FRIENDS OF GREENFIELD TRUSTEES' REPORT

The Trustees present their report with the financial statements of the charity for the period ended 31[st] July 2023.

STRUCTURE GOVERNANCE AND MANAGEMENT Organisational structure

The Charity is run by the Board of Trustees and they meet on a half termly basis; it is they who take responsibility for the strategic planning and monitoring of the work of the Charity. The Board can establish sub-committees and working parties to carry out functions on its behalf. Implementation of the organisation’s aims and objectives and the day to day administration of the charity is delegated to the Chairperson and Treasurer. Included in the delegated authority, and approved by the trustees, for operational matters these powers include finance, employment.

Governing document

The Friends of Greenfield is a charitable incorporated organisation, incorporated on 9[th] June 2014.

Recruitment and appointment of new trustees

Trustees are appointed or their positions ratified at the Annual General Meeting.

New trustees are asked to attend and observe regular meetings of Friends of Greenfield. They are supported through a trustee mentor and encouraged to participate in the organisation and planning of events planned by the charity.

The Board of Trustees meet termly with the fundraising committee at Greenfield Special School. All Trustees give their time voluntary and received no remuneration or other benefits.

Related parties and co-operation with other organisations

Friends of Greenfield have continued their links with Barnardo’s and Salvation Army.

Risk Management

The Trustees have a duty to identify and review the risks to which the charity is exposed and to ensure appropriate controls are in place to provide reasonable assurance against fraud and error. Friends of Greenfield have taken precaution to ensure that only Trustees have any responsibility for financial matters i.e. signing of cheques etc. The planning and organisation of events is discussed at meetings where all stakeholders are invited to contribute. This is then further discussed by Trustees in accordance with the constitution of the charity; meetings are documented accordingly ensuring a fair and transparent process.

OBJECTIVES AND ACTIVITIES

Objectives and Aims

The main objective of Friends of Greenfield is to provide additional facilities to Greenfield Special School that enhances the education and personal development of the pupils of the school. Greenfield Special School, Merthyr Tydfil provides a positive learning environment for children with learning difficulties.

Financial Review

The Trustees have examined the charity requirements for reserves in light of the main objectives and established a policy that any objective should not be undertaken if sufficient reserves are not available.

During this year various fundraising events have been organised. There has been a fundraising evening with an artist and disco, Christmas fayre and Christmas raffle, a Psychic evening, summer fayre as well as donations from local businesses and parents.

We made an application to the National Lottery which we received £10000.00. This enabled us to finance a new immersive room within the school.

We also continued to develop our outside areas for our pupils to engage in outdoor learning activities regardless of the weather.

Reserves Policy

The Trustees have examined the charity requirements for reserves in light of the main objectives and established a policy that any objective should not be undertaken if sufficient reserves are not available.

Friends of Greenfield held cash at bank as at 31st July 2023 of £12,750 of which all were unrestricted funds and. The unrestricted funds will be used for any expenditure that the Trustees feel meet the requirement of the main objectives of Friends of Greenfield.

Future Developments

Pupils of Greenfield school continue the upkeep of the bike shed and maintain and repair the bicycles. The garden area is also maintained by the pupils who grow their own fruit and vegetables. They use the fresh produce to make hot meals which help feed the homeless in Merthyr Tydfil.

We will continue to support the pupils developing our outside learning areas. We applied to the National Lottery for a grant to purchase a food van. This will give the pupils the opportunity of work experience and develop life long skills which will enable them to start a new enterprise which will benefit the community, Merthyr Tydfil's homeless as well as themselves.

Public Benefit Statement

In shaping our objectives for the year and planning our activities, the trustees have considered the Charity Commission’s guidance on public benefit, including the guidance on ‘public benefit: running a charity (PB2).

The trustees confirm that they have complied with the requirements of section 4 of the Charities Act 2011 to have due regard to the public benefit guidance published by the Charity Commission for England and Wales.

INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF

FRIENDS OF GREENFIELD

I report on the accounts of the Trust for the period ended 31 July 2023, which are set out on pages 4 to 5.

Respective responsibilities of trustees and examiner

The trustees are responsible for the preparation of the accounts. The trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011(the 2011 Act) and that an independent examination is needed.

It is my responsibility to:

Basis of independent examiner's report

My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

In connection with my examination, no matter has come to my attention:
