Annual General Meeting of Mytholmroyd Scout Group 14th June 2021 at 7pm via Zoom AGENDA
- 1) Welcome: Our chairman, Scott Trickett welcomed the participants. He thanked the leaders,
committee and volunteers for their commitment during the Covid pandemic. Scout activities have restarted, this involves risk assessments and a considerable workload. Fundraising has been curtailed but we have made the best of a difficult situation.

- 2) Minutes: The minutes of the 2020 AGM have been made available via email and to save time will be taken as read and approved unless any objection is raised. No objections, approval proposed by Scott Trickett, seconded by Carole Greensmith
3) Group Report: Keith Rawnsley.
AGM Group Report 2021 I have been Scouting a long time and I thought we’d seen it all with the floods, but the Pandemic has far superseded the impact it has had on the Group throughout all sections. All Sections have reduced numbers, it’s a combination of changing guidelines we have had to follow along with the uncertainly. I’m not specifically going to mention each section, but just to say well done to all the leaders, keep going and keep that smile, it will get harder before it gets easier. No Camps or major activities have taken place, but the Expeditions are taking shape. Leader Training;there has been both safety training and GDPR training plus First Aid training this year and we need to encourage those who either need to start or complete their leader training. Mini Buses;we have taken the buses off the road as the covid restrictions limit the use, but again hopefully we will have them back up and in use shortly. Looking forward;there is still uncertainty but let’s hope we are over the worst, and move forward once again. We have been successful with a few grant applications, so we should see an improvement in the garage. We couldn’t function as a group without the help and support I receive from the Leaders and the group committee. I’d struggle to function without Kath Ball doing the work she does behind the scenes, with compass and DBS’s but what we need is more from parents, by giving a little, be it fund raising, being on the Group Committee, helping a section, you can make a difference.
- 4) Section Reports: Beavers: Carole Greensmith
Beaver Report 2020/21 It has been a strange year! Because of the pandemic we have had to change many of our practices and have had to introduce many guidelines set by the Scout Association nationally in order to keep ourselves safe – including stopping our weekly meetings and moving online. We have tried to encourage our Beavers to complete badge work online and many of them did. We also invested two new Beavers online, which seemed to go well. When we were finally allowed to come back together, we only had four beavers come back, so we have had to build up the Beaver colony again. We now have sixteen Beavers and we have invested all of them, which is fantastic. Due to the continuing restrictions, although we can now meet as a Colony, we have had to be very careful and this has meant that we have not always been able to play
the games we used to play, because of social distancing. We have had to rethink how we do things and that has not always been easy. The Beavers have, however, taken it all in their stride and they have been fantastic to be with - they have accepted everything that has been thrown at them. We have two Beavers going up into Cubs and it has been great having our first girl Beaver: we look forward to having more girls in Beavers. We have managed to complete two badges with our Beavers this term, the gardening badge and the sports badge. It feels occasionally as if we have a whole new Beaver colony and that has proved at times quite challenging and daunting because of all of the restrictions we have had to follow. Sophie Foster (Assistant Beaver Leader) has been a godsend, always positive and full of ideas: if it had not been for her support, I don’t know whether we would still have a Beaver colony. I would like to say a huge thank you to her. I also want to thank my husband David for all of his help and support, he does a mean risk assessment. I would also like to thank Sophie who came to us initially as part of the volunteering element of her D of E and returned because she enjoyed helping at Beavers so much. I would also like to thank Eleanor Dale for her help and support as a volunteer: she attends every week and is a great help. We have a new Explorer Scout helper, Ravi, who has recently joined us, again as part of his D of E. He will be with us for twelve months and has fitted well into our small group. We do continue to need more people to come forward to be leaders and we would welcome new volunteers to become leaders.
Cubs: Julie Harris, via email, read by Eleanor Dale. Cub Report October 2020 – July 2021 After a winter with no face-to-face Cubs we eventually resumed our meetings after Easter. We kept our Cubs supplied with ideas of things to do, encouraged them to do badges at home if possible and shared resources from the Scout Association. Most of our cubs returned (just one deciding not to.) We started the term with 14 cubs (we’d moved some on to Scouts and received some from Beavers.). Unfortunately, Sally was unable to continue as a leader due to personal reasons so we have continued since with me as the only uniformed leader plus 3 fantastic Explorer helpers (Dylan, Ryan, and Oscar) and the same 4 adult helpers (Eleanor, Alan, Sandrine and Carolyne). It’s working well but it would be good to have another uniformed leader to share the planning and organising with, especially with the new requirement for written risk assessments for every activity! Since getting back to face-to-face meetings we have worked towards many badges including Emergency Aid, Navigator, Skills Challenge, Pioneering, Naturalist and Athletics. We currently have 13 Cubs and I’ll probably be asking for some from the waiting list once I’ve worked out how many will be moving on to Scouts or coming up from Beavers and seen what advice we receive from TSA re Covid security going forward from next week.
Scouts: Keith Rawnsley.
Scout Troop 2021 We have 23 Scouts at present, the Troop is very fortunate to be able to call on lots of leaders but with work commitments we need this number to run the programmes and activities we do. We have also now lost Alex who has moved away with work but gained Stephen Carter Woodhead. We have not managed to do any activities other than Friday nights and the meetings outside were difficult when we could hold them. The lockdown meant we did lose some Scouts for various reasons. We now have the challenge of 50% of the Troop not being invested and very low skill levels so work will continue over the summer to bring this back. We have managed to award 4 Chief Scouts Gold awards, but the badges are certainly down with having such a restricted programme. Remember Hands Face and space, Scouting is different to school
and we have to abide with scout rules, which are different to School. Thanks to all the Leaders David’s 2 & 3, Geraint, Billy, Sam, Andrew, Sam, Alex, Tom, Ralph, Brian, Stephen, then there are others who help, Nigel and the older Explorers
Explorers: Piers Cross
Explorers AGM Report 2020-21 • Explorers started to meet again face to face in August 2020 post lockdown. • Due to regulations, we were limited in what we could do • We alternated over the next 6 months between night walking, playing games and having a fire in the woods. • During the Winter lockdown we kept meeting online where we played games and also planned the DofE practice hikes. • The hikes went ahead successfully in April and May 2021 for the 2 Bronze and 1 Gold groups. • Over the past few months Explorers have eased back into a more regular routine with bivvy night, first aid and more DofE planning for this Summer's expeditions. • A big thanks to all the young people, and the leaders for their support in what was for many a challenging last year.
5) Treasurer’s Report: David McMurdo Over the past 12 months subscriptions have been reduced by 56%. Last year fundraising raised £6,500, this year £500. This has been offset by reduced expenditure, for example on motor costs and a grant from the Scout Association.
We have successfully applied for grants from the Community Foundation for Calderdale from the Flood Repair and Flood Resilience Funds. These must be used for painting the Scout room and equipment to reduce condensation. Our financial target for the future is to raise enough to fund a replacement minibus.
Set subscriptions: Kath Ball
Kath reported that subscriptions are considerably reduced. She thanked those who continued to support the Group. She warned that Gift Aid will be reduced next year. KR suggested that subscriptions should remain at the current level, DMcM agreed.
Scott Trickett proposed that subscription levels should remain the same for the next 12 months. Kath Ball seconded the motion. Agreement, via a show of hands was unanimous among all who attended the meeting.

Representatives for each section:
Beavers, Cubs, Scouts and Explorers will continue to be represented by the section leaders. No parents have volunteered for this role. We would welcome any volunteers for the executive committee or as section leaders.
Fundraising Representative: Has lapsed during the pandemic, discussed reforming of the “Bonus Ball” fundraiser.
Quartermaster: The Explorers perform this role.
Safety Representative: Safety and Safeguarding is a standing item on the agenda at monthly committee meetings.
Committee Members: No new volunteers came forward
- 7) Any Other Business: ST formally thanked all the organisations and individuals who have given financial or practical support in the past year. The District Commissioner, Peter Whitworth, joined the meeting via Zoom. He praised Mytholmroyd Scout Group for its resilience during the pandemic and ability to “bounce back” to a greater extent than many groups. The next international jamboree will be held in South Korea, selection will be taking place soon and cost will be similar to the last jamboree.
