## **ANNUAL REPORT FROM THE BOARD OF TRUSTEES OF** 

## **ARYA SAMAJ (VEDIC MISSION) WEST MIDLANDS** 

## **FOR THE PERIOD FROM 1ST APRIL 2022 TO 31ST MARCH 2023 PRESENTED BY Dr Monaa Khurana (SECRETARY).** 

Due to covid the AGM moved from July 2022 to November 2022 and half of the term year was run by Dr Narendra Kumar as a Chairman until the elections happened in November 2022. 

After going through the election process Mr Ravinder Renukunta has been selected as our chairman. Because among the list of candidates for the chairmanship roll only his application was valid. Hence, he has been selected as chairman unanimously. In the same election process the following people were elected as trustees Dr Monaa Khurana Secretary, Mr Vinod Gulati Treasurer, Dr Umesh Kathuria, Mr Vijay Kumar, Mr Parimal Somani, Ms Bimla Saund, Dr Narendra Kumar and Dr PD Gupta. In the following 4 to 5 weeks Dr Narendra Kumar and Dr PD Gupta were resigned as trustees which was approved in the board of trustees meeting. At present we have 2 vacancies available and look forward to filling the positions under the constitution guidelines. 

## **Overview of the Year** 

Under the new board we are working effectively and efficiently to improve the running of Arya Samaj. We continued and maintained the services of Arya Samaj which was always provided. The services are as follows: 

Every Wednesday we run Mindful meditation, Pran Yoga and laughter therapy. Dr Mona Khurana and Mr Kishore Gupta ji run these classes. We provide tea and snacks after the workshop. 

We offer Sanskrit class every Wednesday on Zoom and Acharya Umesh Yadav ji our learned priest has been teaching Sanskrit class including the teachings on Upnishad. 

Every Sunday Morning Amrik Virdi ji runs Yoga class with teachings on ayurveda and massage therapy. 

Every Sunday we do Havan and Satsang provided with Rishi Bhoj. 

We are providing the Matrimonial service. We are working on updating the service and website for this. 

Birmingham city council planning department has rejected our plan for the improvement of the tower. Under the new board we are in the process of finding a new way to fix this issue. 

We have rented Bharati Bhavan to a charitable music school from May 2022. The rent is £1200 / month. 



We continue to receive monthly standing orders by members, which we are eternally grateful for, but would like to increase the number of monthly donations for the smooth running of day-to-day Arya samaj’s activity. 

Zoom is still available to people for Sunday Satsang and Ved Katha who cannot come to Arya Samaj Bhavan, but we have stopped for a big event. 

Youth Volunteers’ Meeting we started in 2022, so members and friends could come and help with simple tasks during organisations activities. If they could offer to do ‘Seva’ even if it is once a week or month for 2 - 3 hours, it would be helpful. Even if members and friends could not commit to give time at present, we wanted them to attend so that we can hear their views. These meetings stopped due to lack of participating Volunteers but will start again as we are working on getting more volunteers to show case their skills and run the workshops and provide their help at the events. 

We would love to continue **food Collection for our local school** and in 2022 members donated money and we brought Nappies, reusable bottles, under garments, sanitary towels, toothbrushes, toothpaste, Calpol to give to the children. 

Our Arya Samaj is here to “HELP IN- YOUR HOUR OF NEED.’’ We want our members to know that they can come and talk to us about their problems. We will always try our best to help them. 

**Sponsored Yajmans** - Total sponsored Yajmans for Sunday Havans in the year 2022 (JanDec) were **25.** This is a great improvement, and we hope the figures will continue to rise. 

**Sanskar Performed by Acharya Ji -** Acharya Ji performed - 47 Sanskar’s in the last year (April 2022 - March 2023). (Weddings - 3, Haldi Havan - 1, Griha Pravesh - 8, Birthday Havan - 7, Family Happiness - 7, Cremation + Shanti Havan - 5, Death Anniversary Havan - 11 and General peace Havan - 5 Total Income was **£5459.** 

During the period from April 2022 to March 2023, we organised and held seven major events. These are as follows: 

**Independence Day of Bharat** - The 76th year of Independence was celebrated by ASWM on 21[st] August,2022, flag hoisting was done by Shri Anand Kumar Arya Ji from India and attended by more than 100 people. 

There was a launch of the book “Major (80%) Role of Arya Samaj in Freedom Struggle of Bharat”, written by Dr Narendra Kumar Ji and Dr Acharya Umesh Yadav Ji. 

The purpose of writing the book was to spread the awareness in the whole world along with the Indian government that about 80% of freedom fighter were belong to Arya Samaj movement. The book is available to buy at Arya Samaj Bhavan, it is printed in both the languages Hindi and English. 

**Ved Katha** - It was from Sunday 14th August to Saturday 20th August 2022 on Zoom online and the topic was Rigvedadi Bhashya Bhoomika. Acharya ji gave pravachan and many people join it. 

**Gaytri Maha Yajna** - This important event of the year was celebrated on 25[th] September 2022. It was performed with the three sittings and with four Havan Kunds. There were 



around 100 participants to attend. Donations amounted over to £2000.00. The president of Arya Samaj Calcutta Mr Ram ji Arya attended the event. 

**Diwali and Nirvana Divas** - We celebrated Diwali on 29[th] October 2022 attended by approximately 150 people, the programme included Sandhya Havan, lighting of lamps and entertainment. 

**Children Special Day** – This was the new event under the new board with the motto, "CHILDREN’S SPECIAL DAY" it was organised on 22nd January 2023. More than 20 children along with their parents actively participated in the programme. All the children enthusiastically performed the Havan Satsang and performances. 

The event started with the Shobha Yatra. Children participated in dancing, singing, instrument playing and reciting the poems. Youngest participant was 1 year old and oldest was 16 years old. 

This event encouraged and motivated the children and boost their confidence. 

**Republic Day of Bharat** - We celebrated the 74th Republic Day of India on 29th January 2023 in the presence of over 150 people and our Chief Guest of Honour Dr Shashank Vikram, (CGI) did the flag hoisting followed by motivational speeches. This year young people from our community participated by playing violins, singing patriotic songs, and dancing as well as reciting poetry and making speeches. Hot meals with deserts were served at all these events. Certificate of Participations of Children’s special day and Republic Day events were handed over to all performers. 

**’ International Women s Day and Holi Festival -** Arya Samaj (Vedic Mission) West Midlands (Birmingham) celebrated two very important festivals together on 12th March 2023 Sunday in its building with an encouragement at the best level. International Women Day, a universal festival and Holi a social festival. We had the musical performances and live band. 

We celebrated Holi by sprinkling flower petals and rubbing dry colours. 

The Priest role was performed by one of our respected female members, has an acknowledgement of women empowerment by Arya Samaj. 

The glory of Vedic women in the vision of Maha Rishi Dayanand is that women are a powerful entity capable of nurturing and nourishing others. 

Under the new board of trustees, we are busy in fulfilling our ongoing duties and undertaking new projects and looking for ways to interact with our community and raise money for the day to day running of our building. 

We have had to raise our Fees for services provided by Arya Samaj, due to bills going up. 

We have introduced online payment and now have a card machine where you can make donation with your card in person or over the phone.

We are continuously encouraging people to hire our halls for their functions and they have the facility to park their cars in the Rookery Road School. 

We are planning to start Cultural Sunday for children, where they can showcase their skills and talent. 

They will perform on the stage which will empower them and boost their confidence and self-esteem. 

We will teach them Mindful Mediation and Pran Yoga where they learn to connect with themselves to bring harmony with in them. 

We are continuously promoting our events on social media platform to spread our name and to connect with more people with Arya Samaj. And this results in a successful increase in number of the guest who attended our events from different organisations and community. This also encourages more people to join the membership of Arya Samaj.

I would also like to thank Raji Chauhan (Office Manager) for her role and commitment.

## **Report of the Trustees for the Year Ended 31 March 2023** 

The trustees who are also directors of the charity for the purposes of the Companies Act 2006, present their report with the financial statements of the charity for the year ended 31 March 2023. The trustees have adopted the provisions of Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019). 

## **OBJECTIVES AND ACTIVITIES** 

## **Significant activities** 

With the HS2 relocation package on the 30/08/2017 the sum of £650,000 was paid to the solicitor for the purchase of Trinity Methodist Church. Since then an additional £508,635has been spent towards the new building and relocation. The figure of £1,158,635  is reflected in the freehold property balance. 

The trustees can confirm that no further funds will be received in relation to the HS2 relocation package and that all funds received have now been spent on the relocation of the charity and as such the trustees can confirm that the HS2 relocation project is now completed.

## **Independent examiner's report to the trustees of Arya Samaj (Vedic Mission) West Midlands ('the Company')** 

I report to the charity trustees on my examination of the accounts of the Company for the year ended 31 March 2023. 

## **Responsibilities and basis of report** 

As the charity's trustees of the Company (and also its directors for the purposes of company law) you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 ('the 2006 Act'). 

Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity's accounts as carried out under Section 145 of the Charities Act 2011 ('the 2011 Act'). In carrying out my examination I have followed the Directions given by the Charity Commission under Section 145(5) (b) of the 2011 Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe: 

1. accounting records were not kept in respect of the Company as required by Section 386 of the 2006 Act; or 2. the accounts do not accord with those records; or 

3. the accounts do not comply with the accounting requirements of Section 396 of the 2006 Act other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination; or 

4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)). 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

The members have not required the company to obtain an audit of its financial statements for the year ended 31 March 2023 in accordance with Section 476 of the Companies Act 2006. 

The trustees acknowledge their responsibilities for 

(a) ensuring that the charitable company keeps accounting records that comply with Sections 386 and 387 of the Companies Act 2006 and 

(b) preparing financial statements which give a true and fair view of the state of affairs of the charitable company as at the end of each financial year and of its surplus or deficit for each financial year in accordance with the requirements of Sections 394 and 395 and which otherwise comply with the requirements of the Companies Act 2006 relating to financial statements, so far as applicable to the charitable company.

## **1. ACCOUNTING POLICIES** 

## **Basis of preparing the financial statements** 

The financial statements of the charitable company, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Companies Act 2006. The financial statements have been prepared under the historical cost convention. 

## **Income** 

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably. 

## **Expenditure** 

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. 

## **Tangible fixed assets** 

Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life. 

## **Taxation** 

The charity is exempt from corporation tax on its charitable activities. 

## **Fund accounting** 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. 

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes. 

Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.
