## **TRUSTEES' REPORT**

## **FOR THE YEAR ENDED 31 MAY 2022**

## **Trustee Annual Report**

The new masjid is now operational with all day to day to activities running smoothly. We are moving closer to fully completing the first-floor main hall where we are due to hold weekly Friday prayers. We have recently fitted a state of the art ‘masalla’ carpet which has been praised from the local community and nationwide by numerous establishments. The AGM is due to be held soon after Ramadan this year, this will be a great opportunity to meet with our members face to face and receive feedback in order to collate ideas in how we can proceed with our future projects

## **Construction Update**

The remaining construction of the new Masjid has advanced rapidly this year and any remaining works needed are due within the next few months; the new trustees are working diligently to alleviate any previous issues due to industrial backlogs post covid-19.

Carpet – despite numerous attempts, the previous carpet manufacturer who installed the ground floor carpet in 2021 was unable to meet our deadlines and requirements. The general feedback from our members was to have a carpet which was more suitable for long term use with individual ‘masalla’ dome designs. Thankfully the new trustees visited and sourced the new carpet from a reputable manufacturer (Wilton Carpets) based in Salisbury at the cost of £37,944.00. This was a tailored made genuine Woven 12 Row High Pile Axminster, which we have been told is gold standard for carpets currently available in the UK. The carpet has received unanimous positive feedback from the community and beyond, in fact we have received numerous queries from mosques around the UK about sourcing the same carpet for their establishments.

Windows – The issue with the adequacy of the windows installed by Barton Windows has been appropriately resolved for the foreseeable future. Ian and his team spent a week in November 2022 and used a suitable vinyl around all the areas where the visible defects were, this was carried out to circumvent having all the affected windows replaced at this stage as other works took precedence in necessity and affordability. Barton windows agreed to carry out the remedial work at no extra cost to the masjid.

Kitchen- the masjid has purchased various equipment for the new kitchen over the previous few months. These items include a commercial grade Fridge, Microwave and a dedicated 6 hob gas cooker. We have also installed some custom-made stainless steel storage units, portable trolleys and trays for utensils & pots. These purchases have proven to be an important investment as hot food is served to approx. 100 people on our weekly Sunday gatherings, and even more during various special occasions.

Chandelier – The chandelier for the main hall on the first floor was assembled and installed in July 2022, The state of the art modern chandelier took around a week to assemble with the aid of dozens of local volunteers who worked tirelessly to help assemble this. We cannot thank enough for the time and support the local members gave otherwise it would have taken many weeks to assemble.

## **TRUSTEES' REPORT**

## **FOR THE YEAR ENDED 31 MAY 2022**

Roof/dome – Due to the ongoing leak in the dome which remained unresolved, the new trustees ordered for a wider investigation. Geoshield carried out a ELD test and integrity report which showed multiple ingress points on the roof itself. A long life liquid rubber waterproof sealant has been used to fix this. There remains one small area of leakage in the dome for which GRP (dome company) have provided a solution which will include a full re paint, resealing with new cover strips over the joints between segments of the entire dome. These works are due to begin in the coming weeks.

Air conditioning/ventilation – The condenser issue has been resolved and the air conditioning is now fully operational on the ground floor. There is an ongoing issue with the 1[st] floor main hall ventilation system which is seemingly giving no cold or warm air. EP Refrigeration is currently working to resolve this problem and another visit is scheduled this month.

Other construction items – The remaining internal doors have arrived, including the disabled WC, New set of locks /handles on all doors as well calligraphic designed vinyl’s have been installed on all ground floor doors. Signs for the wudu areas, toilets, shoes and main masjid sign have been installed; few remaining signs remaining are in production. The ablution area has had new heronrib slipresistant mats installed; this has improved the safety concerns of our attendees when making wudu. The marble costing £13,038.00 (for the 3 stair cases and landings) have been made to order and have now arrived pending installation, we are working on a suitable set of dates for installation to avoid disturbance to worshippers during Ramadan.

## **Charitable activities**

The masjid has decided to re-open monthly Friday prayer collections for other reputable charities and humanitarian causes. Notably £2,400 was raised for the floods in Pakistan in July 2022, many of our members who have families in Pakistan experienced first-hand the damaging effects of the flooding. More recently the Earthquake in Turkey/Syria earlier this year, our community came together and raised a mammoth £11,250 which was spent towards the order and delivery of sleeping bags in the worst affected areas in Turkey/Syria via Muslim Hands. The director of Muslim Hands charity visited Stoke on Trent on 17[th] February who met and thanked our management team in person.

We appreciate the kindness and support of our community and members who came together during these challenging times for those affected.

## **Education and Imams Update**

We currently employ 3 male teachers and 3 female teachers and have 206 students on the last count in January 2023 (increased from 164 last year). We are pleased to see many students returning to our madrassa which presents a commendable recovery since the loss of students (due to lack of face to face teaching) during the covid-19 pandemic. Numerous administrative changes have been made which has streamlined the day to day teaching including progress reports, updated registers /fees collection records, attendance and student of the month rewards etc, we are looking to employ another male teacher in the future as the number of students continue to grow

Madani Qaida is being taught for beginners moving on to reciting Qur’aan with Tajweed. Hifz class is continued to be taught by Mufti Rizwan with some students now attending additional hours to enhance their memorization. We have also introduced free Urdu language classes for boys in August 2022 and recently also for girls in February 2023.

The foundation course was relaunched as the ‘Islamic essentials course’. This course has been restructured in a format that is more visually engaging and helps students to understand the fundamentals of Islam with clarity and in line with modern learning techniques via the As-Siraat: Guidance through inspiration” essentials textbooks. The course attracted over 40 enrolments in September 2022, including members from outside the local area.

We employ 2 full time Imams, Maulana Manzoor Rabbani and Mufti Rizwan . Mufti Rizwan sahib joined the masjid April 2021. Mufti Rizwan continues to deliver lectures on practical issues in Fiqh/Aqeedah every Sunday after Maghrib and provides Dars-e-Qur’aan after Fajr on a daily basis. Imam Assad Hussain (who is also a teacher) delivers English speeches every Friday in order to engage with all members of our community.

## **Financial Outlook**

We have reduced our annual membership fee from £240 to £120, especially as majority of the new masjid is now complete. The decision was also made in the interest of the membership following the feedback from the previous AGM. By reducing the amount, we seek to invite younger members to join and be mindful of the current national cost of living crisis our members may be experiencing.

Funds will be required for the first masjid renovation project, which has been put on hold for now until we receive further funds. This will include updating the building internally and externally. There has also been a leak with some internal damage in the Nursery building which also needs resolving. We are currently reviewing the future of that building and how we can move forward and provide more facilities for our growing local community.

## **TRUSTEES' REPORT (CONTINUED)**

## **FOR THE YEAR ENDED 31 MAY 2022**

Donation boxes are installed in the lobby of the main entrance with bucket collections made every Friday. The masjid continues to take card payments to make it easier for our members and attendees to donate. We are looking to expand this facility by installing contactless donation points around the new masjid.

We would like to thank all our members for their continued support during these economically challenging times.

## **INDEPENDENT EXAMINER’S REPORT**

## **FOR THE YEAR ENDED 31 MAY 2022**

I report on the accounts of the charity for the year ended 31 May 2022, which are set out on pages 9 – 13.

## **Respective Responsibilities of Trustees and Examiner**

The Trustees are responsible for the preparation of the accounts. The Trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an Independent Examination is needed. The charity’s gross income does exceed £250,000, however the gross assets remain under £3.26 million. I am qualified to undertake the examination by being a qualified member of ICAEW.

Having satisfied myself that the charity is not subject to audit and is eligible for independent examination, it is my responsibility to:

- Examine the accounts under section 145 of the 2011 Act.

- To following the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act

- To state whether particular matters have come to my attention.

## **Basis of Independent Examiner’s Report**

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’, and the report is limited to those matters set out in the statement below.

## **Independent Examiner’s Statement**

In connection with my examination, no matter has come to my attention:

(1) Which gives me reasonable cause to believe that in any material respect the requirements:

   - To keep accounting records in accordance with section 386 of the Companies Act 2006

- To prepare accounts which accord with the accounting records, comply with the accounting requirements of section 396 of the Companies Act 2006 and with the methods and principles of the Statement of Recommended Practice: Accounting and Reporting by Charities

- Have not been met; or

(2) To which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

## **7. EMPLOYEES AND DIRECTORS**

The average monthly number of employees during the year was 13 (2021 - 14)

## **8. TRUSTEES**

None of the trustees (or any persons connected with them) received any remuneration during the year.

12

## **9. PRIOR YEAR ADJUSTMENT**

A prior year adjustment was made in the 31 May 2021 accounts to correct the level of donations received in 2019 and 2020. Monies transferred from the deposit account were incorrectly recorded as income. The Trustees are confident that this was a unique and genuine bookkeeping oversight and that the charity was and continues to be strongly solvent.
