Page 1 **Somewhere House (Somerset) LTD** ## **Report of the Trustees for the Year Ended 31 March 2021** ## **OBJECTIVES AND ACTIVITIES Objectives and aims** Somewhere House Somerset Ltd offers the local community the following services: - Low cost professional counselling - Community projects - Support - Groups - Help and advice - Educational workshops - Family / relationship therapy - Covid-19 Support Our aim is to help people in the local community who are finding life difficult including: - Substance misuse e.g. cannabis - Alcohol abuse - Addiction - Mental health issues e.g. depression, anxiety - Bereavement & loss - Parenting difficulties - Relationship problems - Emotional issues - Issues surrounding the Covid-19 pandemic. ## **Public Benefit** The trustees confirm that they have referred to the guidance contained in the Charity Commission’s general guidance on public benefit when reviewing the charity’s aims and objectives and in planning future activities. ## **ACHIEVEMENT AND PERFORMANCE** ## **Services** ## _Counselling_ Many of our contractors who commit to counselling for the charity, have been known to us for many years and have built a reputation within the organisation and now with clients in the community. In the last year alone, we have now accumulated over 5772 hours of contact with children, parents, couples and adults who are in vulnerable situations with their mental health. Our numbers continue to increase on a weekly basis for two reasons: Firstly because of the ease of access to the service and the model of ‘pay what you can afford’ and secondly because this financial year has been largely dominated by the Covid-19 pandemic, which has shocked the world and left many feeling isolated, lonely and adversely affected by their mental health. The feedback we have received from clients has been overwhelmingly positive. The team moved quickly to create a secure online platform to allow us to continue to see vulnerable clients. We are most proud of the diversity in the work we do, helping people through many mental health concerns such as physical, sexual and mental abuse, trauma, addiction, PTSD, domestic violence, eating disorders, suicide ideation to name a few. Covid-19 has dominated many lives over the last year and has highlighted sadly, many of these issues identified. Our referrals have increased significantly and continue to do so, which highlights the demand and need for the type of service we offer. It also demonstrates how our counsellors have adopted a strong working alliance with Page 2 **Somewhere House (Somerset) LTD** ## **Report of the Trustees for the Year Ended 31 March 2021** their clients. In this financial year, due to the dramatic increase in referrals, we sought to recruit 3 more counsellors to our team, taking the total to 9 with the option for 3 more subject to need. One of our old counsellors has returned being able to slot in due to the work being instigated remotely. ## _Education workshops_ Whilst we have been unable to conduct these due to Covid-19 restrictions, we have still maintained healthy relationships with local schools in our community and the hope is that when restrictions lift, these can once again recommence. ## _Community projects_ We have continued to run a football league (whilst allowed to do so in line with Covid-19 government guidance) that has helped to build relationships, bring in some fun and social inclusion to those who have not experienced this. And we make sure a trained counsellor is at hand to create a supportive environment. Our coffee and chats could no longer be held in person, so we moved to an online coffee and chat programme, every other Tuesday. There is hope that this can return to face to face in the coming months. The plan is for July if the government guidelines allow. ## **Operations & Marketing** ## _Counselling Space_ We continue to have our portacabin, which after a period of hiring, was actually donated to the charity by Portakabin. This also gives us a dedicated location and space that we can make our own. Even during the pandemic this has been a useful resource for counsellors to work from, breaking the monotony of a working from home environment and ensuring confidentiality boundaries are maintained. The environment has been able to follow the boundaries of PPE as well as a high standard of hygiene. The portacabin is permanently located at the local Tesco’s in Burnham-on-Sea. A wonderful relationship has developed with Tesco’s and a result of this is that they have allowed us to place the portacabin in the car park free of charge. Tesco’s continue to be supportive of Somewhere House Somerset of which we are very grateful and we are aware those we support are too. ## _Updated website and internet access_ Our website continues to have changes made to it to enable client’s easy access and availability to refer themselves to the organisation. We have also increased our awareness on social media to ensure we are reaching out to a diverse community. A new online video conferencing platform was built during the pandemic, integrated into our paperless system, which again has supported us to continue the work we do with clients. This has ensured a safe reliable option which allows those who can access the internet to do so through the system as well as zoom calls and telephone calls. We have increased our use of the mobile phone to allow for other forms of texting even though our system allows for texting. All counsellors have been given an iPad to allow for dedicated access and help for telecom bills if needed. This has all allowed our service to be seamless extending our support to those in the whole community as well as keeping all parties safe. ## _Fundraising committee_ We now have a fund raising committee who carry out activities on a monthly basis and organise community based events on a regular basis. Whilst community events have been restricted this past year, there have been a number of fundraising ideas and funds generated through the kindness of the local community. Our Christmas jumper activity has carried on and donations for cakes and buying of them has evolved to allow own cake sales and small donations. We have been auctioning donated items via ebay, which has helped with funds for the organisation and our charity clothes bank has not only helped a little with the finances but also helped clothe those who are disadvantaged. Lewis Matthews had an amazing journey through New Zealand and we are grateful not only for the monies he raised but also raising the awareness to our communities allowing us to help others. ## _Grant committee_ We continue to meet once a month to discuss and explore new sources of revenue for the charity, and applications are made for appropriate financial support for the Somewhere House Somerset. There have been some significant awards given and we now have a specialist bid writer who has joined the team and has sourced and won significant new funding streams. These generated funds have allowed us to open our organisation to the wider community and also have a dedicated telephone support if required. ## **Fundraising** We have had our ability to fundraise in public heavily restricted this year due to Covid-19. We increased our efforts in applying for grants, and have been successful in many. These have been conducted online in the most part, in line with UK Covid-19 guidance. ## **Volunteers** We have been so very fortunate to have volunteers who are dedicated and who have given their time freely to help out with the charity, whether this is to organise events, raise money, to attending online workshops giving them an opportunity to further their learning and development. The charity will look at expanding this in the next year when the world of Covid allows. ## **Future Plans** Our plans are to continue to provide a therapeutic service for people in the community. ## _Group therapy_ Once restrictions allow, the option to run group sessions is something that we can facilitate as a charity. ## _Reaching isolated communities_ We are working on a project to allow us to become more mobile as a service and reach many of the most rural areas in and around Sedgemoor. ## _Marketing_ We are also creating fundraising packs to give to our clients to encourage them to also get involved with fundraising. Counsellors are actively involved with their clients making them aware of the charities need to raise money and if they are able to help. ## **FINANCIAL REVIEW** ## **Reserve’s policy:** The trustees maintain reserves at a level they consider appropriate. We as an organisation keep money aside as a reserve to protect our charity against drops in income. Our reserves if needed will be used on our aims of the organisation and for emergencies when needed for example if we need to pay staff and the funds currently available. We try to have 1 year’s reserve in place for our outgoings of insurance, telephones, counsellors, appropriate IT and operational management costs which are the charity’s only outgoings. The current reserves are £134,344 and this will cover our costs to keep the charity running for a year if needed. Our charity’s reserves can be spent when and if needed and therefore it is down to the trustees to decide this. Our reserves policy is reviewed on a yearly basis. Having satisfied myself that the accounts of the Company are not required to be audited for this year under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity’s accounts as carried out under section 145 of the Charities Act 2011 (“the 2011 Act”). In carrying out my examination, I have followed the Directions given by the Charity Commission (under section 145(5)(b) of the 2011 Act. ## **Independent examiner’s statement** In connection with my examination, I confirm that no material matters have come to my attention, which gives me cause to believe that: - accounting records were not kept in accordance with section 386 of the Companies Act 2006; or - the accounts do not accord with such records; or - the accounts do not comply with relevant accounting requirements under section 396 of the Companies Act 2006 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination; or - the accounts have not been prepared in accordance with the Charities SORP (FRS102). The members have not required the charitable company to obtain an audit of its financial statements for the year ended 31 March 2021 in accordance with Section 476 of the Companies Act 2006. The trustees and directors acknowledge their responsibilities for: - (a) ensuring that the charitable company keeps accounting records that comply with Sections 386 and 387 of the Companies Act 2006 and - (b) preparing financial statements which give a true and fair view of the state of affairs of the charitable company as at the end of each financial year and of its surplus or deficit for each financial year in accordance with the requirements of Sections 394 and 395 and which otherwise comply with the requirements of the Companies Act 2006 relating to financial statements, so far as applicable to the charitable company. ACCOUNTING POLICIES** ## **Accounting convention** The financial statements have been prepared under the historical cost convention, and in accordance with the Statement of Recommended Practice: Accounting and Reporting by Charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102). ## **Incoming resources** All incoming resources are included on the Statement of Financial Activities (SoFA) when: - the charity becomes entitled to the resources; - it is more likely than not that the trustees will receive the resources; - the monetary value can be measured with sufficient reliability. Grants and donations are only included in the SoFA when the general income recognition criteria are met. ## **Resources expended** Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all costs related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. ## **Fund accounting** Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. Restricted funds can only be used for particular restricted purposes within the objectives of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes. ## **Tangible fixed assets** Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life. ULTIMATE CONTROLLING PARTY** The trustees consider that the charity is jointly controlled by the trustees and that there is no single ultimate controlling party. ## **11. TAXATION** The company is exempt from UK Corporation tax as it is a charity for tax purposes in line with paragraph 1 of schedule 6 of the Finance Act 2010 and all of its income in the year was used for its intended charitable purposes.
