STRUCTURE, GOVERNANCE AND MANAGEMENT

Schools and Universities Polo Association Limited (SUPA) is a company limited by guarantee and is a registered charity (1150236) and registered under the Companies Act (05491501). The liability of members in the event of the charity being wound up is limited to £1 each. The governing document is the Memorandum and Articles of Association and these are publicly available at Companies House.

SUPA enjoys a close relationship and are an associate member with the Hurlingham Polo Association (HPA), and a working relationship with International Federation of Polo (FIP), both governing bodies for the sport of polo in the UK and Worldwide respectively. SUPA has an affiliated relationship with Schools Alumni Polo Association (SAPA), a UK Limited Company under Guarantee.

The disruption caused by the COVID 19 pandemic necessitated the suspension of all operations during 2020. and provided time to develop our new website to be launched in June 2021. The Trustees supported by its stewards of SUPA carried out a budget review of the charity's activities in order to identify the major opportunities available to the charity and the risks to which it is exposed in 2021 and beyond. The organization has been adjusted to meet these new and forecast challenges of declining momentum in the sport and the impact of GDPR and Privacy initiatives post Brexit. SUPA is committed to Diversity and Inclusion and work has been undertaken to continue to develop an inclusive culture throughout the organization. In addition, a new sophisticated website was commissioned during the period and is due to be launched in June 2021.

The objects of SUPA, as set out in its governing document, is the provision or assistance in the provision of facilities to enable and encourage the playing of polo amongst children and young persons who are in full-time education at any school or university. This helps to ensure that due attention is given to the physical education and development of such persons as well as to the occupation and development of their minds.

We have referred to the guidance contained in The Charity Commission's general guidance on public benefit when reviewing our aims and objectives and in planning our future activities.

SUPA has grown systemically primarily by accessing the athletic infrastructure in place within the Independent Schools and Universities allowing these institutions to become a 'member' and provided access to the student-player. The absence of this infrastructure in the State School system has made access to the sport more of an individual pursuit of the student-player. The Trustees have set aside funds and placed as an objective: To provide easier access to SUPA activities amongst the State Schools (so called State School Initiative). To that end, and in cooperation with the Worshipful Company of Saddlers, SUPA has engaged the Ebony Riding Club of London to provide inner-city students with a polo riding experience within a creative learning programme.

Qualified academic institutions may apply for a discretionary annual grant. All grants are prioritized by the Stewards and passed over to the Trustees who make awards based on potential and merit. Start-up grants are occasionally awarded in advance of performance.

As outlined above, the organisation is staffed by volunteer operational and administrative personnel known as the Committee of Stewards. Each has a specific role and all report within committee through their Operating Committee Chairman who annually recommends operational procedures and budget processes. Approval for all financial and strategic matters is sought from the Board of Trustees which oversees and guides the charity's activities.

ACHIEVEMENTS AND PERFORMANCE

The Charity Commission granted SUPA charitable status in 2013. As a natural outcome of many years of SUPA activities and annual program of events, polo is finding its way into the extra-curricular activities of academic life across the UK. Funding received from donors and sponsors is recycled by SUPA via benefits to its member institutions to HPA qualified coaches, HPA clubs and their polo focused training facilities and livery yards, and more broadly those equestrian vendors supporting polo around the country. We depend on our growing list of private sponsors who help underwrite our prizes and offset operating costs which allow us to deliver “affordable” polo to our constituents. The financial multiplier effect of SUPA's funding and all donations serves as an effective mechanism to promote “access” and encourage polo within a broader community.

Lastly, the ethos of SUPA rests within the academic institutions who established SUPA in 1991 and which we continue to serve and support. Whilst SUPA's constituted purpose is to promote and develop polo and act as a central point of advice, guidance and encouragement through organised tournaments and representative teams, we have served as a catalyst amongst the participating, and non-participating academic institutions. Our

most important achievement has been to provide “affordable access” to the sport of polo, promote teamwork and enjoyment within and beyond our constituents.

On behalf of the Trustees and the Stewards, SUPA would like to acknowledge the fine efforts and results achieved by the many supporters, parents and teachers and hosting polo clubs, and the HPA for its continued confidence and support in the SUPA mandate since its inception.

A huge thanks to our sponsors, in order of seniority: HPA, Worshipful Company of Saddlers, RJ Polo, Polo Times, The Polo Magazine, Scimitar Sports, and BlackHound Sports, and finally and very importantly to our member institutions without whom our programmes could not reach the players we serve and provide access to this sport in the future.

PERSONNEL

With a view to our potential and agreed plans we have for 2021-22, SUPA must commend the Stewards for their forbearance and forward planning. SUPA is indeed blessed to have the dedication of such talented managers who volunteer to serve.

SUPA would like to thank Assembly Representatives Mrs. Gill Glimmerveen (Heathfield School) and Luke Sandys-Renton (Brighton) who continue to serve the committee. Also, to Committee Stewards Mrs. Caroline Grayson whose work on the new website will reap rewards, Mrs. Gill Glimmerveen for guiding the Ladies School Section, Nigel Mercer (Administration Officer and Universities Section); Mrs. Donna Stephens who serves the committee as Memberships Registrar and Hon. Secretary, and to Trustee and Steward James Kennedy (SUPA-Ireland) each and all for their enormous effort, depth of experience and committed enthusiasm. Our accountant, Mr. Rupert St. Clair Burton who made significant improvements in our operational accounting with this year’s annual accounts to his credit. Lastly, former member, Ms. Lydia Styler assists in administering our events which is a welcomed support and Mrs. Lavinia Black our Welfare Officer.

Lastly, and on behalf of the Trustees, David Meacher [Chairman]James Paton-Philip, Charles Betz, Hon. Jamie Douglas (Scotland), James Kennedy (Ireland) and the entire volunteer Committee of Stewards, a huge thanks to all OUR member-players to whom we entrust the future of British polo.

FINANCIAL REVIEW

The Trustees target level for free reserves is approximately six months of committed expenditure which would cover tournament costs for all sections if in the event of bad weather or other such factors these tournaments had to be cancelled.

SUPA had a quiet operating year with a small loss but retaining a healthy reserve and strong balance sheet. The Trustees awarded no grants due to COVID conditions. A sizeable capital investment on a new website and increased professional fees were incurred to prepare for a lifting of restrictions on our suspended polo operations.

SUPA hopes that through its successful operations and with its charitable status, it will be able to attract more donors either for specific purposes or to support the overall objectives of SUPA and incorporation of its affiliate, SAPA, and continue to be a successful provider of polo activities for a growing number of schools and university students in the UK.

Independent Examiners Report to the Trustees

I report to the trustees on my examination of the accounts of the charitable company for the year ended 31 July 2020.

Responsibilities and basis of report

As the charity Trustees, who are also directors for the purposes of company law, are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 ('the 2006 Act').

Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity's accounts carried out under section 145 of the Charities Act 2011 ('the 2011 Act'). In carrying out my examination I have followed the Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act.

Independent examiners statement

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. accounting records were not kept in respect of the Company as required by section 386 of the 2006 Act; or

  2. the accounts do not accord with those records; or

  3. the accounts do not comply with the requirements of section 396 of the 2006 Act other than any requirement that the accounts give a 'true and fair view' which is not a matter considered as part of an independent examination; or

  4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102).

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

1. Accounting Policies

Basis of accounting

The financial statements have been prepared under the historical cost convention, except for investments which are included at market value and the revaluation of certain fixed assets and in accordance with the Charities SORP (FRS 102) ‘Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2015)’, Financial Reporting Standard 102 the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102), and the Companies Act 2006.

Schools And Universities Polo Limited meets the definition of a public benefit entity under FRS 102. Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy note(s).
