Trustees' Annual Report for the year ended 31 October 2022
The Trustees present their report and the unaudited financial statements of the Charity for the period ended 31st October 2022.
Objectives and Activities
The purposes of the charity are:
-
The relief of children and young people with an autistic spectrum disorder.
-
Providing relief and respite to the families and carers of the beneficiaries described above.
The main activities of the charity in relation to the purposes described above are:
-
Providing social activities for children and young people aged 5-18 years with an ASD diagnosis living in Stowmarket and surrounding areas.
-
Encouraging young people to develop friendships and social networks and increase their self-confidence, selfesteem and social skills.
-
Encouraging social inclusion and seeking opportunities for the young people to take an active part in the community.
The Trustees are aware of the need to give regard to the Charity Commission’s public benefit guidance. The Saturday Clubs are open to any young person in the Stowmarket area who has a diagnosis of Autistic Spectrum Disorder.
Achievements and Performance
It has been a wonderful year for our members; we are now back up and running in our pre-covid format and the members have adapted to this well. We have welcomed some new members and families into the club too.
We have been lucky to have had a wonderful committee this year who have worked hard to help keep the club running. This has included some fantastic fundraising, attending various public events to help build awareness of our club and to help to run our new parent cafe and the sensory library.
Staff and volunteers have been amazing this year. They have increased their hours in order for us to run an increased number of sessions to accommodate our growing list of members. Staff have helped to successfully integrate new members into the club, supporting their individual needs and those of the existing members. We are proud to have a team who all care about each other and our members. Moving forward, we hope to increase training, meetings and social events for staff and volunteers. We are currently advertising for new staff and volunteers to help us increase our member numbers and meet the needs of our new members further. We have taken on some new volunteers who are being trained in an ever-changing environment. They are all making such a difference and important contributions to the club; we really appreciate the time they are giving to us.
Saturday Club sessions (aged 5-11 years) are back to being vibrant sessions, following the return to normal running after Covid. We have adapted the way we use the building to encourage members to explore more areas and spread the excitement. Staff have helped to plan and implement some great activities in different areas, such as arts and crafts, malleable play, music and sign language. Members often guide the direction in which an activity develops but have really enjoyed learning new skills and trying new ideas. A rolling snack has been introduced to help some members by having healthy items available from the start of the session, as well as our usual group snack time.
We have been able to implement an additional Youth Club (11-18 years) session due to high demand and this has allowed us to welcome many new families. We now need to increase our staff count in order to extend this session to more new members.

Our Plus Club (11-18 years) members have been on some fantastic outings and used various types of public transport to go out and about in the community. They have been able to push themselves out of their comfort zones with the support of our wonderful team. This group is very popular and we hope to add in some new members after we have recruited additional staff.
We were able to hold a residential camping trip, which was a huge achievement for all involved and saw members push themselves in so many different areas. In the future, we hope to be able to hold another residential trip and reduce the age of attending members to make it available to more of our young people.
In January 2023 we are set to begin our mindfulness and wellbeing initiative, with thanks to a grant from our local council. As part of this, we will be able to offer support to parents at our parent cafe, extend our resources in our sensory library and introduce yoga sessions and group games to help build skills for our members to communicate their feelings, with support from our new well-being ambassador.
Our sensory library is run by two of our trustees and our general manager. It has seen lots of new families and returning ones too. We have had fantastic feedback from those using this service. 36% of users come from outside of the Stowmarket postcode and we have reached 58 families. The trustees running this service have worked hard to support these families and professionals, working with other groups in the local community. In the future, we hope to expand our resources and reach with the sensory library.
We have worked with some local organisations within our community, attending networking events and helping to mutually sign post people to the support they need. We are hoping to update the website and have new leaflets printed to help people find out more about what we do and also to signpost to other useful local links.
We have had a great fundraising team this year who have been helping to organise fundraising events and liaise with local companies for support in various forms. We are so grateful to the local community, businesses and other charities for their continued support. We were chosen as the MidSuffolk District Council Chairman’s Charity of the Year and received donations from events he held on our behalf. We have also received several grants that have really helped us to continue what we are doing and that we are extremely grateful for.
We discussed membership fees as a committee and decided to keep them at the rate they are and not increase them so that we remain affordable for parents and carers at a time when everything else is increasing.
Parents have enjoyed attending family events this year, including a family BBQ and Hallowe'en and Christmas events. We were also able to hold a silent disco for members after the usual hours of the club, with great success.
To conclude, there have been some amazing achievements from all involved with the charity this year. We continue to work hard to secure long-term funding and hope to be writing about more new ventures and achievements next year. This is all possible due to the dedication of our General Manager, staff, volunteers, committee members, our families and the local community all working together.
Financial Review
We have applied to the National Lottery for a substantial grant to help us run the club and are through the initial stages but waiting to hear back from them for the next stage. We have had several smaller grants throughout the year, with thanks to the committee members and our General Manager who have been working hard to secure these. Our reserve fund has not been built back up since it was used during the pandemic, however the smaller grants we have been awarded have meant that we have been able to remain open and there is hope for the future of the club. We continue to apply to larger providers to secure more funding.

Structure, Governance and Management
The charity is an unincorporated association, governed by model constitution as adopted on 27th June 2012 and amended 8th December 2012.
The charity is managed by the officers and other trustees, who are elected by the charity in general meeting. Each trustee is required to retire with effect from the conclusion of the annual general meeting next after their appointment but is eligible for re-election at that annual general meeting.

Independent Examiner's Report for the year ended 31 October 2022
I report on the accounts of the Trust for the year ended 31 October 2022, which are set out on pages 6 to 11 following.
Respective responsibilities of trustees and examiner
The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.
It is my responsibility to:
-
examine the accounts under section 145 of the 2011 Act;
-
to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and
-
to state whether particular matters have come to my attention.
Basis of independent examiner's report
My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.
Independent examiner's statement
In connection with my examination, no matter has come to my attention:

(1) which gives me reasonable cause to believe that in any material respect the requirements:

to keep accounting records in accordance with section 130 of the 2011 Act; and
-
to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act
have not been met; or
- (2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

1 Accounting policies
Accounting Conventions: These financial statements have been prepared under the historical cost convention and in accordance with the Charities Statement of Recommended Practice (Charities SORP (FRS 102) ) and the Charities Act 2011.
Fund Accounting: General funds are unrestricted funds which are available for use at the discretion of the Trustees. Restricted funds are applied in accordance with the wishes of the donor.
Income Recognition: Income is credited to the Statement of Financial Activities where the Charity is legally entitled to the income and the amount can be qualified with accuracy.
Expenditure: is charged to the Statement of Financial Activities on an accruals basis and is inclusive of irrecoverable VAT. Depreciation is provided at an annual rate of 25% straight line on equipment capitalised in the accounts.
