The charity was created in November 2013. Its aim is outlined below in the constitution. The board of Trustees is a selection of the members who are also regular users of the club. The Trustees also have professional skills which can be utilised to maximise the efficiency and professionalism of the club.
In September 2019 three trustees resigned due to other commitments. Rachel Crouch, Alison and Paul Blundell are warmly thanked for all their support over the past year. Rachel Crouch in particular has been a long and staunch supporter of Pirate Fitness since it’s foundation as a C.I.O. which is greatly appreciated. Graham Agutter and Peter Bradley have been appointed as trustees from September 2020.
Also in September 2020, Peter Long resigned as General Manager to pursue a new career as an electrician and Pirate Fitness wishes him every success with this new venture. Phoebe Wood applied for the post, was interviewed and subsequently offered the position. Phoebe took over the role in late September and we welcome her to the team.
During the latter half of this seventh year as a C.I.O Pirate Fitness encompassed a few challenges due to the unforeseen Covid-19 Virus and the mandatory closure of our facilities for four months. Whilst staff of Pirate Fitness were on furlough the hiatus in service delivery was used as an opportunity to review and consider ways in which the facilities could be improved further and in these new pandemic times to be extra clean and safe for all users of the facilities. In addition, that Pirate Fitness provided relevant services beneficial and pertinent to the long term health and wellbeing of our local community especially with fighting the physical effects of having the virus.
With the loss of a third of our gym membership due to the consequences of the pandemic and the closure of the facilities Pirate Fitness took advantage of the government grant to help cover costs during the closure and a government backed loan to support finances while membership is rebuilt. With lock down over, members, new and old, are continuing to re-join.
The formal structure created by the Trustees to run the club to ensure good health and safety procedures and to improve the level of hygiene within the premises has been invaluable within the changing Covid-19 environment. Additional processes too have been utilized over the past year to ensure that all equipment is functioning correctly and is regularly maintained to ensure good use and safety. The programme to upgrade both the club premises and the equipment has continued.

The promotion of community participation in healthy recreation, for the benefit of the residents of Witney and the surrounding area, by the provision and maintenance of facilities for sports, exercise and fitness training.
Our Charitable Objectives:

To provide exercise and fitness training with its health and social benefits to the inhabitants of Witney and surrounding areas.

To offer various services to help members meet their fitness, health and wellness goals.

Summary:
The long term aims for Pirate Fitness remain unchanged and these are to not only ensure that the equipment is accessible and user friendly, but that the facilities are affordable and appealing for all partakers whether they are young, old or simply a little mature and to promote personal goals ranging from a desire to improve health, maintain fitness or to achieve specific personal fitness or sports targets. All demographic groups too where possible are catered for from residents, the disciplined gym users or casual participants. Our changing times and the prolonged constraints of living with a long term virus also leads us to more than ever emphasise the importance of mental wellbeing, and being as fit and healthy as possible which Pirate Fitness continues to promote and support within our community together with a safe, secure environment.
This has been achieved in the following ways:

A Covid-19 secure environment with

a risk assessment in place.

Regular updates given verbally, by email and via social media as to the steps taken by Pirate Fitness and expectations of all within the environment.

Social distancing maintained with the monitoring of numbers using the facilities, with repositioning of equipment and extensive signage deployed throughout the areas of the gym. Participant positions are marked in the studio to reduce contact. Entry and exit from the building is a clearly indicated one way system. Tables and chairs for gathering around have either been removed or spaced out safely.

PPE is used with staff wearing face coverings when not teaching classes. Gym users are also encouraged to wear masks when not exercising. Around the reception area is a large plastic screen.

Hygiene is maintained with regular cleaning of the equipment and the environment by staff and members. Promotion of sanitisers and regular hand washing is visible together with signage and gentle verbal prompts if necessary.

oTemperature checks on all on entry to the premises. -
The closure of the gym during lock down facilitated external volunteers to undertake large maintenance jobs while the building was empty.

Extensive redecoration in the gym and studio to provide an inviting and pleasant space in which to exercise.

Continuing to use fund raising donations from our members to invest in additional equipment, namely free weights, weight stacks, benches and bars and the acquisition of top of the range Spin bikes for this very popular studio class

Continuing to offer weight-loss and fitness improvement programmes.

Making the Studio available to local groups (such as NHS) and individuals to hire at minimal rates to promote health and wellbeing in the community.

Continuing to promote a dedicated ‘Teen Gym’ period with supervised sessions for 13-17 year olds with the objective of improving teenagers’ health and reducing childhood obesity.

Maintaining an exercise class timetable which is changed quarterly, offering new and varied sessions suitable for all levels and abilities.

Fixed membership prices with no increase, despite increases in overheads, to maintain accessibility and affordability for all. Members also are not under contract for any length of time to allow flexibility.

A local business programme aimed at contacting companies to offer special rates to promote health and wellbeing in the workplace.

A new phone based access system which while substantially more financially economical, provides far greater benefits to the members. A phone or key fob QR code is used to access the facilities instead of a card. The system is able to monitor numbers within the building so social distancing can be safely adhered to and members can log in to see and avoid busy periods. Class bookings are also undertaken by the same phone app giving participants greater control over their intended activities.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended

Responsibilities and basis As the charity's trustees, you are responsible for the preparation of the accounts in accordance with the of report requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner's The charity’s gross income exceeded £250,000 and I am qualified to undertake the examination by being a statement qualified member of the Chartered Association of Certified Accountants.
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination (other than that disclosed below *) which gives me cause to believe that in, any material respect:

the accounting records were not kept in accordance with section 130 of the Charities Act; or

the accounts did not accord with the accounting records; or

the accounts did not comply with the applicable requirements concerning the form and content of

accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.

Note 2 Accounting policies
2.2 INCOME
This standard list of accounting policies has been applied by the charity except for those ticked "No" or "N/a". Where a different or additional policy has been adopted then this is detailed in the box below.
| Recognition of income Income from interest, royalties and dividends This is included in the accounts when receipt is probable and the amount receivable can be measured reliably. Income from membership subscriptions Membership subscriptions received in the nature of a gift are recognised in Donations and Legacies. Membership subscriptions which gives a member the right to buy services or other benefits are recognised as income earned from the provision of goods and services as income from charitable activities. The cost of any stock of goods donated for distribution to beneficiaries is deemed to be the fair value of those gifts at the time of their receipt and they are recognised on receipt. In the reporting period in which the stocks are distributed, they are recognised as an expense at the carrying amount of the stocks at distribution. Donated services and facilities Donated services and facilities are included in the SOFA when received at the value of the gift to the charity provided the value of the gift can be measured reliably. Donated goods for resale are measured at fair value on initial recognition, which is the expected proceeds from sale less the expected costs of sale, and recognised in 'Income from other trading activities' with the corresponding stock recognised in the balance sheet. On its sale the value of stock is charged against 'Income from other trading activities' and the proceeds from sale are also recognised as 'Income from other trading activities'. Grants and donations are only included in the SoFA when the general income recognition criteria are met (5.10 to 5.12 FRS102 SORP). This is only included in the SoFA once the charity has provided the related goods or services or met the performance related conditions. Donated goods are measured at fair value (the amount for which the asset could be exchanged) unless impractical to do so. In the case of performance related grants, income must only be recognised to the extent that the charity has provided the specified goods or services as entitlement to the grant only occurs when the performance related conditions are met (5.16 FRS 102 SORP). Legacies Legacies are included in the SOFA when receipt is probable, that is, when there has been grant of probate, the executors have established that there are sufficient assets in the estate and any conditions attached to the legacy are either within the control of the charity or have been met. Government grants The charity has received government grants in the reporting period Tax reclaims on donations and gifts Gift Aid receivable is included in income when there is a valid declaration from the donor. Any Gift Aid amount recovered on a donation is considered to be part of that gift and is treated as an addition to the same fund as the initial donation unless the donor or the terms of the appeal have specified otherwise. These are included in the Statement of Financial Activities (SoFA) when: the charity becomes entitled to the resources; · it is more likely than not that the trustees will receive the resources; and the monetary value can be measured with sufficient reliability. This year Last year The charity has been badly hit by the Covid Pandemic. It is hoped that trade will recover in due course. However, a new Gym has opened in Witney and there has been some impact on Gym membership. Turnover in 2021 is expected to be around 40% lower than 2019 (the latest year Pre Covid). Efforts are being made to reduce costs. The Manager has resigned and the role is being covered by volunteers and less expensive staff. However, 2021 will in all probability see the Charity making another loss and will need the support of the Landlord to continue trading. |
