## **STRUCTURE GOVERNANCE AND MANAGEMENT** 

## **Organisa�onal structure** 

The Charity is run by the Board of Trustees and they meet on a half termly basis; it is they who take responsibility for the strategic planning and monitoring of the work of the Charity. The Board can establish sub-commi�ees and working par�es to carry out func�ons on its behalf. Implementa�on of the organisa�on’s aims and objec�ves and the day-to-day administra�on of the charity is delegated to the Chairperson and Treasurer. Included in the delegated authority, and approved by the trustees, for opera�onal ma�ers these powers include finance, employment.

## **Risk Management** 

The Trustees have a duty to iden�fy and review the risks to which the charity is exposed and to ensure appropriate controls are in place to provide reasonable assurance against fraud and error. Friends of Greenfield have taken precau�on to ensure that only Trustees have any responsibility for financial ma�ers i.e., signing of cheques etc. The planning and organisa�on of events is discussed at mee�ngs where all stakeholders are invited to contribute. This is then further discussed by Trustees in accordance with the cons�tu�on of the charity; mee�ngs are documented accordingly ensuring a fair and transparent process.

outside learning area. We have provided funding for various seasonal ac�vi�es such as Christmas pantomime, Halloween and Valen�ne’s celebra�ons which has included school discos. Due to the Covid 19 restric�ons we have been unable to hold any charity events a�er March 2020. This has severely affected our fundraising throughout the past year.  As a charity we have contributed £11500.00 for ICT equipment in the form of chrome books which were purchased from Merthyr Tydfil County Borough Council.

The Trustees have examined the charity requirements for reserves considering the main objec�ves and established a policy that any objec�ve should not be undertaken if sufficient reserves are not available.

## **INDEPENDENT EXAMINER'S REPORT TO THE TRUSTEES OF FRIENDS OF GREENFIELD** 

I report on the accounts of the Trust for the period ended 31 July 2020, which are set out on pages 4 to 5. 

## **Respec�ve responsibili�es of trustees and examiner** 

The trustees are responsible for the prepara�on of the accounts. The trustees consider that an audit is not required for this year under sec�on 144(2) of the Chari�es Act 2011(the 2011 Act) and that an independent examina�on is needed. 

It is my responsibility to: 

- examine the accounts under sec�on 145 of the 2011 Act; 

- follow the procedures laid down in the General Direc�ons given by the Charity Commission undersec�on 145 (5) (b) of the 2011 Act; and 

- state whether par�cular ma�ers have come to my a�en�on. 

## **Basis of independent examiner's report** 

My examina�on was carried out in accordance with the General Direc�ons given by the Charity Commission. An examina�on includes a review of the accoun�ng records kept by the charity and a comparison of the accounts presented with those records. It also includes considera�on of any unusual items or disclosures in the accounts and seeking explana�ons from you as trustees concerning any such ma�ers. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those ma�ers set out in the statement below. 

## **Independent examiner's statement** 

In connec�on with my examina�on, no ma�er has come to my a�en�on: 

- (1) which gives me reasonable cause to believe that in any material respect the requirements: 

   - to keep accoun�ng records in accordance with sec�on 130 of the Act; and 

   - to prepare accounts which accord with the accoun�ng records and comply with the accoun�ng requirements of the 2011 Act 

   - have not been met; or 

(2) to which, in my opinion, a�en�on should be drawn in order to enable a proper understanding of the accounts to be reached.
