Fledglings Pre-school Annual General Meeting Wednesday 8[th] November 2023 – 4.00pm

Minutes of last meeting

The committee accepted the minutes of the last AGM as a true reflection of the meeting.

Treasurer’s report and acceptance of accounts

One of the main purposes of the AGM is to submit the accounts for the previous year and have them accepted by the committee. We have received the accounts back from the accountant and she has made sure they are all correct.

The accounts show that last year (between September 2022 and the end of August 2023) we had an income of £103,204.39 and expenditure of £122,947.34. This shows that we had a loss of £19,742.95. Whilst this seems terrible, it should be noted that this does not include some of the funding for the academic year (£28,468.42, which was paid in August 2022 rather than September 2022). Realistically, we therefore had a profit for the academic year of £7,945.05. This is a great position for us to be in, especially as many settings are struggling at the moment.

As a ‘not for profit’ charity, we like to invest as much back into the charity as possible. However, we do hold a savings accounts. The money in this allows us to hold approximately 3 months running costs, or redundancy money for all staff. This account now has enough funds to cover these costs, so we do not need to add to it this year, which means we do not have to make a profit – just break-even.

Fledglings do not currently charge any extras (other than snack donations, which are voluntary). We would like to keep to this as we understand how our families have been affected by the cost of living crisis. We have enough money in our savings account to allow us to ride this out for the next couple of years, but we do now need to have a look at finances and fundraising.

Our current figures as of Wednesday 1[st] November are:

The funds in the main account have to last us until January 2024 when we will receive our next lot of funding for the Spring term. This is easily achieved which is great as normally we need to ‘borrow’ from the savings to get us through the first term.

The accounts were accepted by the committee and will now be published to the Charities Commission and made public.

Manager/Chair report

We are aware that some nursery / preschools have closed in the last year. I can confirm that Fledglings are doing okay at the moment, and we continue to monitor the funding situation. We are full for the rest of this academic year and have a healthy waiting list for September 2024.

This year we have been lucky to receive a free year of ‘My Happy Mind’. This was heavily subsidised last year and has been given to us for free this year. This was made in collaboration with the NHS and is used to teach children (and staff and parents) about our mental health and find ways to help us when we are feeling overwhelmed or have a low mood. This helps support the Personal, Social and Emotional part of our curriculum. The app is also available to parents.

Last year we were lucky to go to Longdown Dairy Farm. Unfortunately, it did rain, but it was still good to get back to the farm. This was our first time back to the farm since Covid. We were unable to go the previous year, due to a heat wave. We are confident that we will go back to the farm this year (usually in July). We are also looking at other trips which may be achievable, dependent on costs. We usually heavily subsidise the farm trip. Last year the coach cost £615 and the farm entry was approximately £300. We only ask parents to contribute £10 each, so had to pay a lot of money ourselves. Committee members are always invited along to the farm and also to lots of other events throughout the year.

We have had a few changes to staff over the last year. 1 member of staff left in February 2023 and unfortunately, we said goodbye to Natasha at half term. We wish Tasha well and hope to see her soon, as she has agreed to stay on as bank staff, so will cover illnesses and training days. We advertised for a new member of staff and held interviews in October. However, we did not find a suitable candidate so have readvertised the position. Whilst we would like to hire someone as soon as possible, please be assured that we have more than enough staff and usually run over ratio. It is therefore not vital for us to find someone straight away and we are taking our time to find someone who will fit in well with our small team. The new member so staff will be a key person / practitioner and will not take over the Senco role which Tasha held. Louise will be the Senco now. She held this position previously and is now doing her Senco qualification to ensure she is up to date with everything.

Whilst we continue to focus on having fully qualified staff, the training available over the last academic year has not been very enticing. All staff have received some training this year and a list has been prepared to show which have been attended by

each staff member. All staff are up to date in all the statutory qualifications that they must hold, including Safeguarding, Paediatric First Aid, Prevent and Food and Hygiene, amongst others. We continue to review training needs and book any that we feel would benefit the children in our care.

You will notice that Jacqui is currently in her second year of completing her Level 5 qualification. Louise is currently studying for her NPQEYL (National Professional Qualification in Early Years Leadership) and is starting her Level 3 Special Educational Needs Coordinator course. Kelly has also signed up for the Early Years Professional Development Program (EYPDP) course which starts in January 2024. This highlights how important we feel training is, and we continue to do any training we feel will support the setting.

Policy Review

On separate sheet of paper. These are available for everyone to read if they wish and will be updated on Tapestry, allowing parents and committee to access at any time. Any current committee members who cannot access Tapestry need to contact Louise to have their passwords reset.

Election of new committee

We welcome all parents to join the committee and would love if it reflected the cohort of our setting (over 50% non-English). This has been difficult to achieve for a variety of reasons, but we would love to support anyone interested in joining and having a say over the running of the charity. You do not need to have any special skills – just a voice.

An added benefit of joining the committee is that we can add your name to our online learning directory, giving access to a variety of online courses for Free – which could be advantageous for anyone looking to improve skills or show up to date courses on their CV.
