## **AGM**

Welcome:- Alison welcomed everyone and said we have to have an AGM, although it is so soon after the open meeting in September.

Members were asked to vote on changing future AGM’s to March so that they can be a joint AGM with the Social Club

## Constitution 

The IDS and Social club currently have separate constitutions, so in order to have one AGM we need to try and make them the same and bring the changes to the next AGM

## **- Trustees:** 

Due to the difficulty finding people willing and able to stand as trustees we would like to change the period of time they are allowed to stand for. Currently they can stand for term of 3yrs x 3, making a total of 9 years in all. We would like to amend it a term of 3yrs but with no limit to the number of times a person can stand for re-election, without agreement We will have no Treasurer or Secretary.

Explained account will in future run from Jan to Dec, instead of October to September as at present, which will work with change of AGM and be much easier. 

Explained that we have changed phone/internet supplier from BT to Onecom 



Reminded people that they do need to make sure everything is off before they leave the building, as our utility bills are high and we nee to try and get this down. 

## **Future** 

If we get your support we would like to get Solar panels etc but we can’t plan this if we don’t get your support, we have to be sure we can remain open, long term.  We are all electric so that should be good and if we can put these on the flat roof this will also help to protect the roof. 

Also the bar area needs finishing but we can’t spend the money until we know we can work together, because without you we can’t carry on. There has been some talk of raising membership but we have agreed to keep it at £15.00 for this coming year.

Heidi – Ask why we have to pay utilities when the centre been closed 

Doug explained SHAS still used centre – also the alarms etc need electric – the costs will go up when open but we hopefully will have more money coming in. 

Patsy – Cavity wall insulation could we have as I have at home and that saves a lot of money 

Doug explained we have no cavity so that isn’t a possibility here. 

Doug also explained we would like automatic door for wheelchair access also CCTV to allow people access to building without leaving the building open.

## **- Secretary Update:** 

We decided that all who had paid membership at the beginning of 2020 would have that membership extend to the end of 2021, as the centre was closed for most of 2020 and the beginning half of 2021. 

The trustees had decided that for the coming year membership would remain at £15.00 and can start being renewed as with effect from today. 

Rose asked if reminders could be sent out for membership. 



We will look into this, maybe with the newsletter – which will start to go out again every quarter. 

The question was raised what do we get for our membership. 

It was explained tickets for events were cheaper 

If a member wished to hirer one of the rooms/halls they would get a 10% reduction 

A quarterly newsletter 

Some events only open to members or they would get first choice and only be offered to non members to make up numbers.

So far it came up at the Open meeting we got asked for Saturday night Bingo, but I’m not being supported so wondered if you would like to change the time or day. 

## Peter 

Deaf Bowls had been going well, but with bingo not many, we thought it would be popular, do we change the bowls to the afternoon and have on the same day. 

Peter Reminded everyone that he had said before if we don’t get the support we will have to close, the AGM next March if you don’t support we may need to say then we will have to close down 

## Heidi 

Said some people may be continuing shielding and not able to come back to the centre, which may be why they won’t come to bingo. 

Wed bingo is well supported 

## Linda 

Maybe we could have Bingo on first Sat and bowls on the 3[rd] , maybe in the afternoon 

## Alison 

Said maybe they don’t want bingo on a Saturday and the social club need to think of  something different 

## Elaine 

## Bingo has usually been first Sat 

Alison agreed that some may not come because of covid, as some people are worried still 



Coffee bar only once a month, after Christmas twice after Easter if busy will be every week 

So we need to be careful, it is difficult to inform people, so between now and March we carry on with bingo and ask at March if not working what people want. 

## Linda 

We have enjoyed the coffee mornings and would love them twice a month + coffee morning on Sat morning also. 

Amanda would be happy for this and agreed to start every two weeks from 1[st] Dec and Sat after Christmas. 

## Colin 

Bingo on Sat’s not getting numbers – maybe give out cards to inform people at the coffee mornings –  Coffee mornings very important for socialising and also giving out information. 

## Claire 

I thought would use extra bingo strips and only win if you get full house, special events like Christmas, Valentines which should raise extra money 

## Vicky 

Thinking about Sat morning Coffee good for me as I work – also know Gavin and I have set up a signed social for those who are learning to sign – we hopefully will be able to get some of them to come along to the coffee morning, so they spend their money here. 

## Alison 

Sounds good, but it will be tiring so Amanda will need help, so please let her know if you are able to help.

Chairperson's Report
Members and Visiiors
This is a most unusual report covering the period November 2020 lo today in
12021. The centre itsdf has only been open to the deaf community since
September of this year- however the Trustees have been busy in the
background planning for the fuiure and Sin￿ our extraordinary meeting on
September 18 we have made a good stsrt in creating a positive alrnosphere.
The outcome of the September meeting SUp￿rt￿l the plans to really make the
centre Work for the deaf and to encourage more aclive fundraising. To that end
we have made the move towards joining up the two (x)mmittees - Social Club
and Tnjstees so we can all work together to improve the centre and provide
activities and events for the deaf communtty.
Peter Ba￿ now oversees the'soual club. and joins the Trustees at their monthly
meetings. We look the opportunty to thank both Linda Kirk and Cedric Croft for
their many many years of leading and managing the tradttM)nal 'Social Club,
Amanda Platt has taken over the running of the Coffee Bar - she has a free
hand in developing Tt as She wishes - maybe changing the name I supply of
goods etc. We wsh her well in this new adventure and l am sure she will have
the support of many deaf people in developing this.
As we move towards joining up activities the followng propK)saLs need to be
considered".
1. Join up the two current constilubons and make small changes to the election
of officers.
2. To move towards having just one Annual General Meeting. (March each year
starting in March 20221
3. To welcome the 'Deaf Church. onto the premises.
4. To encourage the development of the centre becoming a 'Communty Hub.
for the Dales area.

Dean Wales (Trustee} has recenty stepped down from his ro￿ so he can fully
commit to his job as a paramedic. We wish him weN and l am sure we will keep
in touch.
Membership fees wll remain at £15 for 2022 (Jan to Decl this will be one fee
for bolh IDS and the Social Club. Extra donath)ns are always welcome!
We are in receipt offunds from the Social Club to purchase new fumiture for the
centre. Currently an order is in place to add more coffee tsbles and chairs for
the Coffee Bar- like many things there is a delay in getting the required stock
so we are unlikely to get these before Ihe Spring. We will be purchasing new
chairs and table forthe upstairs a￿8 in the new year- also dependanl on supply
of goods!
We are moving towards a more 'social M￿la. approach for keeping people
informed of events and activrbes - it is important that we don't exdude those
who do not use mobiles and computers. Please tell us if you still need
infomiation by post.
. our next AGM as 'one committee and one constitubon. will be in March
when we will ask rnembers to vote on the new proFK*sals then. If anyone is
interested in joining our committee rM)w to fill the gap we have please put your
name forward.
