## **The Cellar Charity Shop** 

## **Meeting held on Wednesday, 23 March 2022 at 4.30 pm, Hope Church.** 

**Present:** Pastor Glen (Chair), Karen (Manager), Pastor Phil (Hope Church), Tony & Sarah, Val G, Val, Jan, Roz, Anne, Barbara, Bill, Linda,Vicky, Deborah (Volunteers).

_The meeting opened in prayer by Pastor Glen._ 

## **1. Bank Account balance: £8,700 at 4 March 2022** 

## _**In:**_ 

- £300  raised from eBay sale of goods donated by Pastor Saunders whose wife passed away. 

## _**Out:**_ 

- £60 Contribution towards fuel for transport of goods to Ukraine 

- £400 Mission Aviation Fellowship (MAF) 

- £100 Flyers 

- £100 PAT testing 

- £132 250 litres heating oil for family at Lizard who had a house fire with no insurance to help with living expenses

## **2. Ukraine** 

This month’s profits (after overheads taken out) are going to support Ukraine.  Monies to be distributed at the discretion of the team.  It is possible that an influx of refugees to Cornwall could do with support in the coming days. 

It was proposed that we continue diverting shop profits for Ukraine into April and potentially for the foreseeable future: this was agreed by all. To be reviewed at the end of April. 

Tony & Sarah gave a report of the local effort to help the refugees.  A volunteer driver and his van, with Tony & Sarah are leaving on Monday with the current generous supply of community donations.  Attention was drawn to keeping an ear out for anyone with a van to borrow/drive to Swindon where contents will then be transported to Eastern Europe, organised by The Barnabas Fund UK. 

## **3. COVID 19** 

It was agreed that we continue to insist that customers wear masks in the shop and to sanitise hands on arrival.  Legally we are able to stipulate our policy and can legitimately challenge customers who do not have a mask or object to wearing one.  Exemption cards need to be seen. 

It was suggested that we produce a larger sign asking customers to wear a mask as it wasn’t clear on arrival. **TONY/GLEN** 

A reminder of groupings in the shop at any one time: if 2 single people in, 1 more single can be permitted. 2 larger bubbles can be welcomed at a time. Use discretion. 

Donations to the shop and the cellar are still to be quarantined for 72 hours before handling. 



## **4. Facebook** 

Deborah has taken responsibility for The Cellar Charity Shop Facebook page. It was suggested by Karen to have a sign by the till encouraging customers to ‘like’ us on facebook.  Volunteers also encouraged to ‘like’ our page and share it to raise its status. 

## **5. Cash till** 

Karen suggested changing button 11 to just ‘donations’.  All agreed. 

## **6. Fashion Show** 

Karen raised the plan to hold a fashion show in the public hall in conjunction with the Porthleven Lights Committee and to share the profits from the event 50:50 as well as splitting the cost of hall rental. 

The fashion show would entail volunteers modelling a range of clothing including day wear, evening wear and finishing in bridal wear.  Karen has been putting donations suitable to one side in the cellar with this event in mind. 

Refreshments, cake stall, raffle, shop goods on sale would also raise funds plus the sale of event tickets.  Porthleven Lights Committee may sell cards Barbara mentioned.  Offers of assistance with makeup/hair have come from Porthleven Lights Committee. 

Barbara to liaise with Lights Committee to find a mutually convenient date in June. Potential models to be approached - children, teenagers, men and women of all ages. Raffle prizes to be collected - donations requested. Karen, Deborah and Vicky to organise the event with any other helpers who volunteer. Posters/flyers to be printed. 

## **7. Volunteers/opening times** 

It was raised that more volunteers are needed. Shop opening times will increase from April to the following: 10 am - 4 pm with 2 volunteer shifts from 10-1 and 1-4. 

## **8. Izettle/mobile phone** 

Pastor Glen pointed out that the wifi isn’t always very reliable and sometimes the bluetooth turns itself off.  In this event, ensure the phone and Izettle are turned back on.  If volunteers are still having problems, to phone Pastor Glen for assistance. 

Volunteers were encouraged to practice using the mobile phone in case of an emergency when knowledge to do so would be vital. 

## **9. Any other Business** 

Pastor Glen suggested a Summer BBQ to get all the volunteers together.  Any offers to hold it in their garden would be welcomed or Glen is offering his garden. 

Pastor Glen thanked everyone for their help and thanked Karen for her hard work as Shop Manager.
