– The Cellar Charity Shop team meeting Tuesday 7 November 2023, Hope Church
(postponed from 1 November due to Storm Ciarán)
Present: Little Val, Bill, Sharon, Kate, Barbara P, Linda, Barbara R, Tony, Sarah, Karen, Glen, Deborah (minute-taker), Vicki, Valerie, Penny, Robert.

Glen thanked everyone for attending and introduced Kate as a new volunteer. He also opened the meeting with a prayer.
It was noted that predictions for winter food and fuel costs are not looking good, so many families could soon be struggling again.
Looking at our income, we have been doing very well recently so Glen thanked everyone for their input to this.
Karen also thanked everyone for their help and input to the success of the shop. Particular thanks were given to Penny, who successfully sells items on EBay and to Deborah, who runs the Facebook page which is proving useful as many of our customers mention they have seen items on FB.
Thanks were also given to the Porthleven Jewellery Workshop, who assist us with valuations of jewellery. If the shop were to sell gold or silver jewellery, we would be required to display a huge hallmark wallchart, so instead they buy any gold/silver from us.
Karen confirmed that all is going well in the shop currently but if anyone has any ideas or suggestions, then please do come forward.
Glen confirmed that, although we cannot take large furniture or household items due to lack of storage, if anyone asks if we can take furniture donations then do please give out his telephone number (without any promises) as he can then take a look at the possibility of selling on via FB Marketplace.
It was reiterated by many in the meeting that we often get compliments from locals and visitors to the village, that our shop is lovely, well organized and a credit to us. Many holidaymakers make return visits to us.
The current shop times of 9:30-3:30 are working well and will remain as such as all seem happy with this.
Karen confirmed that she had made a recent contribution of clothes and toiletries to the homeless charity St Petroc’s. They don’t currently need large items such as duvets but if any adult sleeping bags come in, could they please be kept for them.
Vicki mentioned that, when Karen takes time off, we could please ensure that we all communicate via What’s App where possible to make others aware of shift changes/requests to swap, instead of troubling Karen with these. It was reminded that there is a calendar in the shop office which denotes when holidays are being taken, so if we could all keep an eye on this and make an effort to ask other volunteers where shifts cannot be covered. Glen also noted that he could also be contacted regarding this issue.
Glen also thanked Karen as Manager and it was agreed that we all appreciate her hard work, as she looks after the stock and all of the volunteers.
The local School and Nursery had recently been contacted to ask whether any local children or families may need assistance in any way but we had not heard back. Barbara will make contact again.
Glen reminded the meeting of funds recently given, such as Mens’ Health Helston (£200) and Bibles via Harvester Churches (£1500). We also arranged for new signage for the shop and purchased a new till.
Sharon suggested that, as many customers don’t want a printed receipt, would it be possible that a receipt is not printed unless asked for, which could reduce costs of thermal paper. Deborah offered to look into this.
Funds were recently given also to Christian Camps (£1000), PEG (£200) – a thank you letter has been received, to a local family for hospital travel costs (£1000) – a thank you message was sent to Karen via text.
We also gave to Eyesight Cornwall, a cooker was given to a local sheltered housing corporation and we gave £1000 to Mustard Seed.
A thank you letter was received from Sian at Sapling and Bud for the £200 received for travel costs to Great Ormond Street Hospital with her daughter – it has also enabled her to treat both daughters to a day out.
Our accounts to end October enable us to donate approximately £5000 this Christmas so suggestions were received as follows:
Salvation Army - £1000
Foodbank – they seem to not need funds at the moment
Blood Bikes - £200
St Petroc’s - £500
Glen mentioned the current situation in Israel and Tony explained that Joseph’s Storehouse Ministry were a charity that he has contact with and that they are able to give aid to all those fleeing persecution (whether Arab or Israeli), to children needing clothing or school supplies, to assisting victims of terror plus medical aid where needed. It was agreed to give them £1000.
The Burma Orphanage, who we have been in contact with for 12 years now, are still receiving £300 per month from us and Glen will ensure that any updates received from them are forwarded on to us all. Some of the original orphans are now successfully going into university education.
Valerie mentioned Marie Curie as a possible receipt of funds and gave Glen a contact. It was agreed to give £500.
Valerie also requested that we consider Diabetes UK and asked that Glen make contact with them via his wife Sarah to find out more about where any donations would be used. It was agreed to donate £200 once a contact had been made.
Tracy has asked us to consider Hidden Help, who aid those who have been rehoused and have nothing – it was agreed to donate £500 to them, plus they may also like any large furniture items we are offered or any bedding we may have.
Barbara P requested that it be considered for Karen to receive compensation for the extra hours she gives to the shop, whether it be arriving early and leaving late, or for the extra hours she spends in researching items for sale and for looking after and managing all of the volunteers. Glen confirmed that the trustees do visit the salary issue each April and will continue to do so, although it is a fine line between increasing salary against us being able to make these continued donations. Further discussions will be addressed with the trustees privately.
Karen asked whether any local care homes might like boxes of chocolates or biscuits for Christmas. Two are known of in Helston. Glen will look into others to possibly gift to.
Barbara R suggested continuing to help Sian from Sapling and Bud with help for cost of travel as £200 wouldn’t go far currently. It was agreed that an additional £200 was given.
It was agreed to donate a further £500 to the Porthleven Methodist Church to aid with meals for the homeless.
Christmas closure dates were confirmed as last day of trading to be Friday 22 December 2023 and reopening on Monday 8 January 2024.
It was suggested that we might want to use the Church space for a get together at some point, maybe in the New Year.
Penny asked us all to keep any jam or marmalade jars back for her, ready for making jam next year.
Glen reminded everyone about the awareness of risk assessments whilst working in both the shop and the Church cellar. Fire extinguishers can be found at the front of the shop and in the back office. When working in the cellar the main issue is the low ceiling height. Working alone should be avoided where possible in the shop. There is an induction sheet in the back office if anyone wants a reminder of anything relating to working in the shop. A reminder that there is a step down into the shop and to make everyone including visitors aware of this when needed. Also, that there is always the possibility of thieves but that none of us are to put ourselves at risk by challenging anyone. Sadly there is also the possibility of intoxicated customers. We should all just look out for each other whilst working in the shop to be safe. Tony suggested that another First Aid course may be required.
Vicki mentioned that she had been asked on at least one occasion to accept a £20 note for a 50p purchase. If this were to happen again to anyone, it is suggested that we say no as we wouldn’t have the change available – we have no means of checking whether these notes are legitimate or not.
