various people as they’ve chosen those extra little things which help to make a house into a home, whether it’s a clock, picture or ornament.

Whilst it is good that we are here, eight years on from when we first registered, we are very aware that our busyness is a reflection of how many people are still struggling in life. Although we don’t always know the background for each person, there are times when sadness overwhelms as we receive referrals for those in stressful, vulnerable and generally difficult situations. We count it a pure privilege to be able to get alongside them, to help them get back on their feet, and above all to let each individual know that they are loved and valued.

We continue to offer each person a Bible and gradually the boxfuls that we were given are going to new homes. So very often the recipients are almost more joyful about receiving the Bible and the offer of prayer, than they are about the furniture!

We are also very aware of how much our referral partners appreciate all that we do, and we are thankful that we can network with them, so often relieving their stress as they do their utmost to provide the best for those they are supporting.

Throughout most of the year we have continued to receive Fareshare bakery products to hand onto our clients, however we had to have a short break from this when Natasha’s Law came into place whilst appropriate allergy warning labels were created to put onto the products. We then stopped again at the end of 2021 due to delivery issues, but hopefully will be able to start again sometime next year.

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

Early in the year we provided a new local community project with a tall fridge and tall freezer; this enabled them to provide the “Community Fridge” at the local library offering a ‘simple solution to wasting less through the sharing of good quality food’. This enables anyone to give of surplus and gives us another outlet to direct clients to if they are in need of food.

FUNDING

We remain totally grateful to those who remain committed to regularly giving to Acts 4 Sharing financially, this includes many individuals as well as churches and other organisations.

We also very much appreciate those who choose to give one-off donations, inclusive of donors (of practical items) and clients who sometimes offer a small amount when we arrive at their homes. (But no-one is ever charged for anything)

Throughout the year we applied to various grant making trusts and were delighted in December 2021 when we were granted £2,600 towards the costs of running the van, this came from the Dorset

Community Foundation after applying to Wessex Water Community Fund. This made a big difference to us as it is costly to keep the van on the road.

In the autumn an application and presentation were made to New Forest District Council; as we neared the end of the year, we were thrilled to discover that they were granting us £3,000 which would cover 6 months’ rent for next year. Once again, we are very grateful for this as it will be a huge help in enabling the work to go onwards

Running Acts 4 Sharing obviously incurs costs including rent, utilities, running the van and paying a wage. It’s amazing to be able to look back over the eight years that we’ve been registered to see how financial provision has always come in, how the bills have always been able to be paid and how the books have always balanced. We continue to trust God for the pathway ahead of us, and know that so long as He needs us to be serving our local community, that finance will be provided for all the is needed; and alongside this, with the encouragement of this year, we will continue to apply to grant making trusts for assistance.

COMMUNICATION AND COLLABORATION

We continue to work closely with Poulner Baptist Chapel , whose Mission Group keep an eye on the work that we do, as well as supporting us financially and prayerfully. Many of our volunteers are a part of this church too, as well as other churches in the local area.

In this past year, we were very grateful to Jane, from the church, who gave time to plant out the largest bed in our garden with cuttings from her own; we’ve swapped vegetables for flowers as we felt it was important to provide a space for wellbeing where people could visit, a place to be still, a place to reflect, a place to pray.

We continue to network with Wardrobe Foundation , either referring clients to them, or sharing clothing with them to assist with clients referred from elsewhere. Towards the end of this year, we shared a boxful of clothing with them as they prepared bags of clothing for those coming from the Ukraine into the local area.

We also began networking with “Love Ukraine” , a local group who are supporting those who have joined families in Ringwood. As we head in to next year, no doubt we will be called upon for practical needs, we anticipate that our biggest source of help will be clothing.

We also continue to network with a local “Kindness and Recycling” Facebook group, helping each other as and when we can. Through the kindness of this group the unusual request for a shopping trolley was fulfilled, helping someone who had to walk 45 minutes to her nearest Foodbank.

Bus Stop Club works in the midst of a nearby community, to whom we often deliver. Bus Stop Club offers ongoing local support to many families and individuals. It has been a joy to network with them, especially at Christmas when we were able to pass on toys and handknitted items to be delivered on Christmas Eve.

Many of the knitted items were made by a ‘knit and natter’ group in Devon ; they were delighted that their love of creating was able to be shared onwards. As well as toys, they often provide us with lovingly created blankets, which are always bright, cheerful and full of colour.

We continue to liaise with our local Foodbank and also the New

Forest Basics Bank , enabling us to refer clients to them and passing on appropriate donations to them from our d onors.

Occasionally we end up with an overwhelming supply of king size bedding and other, nice but not so necessary items, such as too many pictures, ornaments or even cups & saucers. “Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

Rather than throwing these things away we network with others in our community who can make use of them. We have been able to pass on some bedding onto the Salvation Army for their homeless shelters, and other items have been given to a local group, which took off during the pandemic – “Make, Do and Mend” who turn the material into useful items, whilst also providing a great opportunity for people to increase their wellbeing.

We are also now liaising with HOPe (Helping Older People New Forest) who offer free home-based advice, support and befriending. They run charity shops to fund these activities. As they’re called HOPe and we’re at HOPE HQ we were finding that people automatically assumed we were linked in some way . Having followed this up just after Christmas, we have been able to ‘swap’ various items between us, when one or the other of us receive unsuitable or an overwhelming number of things. It’s been a great way to help each other, and many of the items we receive from them go into our Blessings Box.

It's probably fair to say that the most unusual items we received this year were snail dishes accompanied by forks and tongs – the lady who donated them gave us permission to do with them whatever was suitable

TRUSTEES

Our Trustees continue to offer support from both behind the scenes as well as being handson when they are available. We have seen a slight change in Trustees as, in July, Steve Coffey, one of our Founding Trustees, decided the time had come for him to step down and focus on his family and new job. Whilst we were sad to see him go, we fully understand why, and will remain ever grateful for all is input over the past eight years.

LOOKING FORWARD

As would be expected with the 45% increase in clients and deliveries, Sue has continued to work hours, voluntarily, in addition to what she is paid. Despite applying to various Grant Making Trusts, we have been unable, thus far, to secure funding for salaries. Therefore, at the end of this year, Sue remains as the only paid member of the team. We trust, that going forward that we can find funding to increase her wage and to hopefully employ a second person to assist.

As we end the year, one of the storage containers remains in the car park at Poulner Baptist Chapel; we are gradually working towards emptying it, with a view to either re-siting it closer to us, or selling that one as well.

“Acts 4 Sharing” is a registered Charitable Incorporated Organisation with the Charity Commission in England. No. 1158033.

We’ve sadly seen another year go past where Covid-19 prevented us from starting up our ‘skill sharing’ projects in cooking, gardening and DIY. As we end this year, it would appear that Coronavirus restrictions are beginning to ease, therefore we hope that we will see our ‘skill sharing’ dreams come true during the year ahead.

Also, now that the garden is even more a haven of tranquillity, providing an ideal location for clients to visit, we hope that more will come to make good use of the space that we have available.

As we say at the end of every year:

We look forward to being able to:

Statement of Trustees' Responsibilities

Charity Law requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity as at the end of the financial year and of the surplus or deficit of the charity. In preparing those financial statements the Trustees are required to:-

The Trustees are also responsible for maintaining proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and which are sufficient to show and explain the charity's transactions and enable them to ensure that the financial statements comply with regulations made under the Charities Act. They are also responsible for safeguarding .the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

The Trustees are also responsible for the contents of the Trustees' report, and the responsibility of the independent examiner in relation to the Trustees' Report is limited to examining the report and ensuring that, on the face of the report, there are no inconsistencies with the figures disclosed in the financial statements.

Notes to the Accounts for the year ended 31 March 2022

Accounting policies

The financial statements of the Charity have been prepared in accordance with the Charities Act 2011 and Section 1A of Financial Reporting Standard 102 effective April 2008, as modified by the Statement of Recommended Practice for Accounting and Reporting issued by the Charity Commissioners for England & Wales, under the historical cost convention and the accounting policies set out in these accounts and as a going concern.

Incoming resources and outgoings are accounted for on an accruals basis.

The charity maintains a general unrestricted fund which represents funds which are expendable at the discretion of the Trustees in furtherance of the objects of the charity. Such funds may be held in order to finance both working capital and capital investment.

There are two restricted funds. These relate to Pay and Pensions (note 1 above), Hope HQ (note 2 above) and the van (note 6) above. See also note 10 above. The restricted fund relating to Hope HQ was closed in 2021/22.

If upon winding up or dissolution of the charity there remain any assets, after the satisfaction of all debts and liabilities, the assets represented by the accumulated fund shall be transferred to some other charitable body or bodies having similar objects to the charity.

Neither the Trustees nor any persons connected with them have received any remuneration, either in the current year or the prior year

The Disclosures to the Accounts on page 3 should be read alongside these accounting policies.

Reserves policy:

The Trustees believe that the Charity should hold sufficient balances on its general and other accounts to allow it to continue operating even if there was a significant reduction in the level of giving. This is the Charity’s sixth year of operation in its CIO status, and the Trustees’ consider there should be a reserve sufficient to cover at least three month’s operating costs on expenditure included in the unrestricted element of the accounts. On the basis of current estimates of expenditure in 2022/23, this should be in the order of £10,000 - and the balance at the beginning of the year, at over £20,000, is more than adequate.

  2. To prevent and relieve poverty initially in Hampshire and its neighbouring counties by providing: grants, items and services to individuals in need and/or charities, or other organisations working to prevent or relieve poverty.

  3. To relieve financial hardship by the recycling and provision of furniture, clothes and other household items.

  4. To provide or assist in the provision of facilities in the interests of social welfare for recreation or other leisure time occupation of individuals who have need of such facilities by reason of their youth, age infirmity or disability, financial hardship or social circumstances with the object of improving their conditions of life.

An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the next statement.
