The End of Portets Lease at Harfech Court and the Relocation of the
Venue
Throughout the period from January to D￿mber 2023, there were no
¢onstrtuttonal Changes or changes in governan￿. However, we did experience a
signif¢ant shrft in operthnal sknL,￿re due to extemal factors.
At the end of December 2023, Porters lease at Harlech Court came to an end,
bringing our partnership at that venue to a fonnal close. Throughout 2023. we
undertook a feasibilty study to asse￿ the possibility of moving with Portels to a
new venue at Barrack Lane. After thorough exploration. the board of trustees
and the executive team strategicalty decided to pursue a conts'nued partnership
under a similar r￿de[ in the new premises.
However. in January 2024. we made the dectsion to abandon this strateo.y. As a
result of both a depa￿re of vision be￿n ourselves and Porterfs LLP, and
some spe¢tfic challenges rarsed in the feasibility study-particularty the high cost
ot making the new basement Spa￿ accessibl￿)ur partnership with Porterfs
s concluded eaty in 2024. A detailed ￿pOrt ot this decision will be included in
our 2024 annual reporL Disagreements con￿mIng the operational and strategic
role of Porterfs within the organisation also contributed to this earty termination.

Our final prrK1uCtK￿ at Harlech CourL Idle. They Yarnmer by Matthew Trevanion
(who also wrote All But Gone for The Other R￿M in 2018), was a daring and
¢riticalty a¢daimed absurdist play. It explored the ￿petItsve and often futile nature
of human existence. where characters endlessty talk, build, and create even in
the face of impending doom. The play offered a sharp reflection on society's
c>)mpulsion to tell stories and buitd structures. physKally and metaphori(55ty,
despÉte looming uncertainties.
This production resonated deeply with our (ywn sittjab'on as we neared the end of
our lease at Harfech Court The fragmented. cyclical dialogue and seemingty
stalled actions ofthe characters mirrored the ￿n￿rtaInty we fatsd in our own
creative and operalional joumey. As a result, Idle. fhey Yammer became a fitting
tribute to bjth the space we were leaving and the Un￿rtain fvture ahead of us.
leaving audiences wrth a powthl sense of both absurdty and resilien￿.
wiyti.ngs on the Wall Exhibltlon
In the final mnths of our tenancy at Hariech Court. we presented Wiitings on the
Wall, an exhibition chronicling the hi8tory of The Other Room's tirne at Porterfs.
This unNue initiatsve transf0M￿ the theatre into an extension of the bar spa￿,
offering ts publr an opwrtunty to browse production photography and read
a￿￿t ourjoumey. while enioying the atmosphere.
The exhibiton was more than just a reflection on our past, it was a chance for the
public to engage wrth the rith history of the venue and our productions.
Audien￿ could reminisce alx)ut shows they had seen. Whi￿ new visitors
discA)vered the theatre's story in a re￿xed. infoTmal setttng. This project marked
the conclusion of the Writings on the Wall inth"ative, supported by a grant from the
Arts Council of wa￿ Lottery Fund, and provmled a fftting, reflective cthure to
our tF'me at Hartech CourL

Baba Joon
In 2023. we also Baba by Lisa Zarah, a unique work that explored
Welsh-middbe Eastem communiknes and the complexities of identity and
belonging. The production. developed in collaboration wth Swansea Grand
Theatre and our new partners Grand Ambition, was not only a theatrical SUC￿$5
but a vilal pl￿ of (x)mmunty engage￿￿t
ongside the show. we conducied exiensive community participation initiatives,
ensuring that Baba Joon resonated not just WTth theatre audiences, but wth
those whose stories it represented. After a Suc￿$￿1 week4ong run in Swansea.
the produdion toured to the USA vthere it was presented at the UnNersity of San
Jose. The transayantic journey further highlighted the universal appeal of its
themes. while also offering us new intemational exposure. The production is
scheduled for a hOM￿nIng run in Cardtff in 2024, bringing the story back to its
n)ots.
Addttionally, Baba J￿n beneffted from a o)st-of-INing gran( which allowed us to
increase fees for our artists by 20%, [efi￿tiTrg our commitment to fair
compensats"on. Imiile the firtancial beneffts of this inctease did not arrive until
2023, adding to our defictt, the artistic and soaal impact of the production was
profound. and it will ￿ntinue to enrich our future programming.

YoungArtists (YAF)
Unforiunately, due to the unwtainty surrounding our lease at Hadech Court the
planned Young Artists Festival (YAF) did not take Pla￿ in 2023. Wth no clear
confimats.on on whether we would have continued a¢¢ess to the space, we faced
significant challenges in planning and programming. The lack of communication
and clarrty around lease extensions, combined with the logists'cal and operational
difficulties of wtenlialty being without a venue, made it impossible to deliver this
important educational pri#Jramme. In hindsighc we reCogn￿e that this project
could have proceeded had more certainty been available eartter in the year.

Financial review
The financial challenges of 2023. combined with the operational limitat¢ons
caused by the uncertainty surrounding our le￿. resulted in a difficult reserves
position by the end of the year. t)espite this. we are confident that the financial
outlook for 2024 will be stronger, wrth reserves projected to cover at least tsvo
[r￿)nthS of core costs by the end of the year.
At 31st D￿mber 2023, The Other Rwm held total fvnds of £39.972,
comprising £47.633 of restricted fuThls and -£7,651 of unrestficted funds.
Brief statement of the ¢harity's
policy Oll reserves
unrestricted funds are negative at year end, we do not consider this to be
a material COn￿M for the charity for the following reasons..
At the end of 2023, we incurred S￿￿thcant unpL4nned costs for architects
and project Manage￿nt relatsng to our move from Hadech Cour¢ at 2 time
when we were still assessing the feasibility of moving to Porters, new
premises on Barrack Lane. These costs were not onginalty budgeted for and
needed to be largety covered by unrestricted fvnds.
There were unforeseen delays in receiving core unrestricted fijnding from
the Garfield Weston Foundation and cost of INing towup funding from the
Arts Council of Wales relats.ng to our'Baba J¢)on' production {£20,000 and
£6,662 respethetyl. These funds were not received until 2024, meaning
that the unrestricted fund balance in 2023 was lower than expected.
Our Theatre Tax Relief claim from HMRC for 2023 (recetved in 2024) was
far greater than budgeted for {£32,787 versus budget of £17,000), providing
us wilh signif• trnre unrestr￿￿ funds than planned in 2024.

I have noted during my examination that the 2023 accounts for The Othèr
Room comprise restrrcted funds of £47,633, and negative unrestricted fvnds of
£7,651.
Charity officers have set out an explanation for the negative un￿striCted
reserves arising * year end within Section E of the Trustee Annual Report,
along with details of how the p0S￿On shoukl be recovered during the 2024
financial year. I have reviebved evidence which provides assuran￿ that the
balances quoted in this section of the report are a￿rate.
Consequently, l am satisfied that despite the charity having a negative
unrestricted funds balan￿ at 31 De￿rnber 2023, this does not constitute a risk
to its going concern status and the position should be corrected during 2024.
No other matters have arisen during my examination that require fvrther
disdosure.
