Recruitment of Trustees
New Trustees are initially opproved by the Board of Trustees. In doing SO they are focused on
individuals who will maintain o balance of professional skills and expersence. os well as beiry able
to contribute towards the eff ective 9overrnnce and operotions of the Charity.

The Trustees have a9reed to govern via a Board of Trustees and teom leaders. The team
leoders. currently five in number, are responsible for rumin9 their duty sessions. All of the
operatio￿1 responsibilities are shored between Trustees non-trustees. The food is
distributed not only from unit 4. but also at The Lyttelton Well and the Uplon Boplist Church.
The trustees thank these organisotions for their ongoir¥J support.

Objectives and public benefit
The charity's objects are..
'The relief of hordship amoryst people in the Malvern Hills district and the surrounding
areo. or in other parts of the Vnited Kin9dom. in such ways the trustees f rom time to
time think f it. in particular. but not exclusively by..
a) providin9 emergency food, essentiol toiletries. and household items to individuols and
families in need and/or for distributton by charities or other oryanisations workiTr4 to
prevent or relieve poverty.. and
b) by such other meons. including (but not limited to) the provision of support or si9npostiry
to releYGnt inf ormation and other advisory services."
The trustees have due re9ard to the Charity Commission s public benefit guidance and this
report demonstrates how the Charrty has carried out those purposes durir9 the year and
contiFwes to provide o public benef it to the local community.
Activities tind Truslees. Review
The Charity is af f ilioted to the Trus5ell Trust whose 9uidelines are f ollowed in the operations
and procedures of the Chority. Due to the pandemic the Trussell Trust annual support visit has
not been undertoken. However. the trustees have worked closety with team leaders throughout
lockdown and beyond by regular "zoom. meetirys to ernsure that standards and best service
continue to be provided to the local community-

The Charity has 48 re9lStered referrnl a9encies, of whbch 32 issued at least I voucher rn the
year. These agencies accounted for 1,463 referrals arKI 3.782 food parcels. In addition. 32
ref erml agencies, which ore registered with other Trussell Trust food banks, issued vouchers
which were fulf illed by Malvern Hills FoodbtJnk. These agencres accounted for 240 referrals and
526 f ood parcels. The main referral ogencies which accounted for 60% of all ref errols were
Citizens Advice South Worcestershire, Job Centre Plus. Plotform Housin9 Group, Maggs Day
Centre and WCC Social Services.
We have only been able to achieve our objectives through the excellent support of l*lolvern and
Upton Churches, the wider district Churches. and the locol community. Thank you f or oll of the
donations of food and other items durirvj this diff icult time. In addttion we would like to record
our thanks to Waitrose. Morrison's. the hvo Co-ops. Just So. Lidl, One Stop and Soinsbury for
their permanent collection points. These have not only increased dO￿tionS but olso have enllbled
us to communrcate to the public the needs and reosoFts for having tt food bonk.
t)ue to the pandemic we have continued to use a mainly delivery service from our warehouse
assisted by Community Action hlalvern. The Lyttelton Well and Upton Baptist Church have olso
helped by providing increased access for the Charity food parcels. particularty when the
warehouse is closed.
Our partnership with the Lyttelton Well contiriLies to grow whereby they also provide f ree hot
meals aFKI refreshments f rom their cafe to those in need.

In oddition to the receipt of dorKEted food QKI other iterns the Charity has reteived duriry the
ye<w overwhelmirs fir¥mcial support from the local comm(nity. The p¢ndemic has continued to
reduce the OPP¢Jrtunity for the public to obtain foods for doTrJtions so instead this has been
repkced by increased firm¢iol dorkitions of which are standirg orders and 9ift aided. In
addition the Charity has rewved £15.950 in Covid related emergency grdnts from Local
Authorities, ¢nd £4.318 from the Alalvern Wor. s charity. The combiTh2ti¢)n of this tremendous
increosed finoncial support has er¥]bled the Charity to ¢￿tinUe not only with the purchase of
shortages but also to increost the number of vouchers for fresh food and fuel top-up payments
9e4walty. and specif icalty for those adversely affected by Cwd 19.
Res¢r¥es polky
The Trustees have considered the for a R¢serves Policy. They have taken account of the
tmcertainty of receivin9 G sustainable level of dor¥]tions compared to the k2r9ety f ixed overhead
exp¢nditure, coupled ￿th the Charitys objectives to provide where possible ongoir9 support for
people in crisis. The Truttees consider it prudent therefore to continue to set Qside reserves
which approximote to the (mtlcipated resour¢¢ expenditwe for a twelve month period. As such
the sum of £25,(KMJ hos been deposted with th¢ Casfle a Crystal Credit UniorL
The Trustees continwlty review circumstan￿ each year to assess if txisliry services could be
improved upon or if additioMI serrfices could be wovided In this context the Trustees are
reviewing the possibility of acquirirg additi¢ThJl office and stora9e space which will eThibie the
Foodknik to provide a more distreet meetiry area for clients, ond to impr¢)ve the saf ety and
workirg emironment of our Vol￿teerS.
The Trusfees regret the need to have a tharity such as ma￿ern Hills Foodbank but whilst there
is (x need the Trustees will continue to increase the awareness amon9St the whole commurlty to
encournge the $￿POrt rquired to emble the CFbJrity to achieve its objectives.

I. ACCOUNTING POUCIES
Audit
The Charity is not required to have a statLrtory aLbdit since income total assets are below the
required thresholds.
Income
Voluntary income. includin9 donatrons gift oided, are recognised as income when received. Where
opplicable, gif t aid income tox recoverable, is reco9nised when the recovery is receivable.
Donations in kind 9iven for distribution are recognised as incomin9 resourccs only when
distributed with an equivalent amount beirg tncluded as resources expended. The valuation of
such donations is based on Trussell Trust gurdeltnes.
No value ig attribLrtable to time domted by volunteers as it would be total￿ impracticable to
record and value such time.
Towible f ixed assets ond deweciation
Tangible f ixed assets are copitalised at cost. or at fair value to the Charity if donated. if they
have a usef ul life of more than one yeor.
Depreciation is provided on a stroight line basis in order to write off the ossets over their
ef f ective usef ul lif e. Equipment LS deprecroted at ZO%.

Stocks of dorKtled goods held at the year-end are not volued within the f inancial stotements.
The notiorKIl valuation of stock was £12.740 (2020: £14.724)
Funds
unrestricted funds are f unds which can be utilised at the discretron of the trustees. Funds held
in reserve funds ore not restricted as such btrt eormarked to fund specific initiatives or to
provide suf f icÈent f L¢nds to e￿ble the Charity to fulf il its objectives over o twelve month period.

2. TRUSTEE AN[) VOLufvrrEER PAYMENTS
The Charity operates solely by unpaid volunteers_ The Trustees and the volunteers receive no
remuneration or expenses other than reimbursement onty in respect of direct expenses incurred
on behalf of the Chority. The foodbank owes o debt of 9ratitude to its loyol volunteers. Due to
the restrictions created by the pttndemic the number of volunteers working in eoch shtft has
reduced ond the working practises hove been signif rcontly charyed using mainly a delivery only
service as noted above. The trustees thank them all for the4r help and support.

I have completed my exomination. I conf irni that no material motters have come to my attention
