The trustees present the annual report together with the financial statements of the charity for the year ended 31 August 2021.

MfE Chair’s message to members

Vax was the 2021 word of the year, according to the Oxford English Dictionary. “It’s injected itself into the blood of the language,” said one of its editors.

I would also suggest adding “ventilation”.

For several months now, ensuring an adequate flow of fresh air inside rehearsal and concert spaces has enabled Angela and her dedicated team to revive Music for Everyone’s activities....face-to-face, rather than on-line. Coming out of this pandemic has beena real challenge that we have met.

In the warmth of sunshine at Trent College, the MfE summer school was a particular joy, although June’s singing workshop at Nottingham’s Albert Hall was a casualty of Covid concern and regulations. It finally went ahead in October when ventilation brought with it the “brrrrr” factor.

Transition is my other nomination for MfE word of the year.

As a members’ organisation and charity, Music for Everyone is going through transition. Like many arts and music groups, we have emerged from “lockdown” and the impact of the pandemic into a slightly unsure cultural landscape.

It is quite understandable that many of our regular singers and players were cautious about returning to full activities. Numbers attending our regular singing groups have been down bya third, and that has an impact on our income.

Last year, one-off emergency funding of £16,500 from Arts Council England and the government’s furlough/job retention scheme, together with the continuing generosity of our members, helped us through a difficult time. As Covid restrictions were lifted and our High Streets welcomed back shoppers, our partners at Bookwise were able to re-open. Its three shops - selling secondhand books and music scores - are trading again. It provides MfE with a crucial financial lifeline. Thanks to Bookwise and its wonderful team of volunteers, its cash and benefits in kind support to MfE last year was worth £53,477. That’s a huge help to us.

Navigating a course through this particular transition has been a big concern. That’s why the trustees - via Zoom - have continued to meet monthly - rather than quarterly - to help Angela set the path ahead.

The annual accounts show we finished our financial year with a surplus, in large part due to Bookwise’s increased support. This leaves us in a good position to take on the continuing challenges of the pandemic and the transition to new leadership of the charity.

By the AGM you will know that Angela is stepping down as MfE’s Artistic Director at the end of the current season in the summer.

This transition, while we find a suitable successor, is without doubt the biggest challenge facing the trustees.

In the months to come, we will have many opportunities to celebrate the enormous achievements of Angela in creating “Music for Everyone” nearly 40 years ago, and inspiring generations of young people - and the more mature among us - with the golden opportunity to enjoy the fun of singing and playing music together.

The trustees have known for some time of Angela’s wish to hand over the baton of the day-to-day admin role, and we are in the process of ensuring that transition. We hope to appoint a new Director of MfE within a few months, to be in post by the summer.

I’m delighted to report that Angela - as she will want to assure us all - won’t be giving up the baton completely. She will still be inspiring us when conducting or taking group sessions.

This transition aims to build on MfE achievements, its partnership working and ethos in making music fun. You can show your support for our continuing work by joining our new updated MfE Supporters Scheme. It offers further incentives to show your commitment to our music making. It’s easy to join. Just ask for details.

To quote from one of Henry Purcell’s choruses in MfE’s October Singing Workshop:

“Tune all your voices and instruments play To celebrate this triumphant day.”

Let’s hope “triumphant” is the Oxford Dictionary word of the year, next year.

Structure, governance and management

Nature ofgoverning document

The charity is operated under the rules of its CIO - Association constitution adopted 15 August 2013.

Recruitment and appointment of trustees

Trustees are advertised through call-outs to the membership. Potential trustees then meet with the Artistic Director and Chairman before being invited to join the board as observers initially.

Objectives and activities

Objects and aims

To promote, improve, develop and maintain public education and appreciation in all aspects of music by: - The organisation of a wide range of music-making events and activities, capable of encouraging and stimulating people of all ages and abilities;

Public benefit

Throughout the year we run:

i). A series of adult and youth music workshops, courses and activities (approx.12 per year); ii). A series of concerts/performances featuring a wide range of music suitable for adults, youth and families (approx. 30+ per year);

ili). 16 regularly rehearsing groups ( 9 adult, 4 youth, 3 health initiatives);

iv). Projects with other organisations e.g. Inspire - Mother and Baby project, Headway Nottingham - long term health and social rehabilitation project for people affected by brain injury.

All our activities benefit the public by:

a) providing opportunities for people to take part in music events and activities irrespective of age, ability and experience;

b) providing an annual series of entertaining, high standard public concerts;

c) providing opportunities for young people to make music through leisure time activities.

N.B.

i) We offer subsidised places and reduced ticket prices for all our events including concerts.

il) Our Equal Opportunities Policy aims that no participant or concert goer receives less favourable treatment on the grounds of racial origin, physical disability, class, gender, sexual orientation, age, political or religious belief.

The trustees confirm that they have complied with the requirements of section 17 of the Charities Act 2011 to have due regard to the public benefit guidance published by the Charity Commission for England and Wales.

Financial review

Due to the lockdown for the latter half of the 2019-20 year, MfE started the reporting period with a healthy level of unrestricted reserves. This was the result of a number of loss-making activities in the year actually being cancelled so not draining reserves and benefitting from government Job Retention Scheme support and Arts Council England emergency funding. We were also hugely grateful to customers who donated tickets for cancelled events rather than requesting refunds. This support continued throughout the first few months of 2020-21 leading to a gradual and cautious build-up of activity in line with the opening of government restrictions. We have continued to benefit from the furlough scheme throughout the year with staff working flexibly as required to slowly build up activity again. As a result we have been able to further improve our reserves position to support what could be a difficult 2021-22 in terms of activity returning to normal.

Policy on reserves

MfE holds a policy of 3 months fixed costs (Salaries and various office-based commitments such as photocopier lease etc) as a minimum reserves level, and we have exceeded these levels throughout the year. The trustees agreed to use additional reserves above this minimum to support the uncertainties of the 2021-22 year as required.

Major risks and management of those risks

We face the risk of continued staff and overheads costs whilst it is still unknown when audience and participant levels at our events will return to pre-pandemic levels. We are being cautious in our approach to events as a result to keep costs down wherever possible.

The trustees are responsible for preparing the trustees' report and the financial statements in accordance with the United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice) and applicable law and regulations.

The law applicable to charities requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing these financial statements, the trustees are required to:

Independent examiner’s report to the trustees of Music for Everyone

I report to the trustees on my examination of the accounts of Music for Everyone (the Charity) for the year ended 31 August 2021.

Responsibilities and basis of report

As the trustees of the charity you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner’s statement

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. accounting records were not kept in respect of the Charity as required by section 130 of the Act; or

  2. the accounts do not accord with those records; or

  3. the accounts do not comply with the accounting requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair' view which is not a matter considered as part of an independent examination.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1 Accounting policies

Statement of compliance

The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015) - (Charities SORP (FRS 102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Charities Act 2011.

Basis of preparation

Music for Everyone meets the definition of a public benefit entity under FRS 102. Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy notes.

Exemption from preparing a cash flow statement

The charity opted to adopt Bulletin 1 published on 2 February 2016 and have therefore not included a cash flow statement in these financial statements.

Going concern

The financial statements have been prepared on a going concern basis.

The trustees assess whether the use of going concern is appropriate i.e. whether there are any material uncertainties related to events or conditions that may cast significant doubt on the ability of the charity to continue as a going concern. The trustees make this assessment in respect of a period of one year from the date of approval of the financial statements.

Income and endowments

Voluntary income including donations, gifts, legacies and grants that provide core funding or are of a general nature is recognised when the charity has entitlement to the income, it is probable that the income will be received and the amount can be measured with sufficient reliability.

Donations and legacies

Donations and legacies are recognised on a receivable basis when receipt is probable and the amount can be reliably measured.

Grants receivable

Grants are recognised when the charity has an entitlement to the funds and any conditions linked to the grants have been met. Where performance conditions are attached to the grant and are yet to be met, the income is recognised asa liability and included on the balance sheet as deferred income to be released.

Deferred income

Deferred income represents amounts received for future periods and is released to incoming resources in the period for which, it has been received. Such income is only deferred when:

Expenditure

All expenditure is recognised once there is a legal or constructive obligation to that expenditure, it is probable settlement is required and the amount can be measured reliably. All costs are allocated to the applicable expenditure heading that aggregates similar costs to that category. Where costs cannot be directly attributed to particular headings they have been allocated on a basis consistent with the use of resources, with central staff costs allocated on the basis of time spent, and depreciation charges allocated on the portion of the asset’s use. Other support costs are allocated based on the spread of staff costs.

Charitable activities

Charitable expenditure comprises those costs incurred by the charity in the delivery of its activities and services for its beneficiaries. It includes both costs that can be allocated directly to such activities and those costs of an indirect nature necessary to support them.

Government grants

Government grants are recognised based on the accrual model and are measured at the fair value of the asset received or receivable. Grants are classified as relating either to revenue or to assets. Grants relating to revenue are recognised in income over the period in which the related costs are recognised. Grants relating to assets are recognised over the expected useful life of the asset. Where part of a grant relating to an asset is deferred, it is recognised as deferred income.

Taxation

The charity is considered to pass the tests set out in Paragraph | Schedule 6 of the Finance Act 2010 and therefore it meets the definition of a charitable company for UK corporation tax purposes. Accordingly, the charity is potentially exempt from taxation in respect of income or capital gains received within categories covered by Chapter 3 Part 11 of the Corporation Tax Act 2010 or Section 256 of the Taxation of Chargeable Gains Act 1992, to the extent that such income or gains are applied exclusively to charitable purposes.

Tangible fixed assets

Individual fixed assets costing £500.00 or more are initially recorded at cost, less any subsequent accumulated depreciation and subsequent accumulated impairment losses.

Instruments are initially measured at cost and subsequently measured at insurance value.

Depreciation and amortisation

Depreciation is provided on tangible fixed assets so as to write off the cost or valuation, less any estimated residual value, over their expected useful economic life as follows:

Impairment of fixed assets

At each reporting end date, the charity reviews the carrying amounts of its tangible assets to determine whether there is any indication that those assets have suffered an impairment loss. If any such indication exists, the recoverable amount of the asset is estimated in order to determine the extent of the impairment loss (if any) .

Trade debtors

Trade debtors are amounts due from customers for merchandise sold or services performed in the ordinary course of business.

Trade debtors are recognised initially at the transaction price. They are subsequently measured at amortised cost using the effective interest method, less provision for impairment. A provision for the impairment of debtors is established when there is objective evidence that the charity will not be able to collect all amounts due according to the original terms of the receivables.

Cash and cash equivalents

Cash and cash equivalents comprise cash on hand and call deposits, and other short-term highly liquid investments that are readily convertible to a known amount of cash and are subject to an insignificant risk of change in value.

Fund structure

Unrestricted income funds are general funds that are available for use at the trustees’ discretion in furtherance of the objectives of the charity.

Restricted income funds are those donated for use in a particular area or for specific purposes, the use of which is restricted to that area or purpose.

The specific purposes for which the funds are to be applied are as follows:

Youth Development fund - an initiative to support our youth groups, courses and concerts. Health & Wellbeing fund - partnership projects to improve people's health and wellbeing through participating in music.

Instruments - this fund represents the net book value of the fixed assets (Instruments). Paul Redfearn Instrument fund - a fund to support the loan of musical instruments to pupils in the City/County. Arts Council - emergency Covid funding to support MfE's survival and fund online activity. Inspire - funding to deliver music projects in Nottinghamshire 1.5 days/week, led by our Assistant Artistic Director, Rachel Parkes. £7,800 of the money received to date is to be carried forward into 2021-22. Garfield Weston - support for project activity, as a result of the Covid-19 pandemic, Garfield Weston have relaxed the restrictions on the funds use. £5,000 is currently planned to carry forward into 2021-22.

The transfer from the Health & Wellbeing fund to the General fund represents management fees.
