The annual report serves the purpose of both a Trustees’ report, and a director’s report under company law. ## **Objectives and Activities** ## _**Principal Objectives**_ The principal object of the Charity is to act as a resource for young people from 7 to the age of 25 by providing advice, assistance and organising programmes of physical, educational, and other activities as a means of: - Advancing life and helping young people by developing their skills, capabilities, and capacities to enable them to participate in society as independent, mature, and responsible individuals. - Advancing education. ## _**Summary of Activities**_ Sutton Coldfield Adventure Unit provides weekly activities during school term time for three age groups: 7-10, 10-14 and 14-18 years of age. The three main age groups meet each Friday evening and take part in a wide range of activities, which seek to develop the children’s confidence, leadership skills, physical fitness, and communication skills. - Activities are invariable team based and take place both inside and outside. - Maximum use if made of nearby park areas and the children also experience camping at all times of the year. - SCAU is open to all and whilst there are membership fees, assistance is provided to ensure that financial limitations do not prevent membership. - SCAU members also help out at a range of community events during the year that raise funds for local causes as well as increase community bonds. In setting objectives and planning activities, the Trustees have given due consideration to general guidance published by the Charity Commission relating to public benefit, including the guidance, “Public benefit: running a charity (PB2)”. ## **Achievements and Performance** ## _**Main Achievements of the Charity**_ As stated in our previous annual report, as of 1 April 2022, we were fully functioning on a weekly basis following the easing of COVID restrictions. We have numerous examples of how the role of ‘young leader’ at our sections for those between the ages of 14 and 18 years has improved confidence and enhanced employment and academic opportunities. As a result, the planned international trip to France in July 2021, was postponed until July 2022. The trip was widely a success, with 97 children being accompanied by 28 leaders, with planning now commencing for our next trip to Spain in August 2024. Page 2 **SUTTON COLDFIELD ADVENTURE UNIT** **(A charitable incorporated organisation)** ## **TRUSTEES’ REPORT FOR THE YEAR ENDED 31 MARCH 2023 (continued)** ## **Financial Review** ## _**Movement on Reserves**_ Sutton Coldfield Adventure Unit saw a reduction in closing funds to £19,921 (2022: £49,976) as a result of the previously postponed international trip to France occurring during the financial year. This was an anticipated decrease in reserves, but still remains well above the required level of reserves as per the Charity’s reserves policy. ## _**Principal Sources of Funds**_ Members pay subs monthly at a rate of £6.75 for the first child and £5.90 for siblings. From January 2023, members now pay a flat rate of £10 per child. This is sufficient to pay for all activities and running costs of the organisation including the weekly hire of halls, replacement of one-off pieces of kit (E.G.: damaged tents, new gas bottles, etc.). This increased cost still compares favourably to other local groups and support is available to any who struggle with payments. Other activities and camps are charged to members at cost, to ensure that there are no risks of running into a deficit. Financial assistance is also available where required to ensure that all members can take advantage of activities and events irrespective of their financial situation. A significant source of income for us remains the annual claim for Gift Aid. ## _**Reserves Policy**_ Sutton Coldfield Adventure Unit has a financial policy within which is states that a reserve of £1,000 should be retained in the main bank account. This should be adequate to meet any unforeseen costs. The Executive Committee, which meets twice each school term, holds strong oversight of costs through the review of management accounts and cash flow forecasts, to ensure that all income and expected expenses are managed appropriately. ## **Structure, Governance and Management** ## _**Constitution**_ Sutton Coldfield Adventure Unit is registered as a charitable incorporated organisation and was set up by a trust deed. ## _**Methods of Appointment or Election of Trustees**_ The management of the Charity is the responsibility of the Trustees who are elected and co-opted through resolutions passed at the Trustees’ meetings. I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all of the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. ## **Independent Examiner’s Statement** I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect: - The accounting records were not kept in accordance with section 130 of the Charities Act; or - The accounts did not accord with the accounting records; or - The accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
