SECRETARY’S UPDATE

I have pleasure in presenting the Annual Report and Accounts for the financial year 2020/21.

As Sport Newcastle’s trustees, officers and volunteers basked in the success of another Annual Dinner on 5[th] March 2020 no-one could foresee what was around the corner less than three weeks away. The locking down of the country on 23[rd] March effectively meant the suspension of most community sport and at the time of writing, despite the optimism brought about by the successful vaccination programme, some of those sports remain suspended. Whilst this has led to a significant drop in the number of applications for grant aid it has also had a significant impact on our fundraising capability.

The various reports making up this Annual Report bear testimony to the adaptability and resilience of Sport Newcastle that has continued to operate whilst enabling our Treasurer to present a very positive set of Annual Accounts. Our thanks and admiration go to all those trustees, officers, volunteers, supporters and the North East sporting community for the part that they have played in this.

The absence of so much community sport and the cancellation of events on which we would normally report has meant that this is a somewhat slimmed down Annual Report. We are currently cautiously optimistic that normal service will have been resumed in 12 months time.

This Report is in five parts:

  1. Chairman’s Report – a summary of the principal activities of Sport Newcastle in the financial year ended 31 March 2021.

  2. Fundraising Report – a summary of the major income raising projects run by Sport Newcastle in the financial year ended 31 March 2021 along with details of the support provided by sponsors.

  3. Awards Report – a summary of the work undertaken and awards made by Sport Newcastle in the financial year ended 30 April 2021.

  4. Annual Accounts – the Annual Accounts of both the Sport Newcastle Charity and the Sport Newcastle unincorporated association for the financial year ended 31 March 2020.

CHAIRMAN’S REPORT 2020/21

Despite the Covid-19 pandemic Sport Newcastle had another positive year, endeavouring to provide support with “Covid-19 Recovery Grants” to both clubs and community groups. Most clubs’ running costs continued despite the pandemic, however lack of membership fees, sponsors support, dwindling reserves and in some cases overdraft termination meant closure was on the horizon. Many clubs were to enter a downward spiral and their survival was only possible through the financial support of Sport Newcastle. Sadly only a few were able to negotiate a holiday in respect of standard overheads.

Thankfully, we continued to enjoy the support of a broad portfolio of corporate sponsors, philanthropic individuals and organisations despite Covid-19. All money raised by volunteer members and supporters of the Charity continues to provide clubs and organisations with grant aid. Mike Booth’s report highlights the wide list of awards made during the year. A lack of structured competition for many athletes and sports has enabled more finance to be directed to the clubs.

The timely easing of lockdown restrictions allowed Mike to organise the annual fundraising Golf Day at Matfen Hall on Friday 4[th] September, a brilliant day enjoyed by all competitors and observers alike.

Matthew Squires, assisted by Claire Finn, promoted all sponsorship and fundraising and organised the Annual Dinner and Awards evening on Thursday 5[th] March, just prior to the first lockdown. Roger Tames assisted by Ian Payne and Dawn Thewlis hosted the Annual Dinner with their usual professional delivery. Roger also leads a media group and continues to chair a strong independent Board of Trustees who oversee the work of the Charity and its volunteer members.

Kingsley Hyland OBE, rigorously works as a Secretary for the Charity, his legal expertise and experience make light of a daunting range of issues which allow future developments to take place in a streamlined fashion. David Appleby has for many years diligently worked as our Treasurer, his advice on awards is precise and focussed reflecting his life time involvement as both athlete and mentor. We remain grateful to Gavin Purvis for his time and expertise as our auditor.

Subject to all major Covid-19 restrictions ending Sport Newcastle will host a relaunch event in the autumn, the format is currently under close analysis, decisions will be made soon and communicated in due course. The launch will reaffirm the core message that Sport Newcastle continues to serve and support the sporting community. All volunteers are highly valued and officers have again indicated their desire to continue in their respective leadership roles. I remain proud to act as Chair to such a prestigious and effective voluntary charity. I take this opportunity to place on record my personal appreciation to everyone who contributes.

FUNDRAISING REPORT

In a year like no other Sport Newcastle has continued its vital role supporting grassroots sport across the North East.

The 2020 Annual Sport Newcastle Dinner was a huge success, and we were fortunate that the event took place a matter of weeks before the Covid-19 pandemic hit the UK. Sadly the 2021 Dinner was cancelled due to government restrictions which will be a significant hit to our fundraising efforts this year.

Following the first national lockdown, the easing of restrictions and welcome return of sport meant that the rearranged 2020 Sport Newcastle Golf Day was able to go ahead on the 4[th] September 2020 at Matfen Hall. The event organised by Mike Booth and supported by the fundraising committee was a sell-out success and helped raise valuable funds. The 2021 Golf Day is scheduled to take place in July at Ponteland Golf Club.

Our newly titled Sport Newcastle Partners programme strengthened our existing relationships with Tier One Capital and SOS Group and offers local businesses a great opportunity to support grassroots sport across the North East. The Covid-19 pandemic has resulted in some businesses cutting their community support and marketing budgets.

The Sport Newcastle Unsung Heroes event is set to return in Q4 2021 and will recognise those individuals who have made a significant contribution to North East sport over a number of years and also those Covid Heroes who have kept their clubs going in such challenging circumstances over the last 18 months.

As a fundraising committee we now have three well established events in the calendar but are keen to add a fourth event from 2022 to help generate more income. We are also focusing on building stronger local business connections to attract additional Sport Newcastle Partners.

We will also be focusing our efforts on developing relationships with local and national charitable trusts and grant making bodies with a focus on grassroots sport, mental health and youth, a potential area of funding we are yet to maximise.

AWARDS COMMITTEE REPORT TO AGM

The Awards Committee have had five ‘Zoom’ meetings since last year’s A.G.M. In that time a total of £19,776 has been awarded in grants.

• Covid Fund to clubs/organisations: £ 6,976 • Individual awards: £ 7,300 • Scholars (1 payment postponed): £ 5,500

Clubs/organisations:

Once the impact of the pandemic on local amateur sports clubs became apparent we made a decision that we needed to establish a Covid Fund. Its’ purpose was to provide essential funding to help clubs ‘bounce back’ from lockdown. Eleven organisations have so far been supported with grants ranging from £400 to £1000.

Individuals:

No Rising Star awards were given out this year as the 2021 Awards Dinner was cancelled.

However, previous years’ Rising Stars had continued to make progress and several had made grant applications that had been held over from the cancelled April 2020 meeting. In fairness to these individuals their applications were considered, their progress was assessed and grants ranging from £250 to £750 were awarded to 12 individuals. Under normal circumstances many of these grants would have been more generous.

During the rest of the year four additional awards of £250, one of £300 and one of £500 have been awarded. One of these awards was made under the category of the recently established Covid Hardship Fund.

We have modified our grant application procedures this year. Applications from clubs targeted at individual club members must now demonstrate what and how those individuals will give back to their club for any grant that they as an individual receive. This means that our grants should have a wider impact than to just the person who primarily benefits from the funding.

Scholars:

We started this year with 6 scholars and ended it with 3. We have supported Emily Large for 4 years, having had an additional year’s funding to prepare for the 2020 Tokyo Olympics. Alex Wise and Ellen Stephenson also received their last scholars’ cheques in January this year. Emma Peters (ski-cross), Nick Pyle (swimming) and Joy Eze (sprinter) are our remaining 3 scholars. Our financial model for the year means that we are unable to make any more platinum awards (scholarships) until our financial situation improves.

Summary:

The Committee have responded well to the issues caused by the pandemic. We have been creative in our budgeting and prioritising clubs versus individuals. If clubs fail, there will be nowhere for youngsters to partake in their sport. Many clubs have shown a remarkable

resilience over the last 12 months, but they still have a long way to go and many will need further support from us in the future.

Thanks to the efforts of Andy Naylor we have managed to secure significant publicity for our efforts during the pandemic. Andy has engaged Jonathan Edwards, who has been especially generous with his time, to meet club representatives and hand over cheques to them. The media attention that accompanies photos of Jonathan doing so is of benefit not only to the recipient club, but also ourselves.

Many thanks to all committee members who sat through hours of Zoom meetings without the opportunity of a chat, or drink afterwards and rose to the challenge that the nasty little virus threw at us.

TRUSTEES’ OVERVIEW

The individual reports making up this Annual Report provide the detail as to how our various committees have successfully met the enormous challenges that the Covid-19 pandemic has presented since we last reported. This has involved a huge commitment from those involved and their efforts are detailed elsewhere in this report. The trustees have continued to oversee the work of all of the Charity’s committees and have been active in identifying ways in which we can adapt to a changed post-covid community sport landscape. Most significantly, the trustees have overseen the change in approach to applications for grant awards targeted at specific individuals to ensure that that we can demonstrate that such awards confer a more than incidental benefit to the sporting community as a whole.

The trustees extend their thanks to all of the volunteers who have ensured that the Charity has continued to function in a manner approaching normality.

SPORT NEWCASTLE NOTES TO THE ACCOUNTS 2020-21

General

There are two sets of accounts but with agreement, for presentational purposes I will deal with them with a combined approach. The 2020-21 year-end accounts show expenditure exceeding income by £18,384 leaving a useable balance of £16,155 in the General account plus £8,204 in the Charity account, a total of £24,359. The reported excess spend was a managed position and was primarily attributable to the payment of the 2019-20 Dinner account to Newcastle City Council for £13,071.80 for which we had made a specific accrual.

It what were very difficult and testing times Sport Newcastle made a commitment to continue to support local athletes and Clubs financially. We made awards totalling £15,876 in the form of Sports Scholarships, Grants, Club Sponsorship and Promotion from the Charity and General accounts.

At the close of business on 31[st] March we had £26,883.01 in the Community Account, accounting for known commitments, debtors and liabilities and as previously reported this leaves us a useable balance of £16,155 in the General account and similarly accounting for commitments we had £8,204 in the Charity account. This gave us a total useable resource of £24,358 for 2021-22 which is only £1,988 less than the end of 2019-20 financial year. Considering the difficulties that the organisation has faced and the ongoing commitment to sport in the area this represents a very positive position.

Dinner

As we know, due to the pandemic there was no Annual Dinner held in the 2020-21 financial year. This presents a significant pressure to the accounts as it provides us with our largest income source. Hopefully we will see the return of the of the Annual Dinner in 2022. The accounts still include debtors from the 2019-20 dinner totalling £2,650, it is still anticipated that this will be recovered from The High Street Group.

Golf Day

The accounts show the Golf Day organised by Mike Booth and the Special Events team returned an in-year profit of over £2,790. This figure included a £ for £ contribution from Barclays charity of £1,000 and the event sponsorship from SOS. This is proving to be a hugely important element of the Sport Newcastle fundraising process.

Sports Scholars

At the close of the financial year 2020-21 we were supporting four scholars. The awards are administered through the committee on receipt of satisfactory progress reports and are reviewed quarterly at the committee meetings. For 2021-22 we are currently supporting two scholars.

Grants and Financial Assistance

The expenditure within this category primarily includes applications for support from athletes and clubs which are considered by our trustees. Recipient sports in the year included skiing, badminton, swimming, sailing, rugby league, Cricket, Golf, Trampoline, Gymnastics, Athletics, Trampoline, Triathlon, Judo, Archery

Office Expenses

Within the accounts I have identified costs of £322 associated with the operation of Sport Newcastle. This includes website hosting and domain name and all printing, stationery, and postage costs. As reported in previous years we have successfully worked to reduce these costs to an absolute minimum.

Overview

2020-21 was a year like no other and hopefully one that we will never have to repeat. As an organisation we made a commitment to continue to support sport in the region. We proactively established a Covid support fund to help clubs cope with the pressures resulting from the crisis. In testing financial times, we continued to make a significant contribution to sport in the Newcastle and the wider Tyne and Wear community with over £15,800 spent on grants and awards during the year.

Hopefully we will start to see a return to normality with our Golf Day to be held on 8[th] July representing the first stage of our fundraising in 2021-22. The return of the Annual Dinner in 2022 will represent a significant boost to our finances. It will be necessary to ensure that for the remainder of the year we maintain a strict monitor of our expenses to secure our longterm stability and financial sustainability.
