Parishioners’ Meeting held on Sunday, 22[nd] November 2020 by Zoom at 10.00am .
Including the presentation of Annual Accounts
Revd Phillips thanked those joining the Zoom meeting explaining that everyone was welcome to attend the meeting but those not on the Electoral Roll would not be eligible to vote. The 2019 meeting should have been held early in 2020 but due to the Coronavirus restrictions this had been postponed but Revd Phillips explained that it had to be held before the end of November.
Presentation of Annual Accounts:
Michael Rablen presented the financial report for the year ended 31[st] December 2019:
Income from giving was down by 9%
Income from lettings was up by 39%
Overall the General Fund at the end of the year had a surplus of £4,624 even with spending nearly £6,000 on long term replacements in the buildings.
Weekly income (from Lettings, Gift Aid and Donations etc) was £1,194, with weekly expenditure £1,105 (not including Tithes).
Nearly £6,000 was spent on exceptional items i.e. door and window replacements, plastering etc.
As a Church we tithed £5142 to charities and overseas missions.
Non-tithe support given to the Njoya family was £2,511.
Assets at 31[st] December 2019: Church General Fund £48,878.
The examined accounts have been accepted by the Accountants and then filed with the Charities Commission.
Michael Rablen thanked everyone who is giving regularly at St Aidans. We are blessed to be part of a Church that is faithful.

Revd. Phillips opened the meeting with a prayer.
The minutes of the last meeting were signed off as an accurate record.

Church Wardens:
Revd. Phillips explained that the purpose of this meeting is to appoint Church Wardens and the vital role they undertake. St Aidans has not had a Church Warden since 2017 and no written applications have been received this year so again we are not able to appoint.
Revd. Phillips expressed how incredibly grateful he is to the people who have helped to take on the various tasks in the Church. He especially mentioned Yvonne Kavanagh who has taken on a significant number of duties that would normally have been carried out by a Church Warden. He also expressed gratitude to Steve Pickering and Steve Billington who have also been a great help.
A Premises Committee is to be formed including Steve Pickering, Steve Billington and
Andrew Glover, who will maintain the upkeep of the buildings.

f) Presentation of the Electoral Roll:
The electoral roll has been published as part of the annual report. There are 66 people on the roll. Thank you to Yvonne Kavanagh for updating this. The Electoral Roll was unanimously accepted.
g) Election of Synod Representatives:
Revd. Phillips explained the role of Synod. The Hull Deanery has two representatives from each Church and Dawn Rablen and David Milns were elected in 2017 for three years. Both are willing to continue representing St Aidans for another three years. Revd. Phillips expressed his thanks to them both.

h) Election of PCC Members:
There are four vacancies on the PCC. The standard term of office is three years. This year it is proposed to re-appoint Steve Pickering, June Spencer and Michael Hill who have all agreed to stand for re-election for another three years.
Tony Stead has served on the PCC for the last year and has now stood down. Thank you to Tony for his services. Last year Esther Billington was co-opted on to the PCC and is now willing to stand for election in the place of Tony Stead.

Revd. Phillips thanked the PCC for their continued support – they work amazingly well as a team.
Steve Pickering mentioned that a member of the congregation had suggested having a photograph of the PCC members displayed in the Church. Revd. Phillips agreed this would be a good idea.

Malcolm Marsden has now retired and it is proposed we continue with Fawley, Judge and Easton as our Independent Examiners.

m) Any Other Business:
Joanne Milns wished to thank Revd. Phillips for being the Vicar of St Aidans. He replied that it is an amazing privilege to be the Vicar and is excited about what God
is doing in the Church. Members should keep praying and stepping out to share the Gospel.
Catherine and David Huntridge thanked everyone for the welcome they have received since joining St Aidans. It has been a privilege. Catherine also expressed a big thank you to Alison Phillips for all her support to Rich.

Vicar and Parish Report 2020
Well 2020 was a year none of us expected and that we will never forget! As the year began nobody had ever heard of Covid-19, but by 23 March, we were all very aware of it, as we entered the first national lockdown and everything came to a sudden stop, including our church services and activities.
One of the great joys of being part of St Aidan’s is gathering face-to-face to worship Jesus and to enjoy fellowship with one another. The absence of this left a huge void in all of our lives and as a result, we had to find new ways of connecting to encourage one another spiritually and to support one another. Therefore, from March to mid-July, and again during November, we held online services via Facebook and Zoom, weekly prayer meetings on Zoom and we sought to develop a system of pastoral care where people in groups of 5 or 6 kept in touch with each other. Of course, it was a joy when on the 19th July we began worshipping in-person again, albeit with social distancing, masks and no singing, and it was wonderful to see so many of you returning to church - the only time we had to close again was during November’s lockdown. Thank you to everyone who worked so hard to make re-opening possible. Therefore, 2020 was certainly different and far from easy, especially so for those members of our congregation who were house bound and/or forced to shield.
However, the promise of scripture is ‘...that in all things God works for the good of those who love him, who have been called according to his purpose.’ [Romans 8:28] Therefore, despite the challenges, there were some clear signs that God was at work, using this time to draw us closer to him and to prepare us for what is to come, and to bring several key priorities into sharper focus:

Reaching out to 20s-40s - thanks to a grant from York Diocese, from 1 April, we were able to employ Jo Milns one day a week to build on the foundations of Messy Church and to begin to develop a New Worshipping Community aimed at 20s-40s and their families. Despite not being able to meet with people in-person Jo, wonderfully assisted by Esther, has done an excellent job of keeping in touch with families, including delivering monthly Messy Church craft bags and gathering families via Zoom meetings. It’s going to be exciting to see where things lead in 2021

Evangelism - From September a group of 12 people met weekly to study a book called the ‘Call of Jesus’ aimed at equipping people with the biblical understanding and practical tools to share our faith. It has been a fruitful time of growing in faith and discipleship and we now have an expanding team of people desiring to share their faith and pray on the streets. In addition, whenever the restrictions permitted we continued, to get out on the streets to pray for people and build relationships.

Prayer - prayer is always an essential priority, none more so that during difficult times, and since being forced to move our prayer meetings online the wonderful upside has been that more people have gathered to pray regularly than ever before and there’s no reason not to continue meeting in this way, as well as in-person when restrictions permit.

New people - it was wonderful to have a number of new people join us both online and as we reopened for in-person services.

Serving Preston Road Estate - as we enter 2021, as a PCC we are considering in what ways we may able to further serve the people in our parish.
Therefore, as I come to the end of my reflections on 2020, I want to finish by saying thank you to every member of St Aidan’s for your continued faithfulness to Jesus and one another. Thank you too for your continued generosity in giving, which has meant - despite the financial challenges of Covid - by God’s grace our finances have remained in a healthy place. It continues to be an absolute blessing and privilege to serve you as Vicar (it will be 10 years in July since I arrived as Curate – yikes!) I am excited by what God has in store for us as we seek to grow in our love for God, and one another, and to share the Gospel of Grace with our community, to see lives transformed.

Fabric and Contents Report 2020
This report details any maintenance and repairs carried out to the church, café, hall and grounds.

Worship Report 2020
Worship has continued in the heart of the Body of Christ in St Aidan’s despite lockdown conditions. The Lord seeks those who worship him in spirit and in truth and this is what, I believe, He has seen in this last year as we have worshipped silently with masks on, and as we have joined in worship online on Facebook feeds. We have drawn strength too from just seeing one another from afar, waving and saying some encouraging words. We belong to one another in Christ.
Lockdown lifted a fraction just before Christmas to allow Barbara Osbourne and I the privilege of joining Jonathan and Anne Richards, together with Julian Rice of the Freedom Centre, for a recording of a “Carols by Candlelight” service. It was wonderful to be able to sing joyful praises at full lung strength!
Looking forward to being able to join with the Worship Team again for live worship soon??!

New Worshipping Community 2020
The story so far...
In April 2020 I was employed for one day a week to set up a New Worshipping Community. As we are all aware this coincided with the first lock down! So, I messaged the families I have as friends on Facebook.
With the inspiration of Esther Billington, we set up a Messy Church group on Facebook, and now have 50 members. On the page Esther shares a story, once a week, as well as some craft ideas. Every month we deliver a craft bag to 20 families. This has meant that we have been able to keep in contact and share the good news of Jesus, through these very unusual times. I have also had some very good conversations, sharing my faith with them, via messages. I am very encouraged that we have managed to keep in contact, letting them know how important they are to us and that we are there for them all.

We did our first online Zoom service for Christingle, in December, and have done a service every month since. Although this has been a very challenging year, we now have a team who are ready to serve, whatever our new worshipping community looks like.
My hope is that our worshipping community will be a place where we share our lives, our hopes and our dreams but most of all our faith. Shaped by those who come because they are hungry for life, we will aim to feed their souls and bodies with good food, love, a listening ear, and the hope found in Jesus. I am confident that God has a plan for a New Worshipping Community in our parish. Watch this space!

Deanery Synod Report 2020
Sadly, many plans developed for 2020 failed to materialise due to Covid-19. The first Zoom Synod meeting held had encouraging updates from Rev. Ben Norton in Kingswood and Rev. Trisha Wick in Longhill.
The second meeting had an interesting update on what Bishop Alison has been developing since 2015, namely, “The Mustard Seed Programme”, which supports mission in “places where life is tough”.
In our area of Hull, the first stage of this, “Stepping Up,” is being developed by Heather Black. It provides an opportunity for lay people to come together once a week from various parishes to grow together as disciples of Jesus for a year. They learn to share their faith and explore how to develop mission in their community, eventually pioneering a new form of mission and worship. We were asked if we knew anyone in our parish who would be interested in joining a “Stepping up” group.

A further stage is forming a Community Hub of “welcoming, hospitality and support, either by developing an existing activity e.g. foodbank or in developing something new”.

Safeguarding Report 2020
The Church of England affirms the ‘Whole Church’ approach to safeguarding. This approach encompasses a commitment to consistent policy and practice across all Church bodies, Church Officers and that everyone associated with the Church, who meets children, young people and adults, has a role to play
The PCC has complied with section 5 of the Safeguarding and Clergy Discipline Measure 2016 (duty to have regard to the House of Bishops’ guidance relating to the safeguarding of children and vulnerable adults).
All members of the PCC, as trustees, have to participate in the training required by the Guidance, to complete a Confidential Declaration Form and have a DBS check.

Messy Church – ONLINE 2020
It has been an exciting, if very unusual, year for Messy Church! A Facebook Group was started at the end of March 2020 to help maintain relationships and to continue bringing Messy Church elements to our families.
Starting with Holy Week 2020, we began to share video clips, stories, songs, craft ideas, thoughts and prayers. We have continued to share these elements every week since. In May 2020 we began giving out monthly “Messy Craft Bags” to Messy Church families in our local area and encouraged them to post pictures of what they had made on the Facebook group. We were encouraged by the response!

By July, with no sign of being able to meet in person, we began inviting our families to join us in a monthly “Zoom” meeting online. At first, there were only a couple of families engaging in this way, but numbers have slowly increased.
Developing relationships and sharing the Good News of Jesus remains our priority. We now have a team of volunteers who deliver the monthly “Messy Bags” and pray for our families. We continue to look for ways to increase engagement, provoke thought and nurture faith in loving and fun-filled ways.
Praise God that we have been able to do Messy Church on line for over a year. Please pray that Messy Church will continue to develop and make the transition back to face to face soon.
Pray also that relationships will deepen and grow and that many people – adults and children – will come to know and trust in Jesus.

Schools Report - Alderman Cogan's C.E. Primary Academy 2020
Due to the impact of the pandemic, 2020 was an especially challenging and demanding year for the staff, children and parents at Alderman Cogan. In March the school had to close its doors as the first lockdown was announced, which meant that parents had to help educate their children at home, as staff sought to provide all the resources (mainly online) that the parents and children needed to continue their education. In school, an enormous amount of work had to go into preparing a comprehensive Covid risk assessment to ensure that the school was able to, eventually, re-open to the children of NHS staff/key workers and for those children considered vulnerable. When children did return they were placed in bubbles to minimise the risk of infection. It was not until later in the year that all pupils were able to return, albeit with further disruption due to November’s second lockdown.

As you can imagine, all of this had a significant disruption and impact on the children’s learning and well-being, as well as the wellbeing of staff, but the school – led by Head, Amanda Devaney – did an excellent job of supporting those most affected.
St Aidan's continued to have a presence on the governing body with Dave Milns and I as members, and indeed I remained in my role as Chair of Governors, seeking to work closely with Amanda and the governing body. However, after three years in the role of Chair, I will be stepping down in January 2021. There also remains several vacancies for the important role of Foundation Governor – please be praying that we are able to fulfil the vacancies with the right candidates.
Due to Covid, I was unable to go into school to meet staff/pupils or to deliver Collective Worship, but I was able to deliver Collective Worship via video on a few occasions.
Finally, in October, Amanda Devaney, announced that she would be leaving Alderman Cogan’s in December after 17 years at the school, including the last two years as Head. Amanda leaves to take up a new role as Principal at St James and Executive Principal at Newland St John's. I am sure you would like to join me in thanking Amanda for all her hard work, passion and dedication and for the significant contribution she made to the life and success of the school, and also in wishing Amanda every blessing and success as she embarks on her exciting new role.

Treasurer Report 2020
Phew! What a year it was! A year like no other. Incomings and outgoings moved beyond any limits that could have been set.
Any treasurer would be sad to end the year with the General Fund in deficit of £1900 -- which is what happened. But, with giving down £4000 (11%), letting income down £6000 (32%), and some expenses up like the freewill offer up £3000 (10%) and running costs up £1500 (35%), and with no plans changed or cancelled during the year, it is an amazing result!
When you consider the many churches in the UK that have been obliged to cancel projects and make staff redundant, we are so blessed!
Partly it is because in 2020, compared to the year before, we spent much less on long-term renewals and refurbishments of/in the building. (£10000 in 2019, £3600 in 2020)
Many thanks to the finance team – always reliable, week in, week out. And much gratitude to all St Aidans faithful givers, who have kept on giving despite

the effects of the pandemic and lockdowns on personal finances. But most of all, glory to God!

To the members of St Aidan’s Southcoates, PCC.
I report on the financial statements of St Aidan’s Church, Southcoates for the year ended 31st December 2020, which are set out on pages 3 to 7.
Respective responsibilities of committee members and independent examiner.
As the committee members you are responsible for the preparation of the financial statement; you consider that an audit is not required for this year under Section 144(2) of the Charities Act 2011(the Act) and that an independent examination is needed.
It is my responsibility to: -
- Examine the accounts under section 145 of the Act;
To follow such procedures laid down in the General Directions given by the Charity Commissioners under section 145(5)(b) of the Act and;
To state whether particular matters have come to my attention.
Basis of independent examiner’s report:
My examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by St Aidan’s Church Committee and a comparison of the financial statements with those records. It also includes consideration of any unusual items or disclosures in the financial statements and seeking explanations from you as trustees concerning such matters. The procedures do not provide all of the evidence that would be required in an audit, consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.
Independent examiner’s statement:
In connection with my examination, no matter has come to my attention: -
-
(1) which gives me reasonable cause to believe that in any material respect, the requirements:
-
to keep accounting records in accordance with section 130 of the Act; and
-
to prepare accounts which accord with the accounting records and to comply with the accounting requirements of the 2011 Act have been met; or
-
(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

1. ACCOUNTING POLICIES
1.1 Basis of preparation
The financial statements of the PCC have been prepared in accordance with the Church Accounting Regulations 2006 using the Receipts and Payments Basis.
1.2 Grants and donations
A donation or grant to the charity is recognised as incoming funds when all the following conditions have been met:
-
(a) The charity is legally entitled to receipt;
-
(b) There is reasonable assurance of receipt; and
-
(c) Its monetary value can be measured with sufficient reliability.
1.3 Fund accounting
Incoming resources that may be applied for the charity’s general purposes are treated as “unrestricted” incoming resources and are credited to the “unrestricted funds”. Funding for purposes designated for a specific purpose by the Trustees is credited to “designated funds”. Where a donation or grant is required to be used for a specific purpose, the amount concerned is treated as a “restricted” incoming resource and is credited to the appropriate “restricted fund”.
- 1.4 The charity is registered in the UK and has the benefit of exemption from UK tax liability provided any surplus made by the charity is used for charitable purposes.

Notes To Financial Statements For The Year Ended 31st December 2020
1. ACCOUNTING POLICIES
1.1 Basis of preparation
The financial statements of the PCC have been prepared in accordance with the Church Accounting Regulations 2006 using the Receipts and Payments Basis.
1.2 Grants and donations
A donation or grant to the charity is recognised as incoming funds when all the following conditions have been met:

(a) The charity is legally entitled to receipt;

(b) There is reasonable assurance of receipt; and
-
(c) Its monetary value can be measured with sufficient reliability.
1.3 Fund accounting
Incoming resources that may be applied for the charity’s general purposes are treated as “unrestricted” incoming resources and are credited to the “unrestricted funds”. Funding for purposes designated for a specific purpose by the Trustees is credited to “designated funds”. Where a donation or grant is required to be used for a specific purpose, the amount concerned is treated as a “restricted” incoming resource and is credited to the appropriate “restricted fund”.
- 1.4 The charity is registered in the UK and has the benefit of exemption from UK tax liability provided any surplus made by the charity is used for charitable purposes.
