# **Minutes of Annual General Meeting 12[th] October 2021** 

## **1 Welcome:** 

Joan gave a special welcome to Liz Thompson, company member and to Gillian Williams, the new manager to her first AGM 

Joan Barnett welcomed everyone and thanked them for attending the AGM. She announced that it was the Charity’s 75[th] AGM: such an achievement. 

**Present:** Elizabeth Thompson, Frankie Gomez-Cuckson, Gillian Williams, Michael Hill, Tabitha White, Sue Read, Maralyn Hutchinson, Joan Barnett, David Sagar.

## **2. The Adoption of Last Year’s Minutes.** 

Sue Read proposed the adoption of last year’s minutes and Elizabeth Thompson seconded it. All accepted them by show of hands. 

## **3. The Adoption of Annual Report for the year ended 31[st] March 2021** 

The Annual Report was circulated prior to this meeting. There were no questions. Maralyn Hutchinson proposed the adoption of the Annual Report, Frankie Gomez-Cuckson seconded it. All accepted the proposal by show of hands. 

## **4. Additional updates** 

Whilst the report covers most aspects of what happened from April 2020 to end of March 2021, Joan Barnett commented on a couple of subsequent items, saying: 

_'The last 18 months since the first Covid-19 lockdown have been a very difficult time for everyone._ 

_I would just like to say how very proud I feel that we have managed to battle through the difficulties that the pandemic created to our services and the ways we continued to support our members. I am looking forward to serving our members and the community again._ 

_I hope we can encourage our members back, especially those who have continued to stay isolated at home, reluctant to go out in fear of contracting the virus._ 

_When we have been able to open, we have been fortunate that some of our volunteers have returned to support us, this has enabled us to start offering our services again._ 

_Members returning have enjoyed the opportunity to meet with their friends and socialise, some of whom have not seen each other for months.’_ 

She shared the following information: 

- There are now three new members of staff in place, who are settling into their jobs. 

- The centre has already reopened for three days a week. This week it is opening for an additional day. 

- The aim is for the centre to be back open for 5 days a week. However, there’s a need to negotiate with the three activities which have, for some time, used the hall on Wednesdays, to see whether 



members can be accommodated on the same day, or see if the activities taking place Wednesdays can use a different room or be given a different time slot. 

- Majoly who has stepped up as the cook is doing very well. She is now cooking home cooked lunches for the members, who are appreciating them, as they have spent a long time either trying to cook for themselves or relying on others. 

- We are fortunate that some of our regular Hirers have returned, which is good news. We have also been able to accommodate new hirers, and continue to receive new requests, showing there’s still a need for community space. 

- Since April 2021, 27 new members have joined. This is a positive reminder that the services are needed. 

- A ‘Welcome Back' party was held on the 7[th ] October. The attendance figure was 50. This number included current members, members coming back for the first time since the first lockdown and those wishing to see what we offer. It was a great celebration organised by the staff with volunteers at hand to help and enjoyed by all. Great comments were received from the members who attended. It is hoped that there will be more events like this in the future. This was funded through a council grant of £250: because the council cancelled the Full of Life Fair again this year, they asked organisations working with the elderly to apply for funds to hold an event in-house. A representative from the council visited on the day to monitor use of funds given. 

- Joan expressed her gratitude that throughout the pandemic we have continued to receive grants from Richmond Council helping to cover our overheads and The Hampton Fund funding for our AVC’s post costs These have both helped with the shortfalls arising from not receiving funding from our regular sources, for example, members, local businesses, fundraising, donations etc. 

- Trustees continue to meet with council officers and their nominated architect, discussing all aspects of the new centre. Hopefully we will hear in November whether the plans have been approved, then the project can move forward to the next stage, which is a tender, when invited contractors will price for the works. There is still a long way to go, but it is hoped that the outcome will be a new Community Centre not only for our members but for community use 

## **5. The Adoption of Financial Statements for the year ended 31[st] March 2021** 

Everyone has received the accounts before the meeting. Joan thanked Sue for all her hard work with the accounts. Elizabeth Thompson proposed the adoption of the Financial Statements and Sue Read seconded this. All confirmed acceptance of the proposal. 

## **6. Election & Re-election of Trustees/Directors.** 

During the year Fiona Brennan and Jan Marriott have retired from the Trustees Board, so on behalf of the Trustees Joan thanked Fiona and Jan for their support during their time as Trustees.

## **7. Election of the Independent Examiners.** 

It was proposed that David Howard Chartered Accountants, Weybridge Surrey are our Independent Examiners 

This was agreed by a show of hands. 

## **8. Confirmation of Custodian Trustees:** 

It was proposed that Maralyn Hutchinson and Joan Barnett continue as Custodian Trustees by Michael Hill and seconded by Sue Read. This was agreed by a show of hands. 



## **9. A.O.B.** 

- There was a discussion about how to encourage more members to return and to reassure them about safety. Christmas might be a very good opportunity. It would be a good time to reinstitute the Business Meeting to explore such possibilities further. 

- Joan finished by thanking the amazing volunteers who returned to Elleray Hall to support in providing services to members when the centre reopened. 

- She thanked the Trustees and staff for their continued support throughout the recent difficult periods and expressed the hope that we can look forward to a better year ahead. 

- In closing the meeting, she thanked everyone for taking the time to attend this meeting, showing support for Elleray Hall and she expressed appreciation of the opportunity to have a face-to-face meeting.

## **Chairman’s Report for the year ending 31[st] March 2022** 

The past year continued to be a challenge due to the unforeseen periods of further lockdowns due the Coronavirus  (Covid-19) pandemic. During these times Trustees, staff and volunteers continued to support members in several ways, they kept in touch by continuing our telephone befriending, sent regular newsletters and quizzes, and our tutors provided online exercise classes, sing-a-longs with Carl our choir master. 

When we reopened, we were delighted that an increasing number of members found their way back to Elleray Hall again, participating in the many activities they enjoyed prior to the Pandemic. Having said that we were aware that some members may have found that their physical and mental health had been detrimentally affected during lockdown and unfortunately this resulted in some being unable to return to the centre due to age, mobility, and these feelings of vulnerability. 

## **Centre Services** 

Finally in January 2022 life appeared to be returning to normal and we were able to welcome back our members and reopened five days a week, staff and volunteers worked tirelessly towards providing a full range of activities, our hairdressing and chiropodist services returned. New activities were introduced, a weekly current affairs group facilitated by a volunteer, funding from Active Richmond financial supported sessions in Gentle Relaxation, Calming Skills and Mindful Techniques for members. We also partnered with Teddington Jazz Appreciation Club who started to hold their monthly sessions occupying one of our rooms, our members were welcome to attend. Our much-valued lunchtime service returned, and we were able to provide members with a twocourse lunch. Staff arranged a few trips local out these included, a boat trip by Thames Boat Project, Hampton Court for a Sensory Visit, garden centres and pub lunches. 

We were delighted to welcome new users to our services which was a great indicator that ‘life was returning to normality’. 

We held a Welcome Back to Elleray Hall celebration funded by Full of Life Fair, offering members a morning craft activity, lunch, live music and sing-along and an afternoon cream tea. It was great opportunity to get members together again and enjoy each other’s company after the long periods of lockdown. 

For the first time in two years, we were able to offer a Christmas Lunch to our members. We offered a three-course lunch, a glass of wine, mince pies and tea in the afternoon, with cake to take home. A grand raffle, prizes donated by local businesses, Santo Grotto, where members could have their photos taken with Father Christmas. Entertainment provided by a Frank Sinatra tribute singer. It was good to see everyone enjoying themselves. 

During the year we were pleased to welcome back our regular hirers, and some new hirers were accommodated, which was encouraging as hirers play an important part in raising revenue to support the services we offer. We have a variety of organizations using the premises on a weekly basis, including ballet and stage schools, alcohol and drug addiction support groups, national childbirth trust, wayfarers cycling group, girl guides, pilates classes, monthly antique markets, and a taekwondo school. 

Local schools where also a great support to our members, students from Newlands House donated Easter gifts which were distributed to members by volunteers. Christ Church, New Malden and St Mary’s and St Peters C of E Primary Schools wrote Easter cards to every member. Also, local school children designed and wrote Christmas cards for the members, the cards where much appreciated by our members. It was a good community project for local young people to be involved in. 



In the past we have collaborated and hosted with ‘Churches Together Teddington’ to provide meals on Christmas Day, unfortunately, due to the outbreak of the Omicron variant the Christmas meals had to be delivered direct to people’s homes. Those people living on their own including some of our members who benefited from this service 

## **Trustees** 

Throughout the year we continued to hold Trustees Board and Business meetings, attended a Richmond AgeUk contract meeting, and continued to attend video meetings with Richmond and Wandsworth Project Officers and their nominated architects to discuss our new Social Centre. We look forward to this becoming a reality hopefully, in 2023 

Two Trustees retired during the year, Fiona Brennan and Jan Marriott, we thank them for their support throughout their time serving as our Trustees. 

Sadly, Terry Mc Dowell another of our Trustees passed away suddenly Christmas 2021. 

I am always appreciative of the time Trustees give in not only supporting me but the management of Elleray Hall Social Centre. 

## **Staff/Volunteers** 

The staff team at Elleray Hall has seen significant changes during the last year, Gillian Williams joined our staff team as Centre Manager, Sam Vaughnley as our activities and volunteer coordinator, and Fay Whittam, Centre Administrator. Majoly Keutchanso continued working as our cook. 

Volunteers played an important part in supporting members throughout the lockdown periods and then when Government regulations allowed us to reopen, they supported staff in getting our services back to normal. ‘Where would we have been without them’! 

## **Funding** 

We were fortunate that we continued to receive our quarterly grant from the Community Independent Living Service contract this helped us to cover staff costs and provided services to our users when the Centre was able to be open. 

Again, this year The Hampton Fund supported us by providing funds to cover the salary and oncosts attached to our activities and volunteer’s coordinator’s job. This post has become integral to our services to enable us to offer a wide range of activities to our members and offer voluntary work to the community. 

A stall at ‘Teddington Lighting Up’ manned by Estate Agents Chase, Buchanan raised £200 for us selling wooden house Christmas tree decorations make by Elleray Hall’s staff and volunteers, using recycled materials. 

Teddington Society funded the purchase of a defibrillator to be housed in Elleray Hall, we were grateful for this as an extra safeguard for users of the Centre and the community in general. 

In conclusion looking back over the year, the Trustees, staff, and volunteers showed great commitment to our members and services throughout difficult times to ensure they were able to return to a safe environment, thus giving them the opportunity to meet old friends and make new ones instead of being at home lonely and isolated. Their support was invaluable.

# **Minutes of Annual General Meeting 12[th] October 2021** 

## **1 Welcome:** 

Joan gave a special welcome to Liz Thompson, company member and to Gillian Williams, the new manager to her first AGM 

Joan Barnett welcomed everyone and thanked them for attending the AGM. She announced that it was the Charity’s 75[th] AGM: such an achievement. 

**Present:** Elizabeth Thompson, Frankie Gomez-Cuckson, Gillian Williams, Michael Hill, Tabitha White, Sue Read, Maralyn Hutchinson, Joan Barnett, David Sagar.

## **2. The Adoption of Last Year’s Minutes.** 

Sue Read proposed the adoption of last year’s minutes and Elizabeth Thompson seconded it. All accepted them by show of hands. 

## **3. The Adoption of Annual Report for the year ended 31[st] March 2021** 

The Annual Report was circulated prior to this meeting. There were no questions. Maralyn Hutchinson proposed the adoption of the Annual Report, Frankie Gomez-Cuckson seconded it. All accepted the proposal by show of hands. 

## **4. Additional updates** 

Whilst the report covers most aspects of what happened from April 2020 to end of March 2021, Joan Barnett commented on a couple of subsequent items, saying: 

_'The last 18 months since the first Covid-19 lockdown have been a very difficult time for everyone._ 

_I would just like to say how very proud I feel that we have managed to battle through the difficulties that the pandemic created to our services and the ways we continued to support our members. I am looking forward to serving our members and the community again._ 

_I hope we can encourage our members back, especially those who have continued to stay isolated at home, reluctant to go out in fear of contracting the virus._ 

_When we have been able to open, we have been fortunate that some of our volunteers have returned to support us, this has enabled us to start offering our services again._ 

_Members returning have enjoyed the opportunity to meet with their friends and socialise, some of whom have not seen each other for months.’_ 

She shared the following information: 

- There are now three new members of staff in place, who are settling into their jobs. 

- The centre has already reopened for three days a week. This week it is opening for an additional day. 

- The aim is for the centre to be back open for 5 days a week. However, there’s a need to negotiate with the three activities which have, for some time, used the hall on Wednesdays, to see whether 



members can be accommodated on the same day, or see if the activities taking place Wednesdays can use a different room or be given a different time slot. 

- Majoly who has stepped up as the cook is doing very well. She is now cooking home cooked lunches for the members, who are appreciating them, as they have spent a long time either trying to cook for themselves or relying on others. 

- We are fortunate that some of our regular Hirers have returned, which is good news. We have also been able to accommodate new hirers, and continue to receive new requests, showing there’s still a need for community space. 

- Since April 2021, 27 new members have joined. This is a positive reminder that the services are needed. 

- A ‘Welcome Back' party was held on the 7[th ] October. The attendance figure was 50. This number included current members, members coming back for the first time since the first lockdown and those wishing to see what we offer. It was a great celebration organised by the staff with volunteers at hand to help and enjoyed by all. Great comments were received from the members who attended. It is hoped that there will be more events like this in the future. This was funded through a council grant of £250: because the council cancelled the Full of Life Fair again this year, they asked organisations working with the elderly to apply for funds to hold an event in-house. A representative from the council visited on the day to monitor use of funds given. 

- Joan expressed her gratitude that throughout the pandemic we have continued to receive grants from Richmond Council helping to cover our overheads and The Hampton Fund funding for our AVC’s post costs These have both helped with the shortfalls arising from not receiving funding from our regular sources, for example, members, local businesses, fundraising, donations etc. 

- Trustees continue to meet with council officers and their nominated architect, discussing all aspects of the new centre. Hopefully we will hear in November whether the plans have been approved, then the project can move forward to the next stage, which is a tender, when invited contractors will price for the works. There is still a long way to go, but it is hoped that the outcome will be a new Community Centre not only for our members but for community use 

## **5. The Adoption of Financial Statements for the year ended 31[st] March 2021** 

Everyone has received the accounts before the meeting. Joan thanked Sue for all her hard work with the accounts. Elizabeth Thompson proposed the adoption of the Financial Statements and Sue Read seconded this. All confirmed acceptance of the proposal. 

## **6. Election & Re-election of Trustees/Directors.** 

During the year Fiona Brennan and Jan Marriott have retired from the Trustees Board, so on behalf of the Trustees Joan thanked Fiona and Jan for their support during their time as Trustees.

All proposals were accepted by a show of hands. 

## **7. Election of the Independent Examiners.** 

It was proposed that David Howard Chartered Accountants, Weybridge Surrey are our Independent Examiners 

This was agreed by a show of hands. 

## **8. Confirmation of Custodian Trustees:** 

It was proposed that Maralyn Hutchinson and Joan Barnett continue as Custodian Trustees by Michael Hill and seconded by Sue Read. This was agreed by a show of hands. 



## **9. A.O.B.** 

- There was a discussion about how to encourage more members to return and to reassure them about safety. Christmas might be a very good opportunity. It would be a good time to reinstitute the Business Meeting to explore such possibilities further. 

- Joan finished by thanking the amazing volunteers who returned to Elleray Hall to support in providing services to members when the centre reopened. 

- She thanked the Trustees and staff for their continued support throughout the recent difficult periods and expressed the hope that we can look forward to a better year ahead. 

- In closing the meeting, she thanked everyone for taking the time to attend this meeting, showing support for Elleray Hall and she expressed appreciation of the opportunity to have a face-to-face meeting.

## **Chairman’s Report for the year ending 31[st] March 2022** 

The past year continued to be a challenge due to the unforeseen periods of further lockdowns due the Coronavirus  (Covid-19) pandemic. During these times Trustees, staff and volunteers continued to support members in several ways, they kept in touch by continuing our telephone befriending, sent regular newsletters and quizzes, and our tutors provided online exercise classes, sing-a-longs with Carl our choir master. 

When we reopened, we were delighted that an increasing number of members found their way back to Elleray Hall again, participating in the many activities they enjoyed prior to the Pandemic. Having said that we were aware that some members may have found that their physical and mental health had been detrimentally affected during lockdown and unfortunately this resulted in some being unable to return to the centre due to age, mobility, and these feelings of vulnerability. 

## **Centre Services** 

Finally in January 2022 life appeared to be returning to normal and we were able to welcome back our members and reopened five days a week, staff and volunteers worked tirelessly towards providing a full range of activities, our hairdressing and chiropodist services returned. New activities were introduced, a weekly current affairs group facilitated by a volunteer, funding from Active Richmond financial supported sessions in Gentle Relaxation, Calming Skills and Mindful Techniques for members. We also partnered with Teddington Jazz Appreciation Club who started to hold their monthly sessions occupying one of our rooms, our members were welcome to attend. Our much-valued lunchtime service returned, and we were able to provide members with a twocourse lunch. Staff arranged a few trips local out these included, a boat trip by Thames Boat Project, Hampton Court for a Sensory Visit, garden centres and pub lunches. 

We were delighted to welcome new users to our services which was a great indicator that ‘life was returning to normality’. 

We held a Welcome Back to Elleray Hall celebration funded by Full of Life Fair, offering members a morning craft activity, lunch, live music and sing-along and an afternoon cream tea. It was great opportunity to get members together again and enjoy each other’s company after the long periods of lockdown. 

For the first time in two years, we were able to offer a Christmas Lunch to our members. We offered a three-course lunch, a glass of wine, mince pies and tea in the afternoon, with cake to take home. A grand raffle, prizes donated by local businesses, Santo Grotto, where members could have their photos taken with Father Christmas. Entertainment provided by a Frank Sinatra tribute singer. It was good to see everyone enjoying themselves. 

During the year we were pleased to welcome back our regular hirers, and some new hirers were accommodated, which was encouraging as hirers play an important part in raising revenue to support the services we offer. We have a variety of organizations using the premises on a weekly basis, including ballet and stage schools, alcohol and drug addiction support groups, national childbirth trust, wayfarers cycling group, girl guides, pilates classes, monthly antique markets, and a taekwondo school. 

Local schools where also a great support to our members, students from Newlands House donated Easter gifts which were distributed to members by volunteers. Christ Church, New Malden and St Mary’s and St Peters C of E Primary Schools wrote Easter cards to every member. Also, local school children designed and wrote Christmas cards for the members, the cards where much appreciated by our members. It was a good community project for local young people to be involved in. 



In the past we have collaborated and hosted with ‘Churches Together Teddington’ to provide meals on Christmas Day, unfortunately, due to the outbreak of the Omicron variant the Christmas meals had to be delivered direct to people’s homes. Those people living on their own including some of our members who benefited from this service 

## **Trustees** 

Throughout the year we continued to hold Trustees Board and Business meetings, attended a Richmond AgeUk contract meeting, and continued to attend video meetings with Richmond and Wandsworth Project Officers and their nominated architects to discuss our new Social Centre. We look forward to this becoming a reality hopefully, in 2023 

Two Trustees retired during the year, Fiona Brennan and Jan Marriott, we thank them for their support throughout their time serving as our Trustees. 

Sadly, Terry Mc Dowell another of our Trustees passed away suddenly Christmas 2021. 

I am always appreciative of the time Trustees give in not only supporting me but the management of Elleray Hall Social Centre. 

## **Staff/Volunteers** 

The staff team at Elleray Hall has seen significant changes during the last year, Gillian Williams joined our staff team as Centre Manager, Sam Vaughnley as our activities and volunteer coordinator, and Fay Whittam, Centre Administrator. Majoly Keutchanso continued working as our cook. 

Volunteers played an important part in supporting members throughout the lockdown periods and then when Government regulations allowed us to reopen, they supported staff in getting our services back to normal. ‘Where would we have been without them’! 

## **Funding** 

We were fortunate that we continued to receive our quarterly grant from the Community Independent Living Service contract this helped us to cover staff costs and provided services to our users when the Centre was able to be open. 

Again, this year The Hampton Fund supported us by providing funds to cover the salary and oncosts attached to our activities and volunteer’s coordinator’s job. This post has become integral to our services to enable us to offer a wide range of activities to our members and offer voluntary work to the community. 

A stall at ‘Teddington Lighting Up’ manned by Estate Agents Chase, Buchanan raised £200 for us selling wooden house Christmas tree decorations make by Elleray Hall’s staff and volunteers, using recycled materials. 

Teddington Society funded the purchase of a defibrillator to be housed in Elleray Hall, we were grateful for this as an extra safeguard for users of the Centre and the community in general. 

In conclusion looking back over the year, the Trustees, staff, and volunteers showed great commitment to our members and services throughout difficult times to ensure they were able to return to a safe environment, thus giving them the opportunity to meet old friends and make new ones instead of being at home lonely and isolated. Their support was invaluable.
