ANNUAL REPORT FROM THE BOARD OF TRUSTEES OF

ARYA SAMAJ (VEDIC MISSION) WEST MIDLANDS

FOR THE PERIOD FROM 1ST APRIL 2023 TO 31ST MARCH 2024

Last year’s AGM was held on Sunday, 10th September 2023. This was not an election year, so the trustees remain the same: Mr Ravinder Renukunta, Chairman; Dr Monaa Khurana, Secretary; Mr Vinod Gulati, Treasurer and Dr Umesh Kathuria, Mr Vijay Kumar; Mr Parimal Somani, Ms Bimla Saund are trustees. We could not fill the two vacancies of Trustees to make nine maximum required.

Overview of the Year 2023

The board have settled into their second year and has tried to continually work effectively and efficiently to improve the running of Arya Samaj; however, due to the aftermath of COVID, cost of living, loss of our elderly committed members, lack of the next generation’s involvement and other unforeseen circumstances, Arya Samaj has suffered or been set back in 2023 financially. We are seeing an increase in non-members attending our activities but less in funds.

Every Wednesday, we used to run Pran Yog, meditation, and laughter therapy, with Dr. Mona Khurana and Mr. Kishore Gupta ji leading the classes and providing light snacks afterwards. However, we had to pause these sessions due to a lack of attendance. But we are not giving up. We have plans to revive this service and hope to share some good news with you going forward.

We continued and maintained the services of Arya Samaj, which are as follows:

Sponsored Yajmans - Total sponsored Yajmans for Sunday Havans in 2023 (Jan- Dec) were 20. This figure has dropped a bit, but we see more attendance and fewer sponsors. We continue to try and make a difference.

Sanskar Performed by Acharya Ji - Acharya Ji performed – 40 Sanskars' last year (April 2023 - March 2024). (Weddings - 0, Sagai Havan - 2, Griha Pravesh - 2, Birthday Havan - 9, Family Happiness - 7, Cremation + Shanti Havan - 4, Death Anniversary Havan - 15 and 3 days Pravachan at Dugra Bhavan – 1- Total Income was £5404

Less Sanskars in 2023 can be due to Acharya ji being on holiday for 5 weeks, but income is roughly the same due to price increases this year, due to bills going up.

Attending Other Event: The trustees, Acharya ji and other members have always attended other community events. Still, we have increased the number in the last two years and are involved in much more networking.

Acharya ji is involved with interfaith, and one of the talks he gave this year was at the CGI office on Hindi Diwas, which was very authentic, relevant and catching.

Our efforts to publicize and promote GJP have been significant. We have visited numerous temples, events, and met with dignitaries, seizing every opportunity to speak about our event and Arya Samaj. These interactions have been instrumental in our ongoing efforts to build relationships.

Events:

From April 2023 to March 2024, we organised and held several significant events. These are as follows with a summary (complete reports can be found in Aryan Voice):

Arya Samaj Foundation Day – Sthapna Diwas – This was celebrated on Sunday, 9th April 2023. 148th year was celebrated with around 130 members, friends and dignitaries. We honoured our senior Vaidik guardians in the presence of their families with om shawl patka and a certificate of appreciation. Abhinandan was done for Shri Krishan Chopra in honour of his work for Arya Samaj worldwide. On this day, he became our patron.

Gaytri Maha Yajna - This important event of the year was celebrated on 4th June 2023. It was performed with the three sittings and with four Havan Kunds. Around 150 participants aged between one year old and eighty-eight years old.

Independence Day of Bharat - The 76th year of Independence was celebrated by ASWM on Sunday, 20th August 2023 with around 200 guests. After Havan, we had a shobha yatra with children and guests holding tri-colour (tiranga) flags, followed by flag hoisting by Chief Guest Mr Aman Bansal from the GCI office and cultural programme.

Ved Katha - It was from Monday 21st August to Saturday 26th August 2023 on Zoom, the topic was Panch Maha Yajna and 16 Sanskars; Acharya ji gave pravachan, and many people joined. From India Karnaal Haryana, one bhajanopdeshak, Acharya Munna Kumar Shastri, was invited on Zoom and he served daily singing beautiful and meaningful Vedic bhajans

Diwali and Nirvana Divas - We celebrated Diwali on 18th November 2023, attended by approximately 200 members and friends, including Mr Pramod Yadav from the CGI office and other community guests; the programme included Lakshmi Sooktam Havan, lighting of lamps and a cultural programme followed by raffle and dinner.

Children Special Day – This was set up last year for children to come and perform in front of family and friends to encourage, motivate and boost their confidence. This year, it was held on Sunday, 21st January 2024. We had around 25 children, with their parents, who participated in Havan and performances like dancing, singing, playing musical instruments, poetry, etc. We hope to continue this event and bring children and parents to Arya Samaj to learn and enjoy.

Republic Day of Bharat - We celebrated the 75th Republic Day of India on 28th January 2024 in the presence of over 180 people. Our special guest was Mr Richard Parker, the new West Midlands Mayor. Havan was performed, followed by flag hoisting, motivational speeches, and performances by children and adults showcasing their talents. Certificates of Participation in Children's Special Day and Republic Day - events were handed over to all performers.

' International Women s Day and Holi Festival - Arya Samaj (Vedic Mission) West Midlands (Birmingham) celebrated two important festivals together on Sunday, 24th March 2024. International Women's Day is a universal festival, and Holi is a social festival. Two of our respected female members performed the Priest role, which was an acknowledgement of women empowerment by Arya Samaj. We had musical performances and poetry by children and women, too.

Gyan Jyoti Parv (GJP): - This event, which falls into next year's report, was a significant milestone for us. The preparation for GJP began in 2023, with the goal of celebrating our founder Maharshi Dayanand Saraswati's 200th birthday in a grand way. It was a testament to our hard work and dedication, but the event was a resounding success. We learned a lot from this experience and are excited about the future opportunities to showcase the Arya Samaj name in the UK.

Conclusion:

As we contemplate the future of Arya Samaj, we are faced with a pressing need for action. There is a significant amount of work to be done, and we urgently require individuals to step forward and contribute their SEVA, be it a small or substantial amount of time.

While we deeply value the advice and ideas of our members, it is the volunteers who are the lifeblood of any charity. We are in dire need of your support, help, and guidance.

As we bid farewell to our founders, senior members, and friends, who are no longer with us, we are reminded that the future of Arya Samaj rests in the hands of the next generation. It is time for them to step forward and carry the torch.

In the volunteering sector, everything takes time, and last year, most of our time went to GJP. In the new year, we plan to start having strategy meetings, so if anyone wants to help with tasks, please get in touch with our office manager. If any young adults want to get involved, we welcome you with open arms.

With a plethora of new projects in mind, we are hopeful that the new board will be able to juggle these alongside our existing responsibilities. However, to ensure the sustainability of Arya Samaj, we must find ways to engage with our community and raise funds for the daily operations of our building.

We need to promote our Samaj on social media platforms more to spread our institution and message. This year, we have had a good result, with a booming increase in the number of guests from different organisations and communities who attended our Bhavan. This also encourages more people to join the membership of Arya Samaj. However, we have introduced WhatsApp, Facebook and YouTube social media as well, but still, we need to focus more on it.

We have a big problem with homeless and anti-social behaviour in front of Arya Samaj. We are aware and working with the councillor, public and authorities to find solutions, but Birmingham City Council resources could be higher. With the help of Cllr Rinkal Shergill and the public, we are starting a petition to get the camera on Rookery Road. We need to find funding for a fence in front of the building, but this will only be the same size as Farham Road.

On behalf of the Board of Trustees, I thank Acharya Ji for continuing to do all his duties regarding Havan, Satsang, performance Sanskars, looking after Bhavan, etc.

Lastly, but most importantly, on behalf of our respected Chairman and the Board of Trustees, I would like to thank all our members, friends and sponsors for their continued support and commitment to ASWM. With your support, we continue to do the valuable work started by our Founder Maharshi Dayanand Saraswati. Let us all work together and make our samaj progress for the future.

The trustees who are also directors of the charity for the purposes of the Companies Act 2006, present their report with the financial statements of the charity for the year ended 31 March 2024. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019).

OBJECTIVES AND ACTIVITIES

Significant activities

With the HS2 relocation package on the 30/08/2017 the sum of £650,000 was paid to the solicitor for the purchase of Trinity Methodist Church. Since then an additional £538,903 has been spent towards the new building and relocation. The figure of £1,188,903 is reflected in the freehold property balance.

STRUCTURE, GOVERNANCE AND MANAGEMENT Governing document

The charity is controlled by its governing document, a deed of trust, and constitutes a limited company, limited by guarantee, as defined by the Companies Act 2006.

Independent examiner's report to the trustees of Arya Samaj (Vedic Mission) West Midlands ('the Company') I report to the charity trustees on my examination of the accounts of the Company for the year ended 31 March 2024.

Responsibilities and basis of report

As the charity's trustees of the Company (and also its directors for the purposes of company law) you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 ('the 2006 Act').

Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity's accounts as carried out under Section 145 of the Charities Act 2011 ('the 2011 Act'). In carrying out my examination I have followed the Directions given by the Charity Commission under Section 145(5) (b) of the 2011 Act.

Independent examiner's statement

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe:

  1. accounting records were not kept in respect of the Company as required by Section 386 of the 2006 Act; or

  2. the accounts do not accord with those records; or

  3. the accounts do not comply with the accounting requirements of Section 396 of the 2006 Act other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination; or

  4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)).

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1. ACCOUNTING POLICIES

Basis of preparing the financial statements

The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Companies Act 2006. The financial statements have been prepared under the historical cost convention.

Income

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably.

Expenditure

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources.

Tangible fixed assets

Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.

Taxation

The charity is exempt from corporation tax on its charitable activities.

Fund accounting

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.

Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity's accounts as carried out under Section 145 of the Charities Act 2011 ('the 2011 Act'). In carrying out my examination I have followed the Directions given by the Charity Commission under Section 145(5) (b) of the 2011 Act.

Independent examiner's statement

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe:

  1. accounting records were not kept in respect of the Company as required by Section 386 of the 2006 Act; or

  2. the accounts do not accord with those records; or

  3. the accounts do not comply with the accounting requirements of Section 396 of the 2006 Act other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination; or

  4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)).

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
