Minutes of the 14th Annual General meeting of The Northampton Musical Theatre Company Held at Northampton Active on Monday November 24th 2025 Present on separate sheet. Apologies on separate sheet. Chairmans report.....Attached Treasurers Report....Attached all to follow Business managers Report....Atta¢hed To Elect New Committee members Janice Hilton { chair) has agreed to stsnd for a further three years and was approved by Mindy Robinson and seconded by Becky Woodham Jay Upton ( fundraising manager) has agreed to re stand for a further 3 years and was approved by Jayne Minter- Maryan and seconded by Dawn King. David Routledge and Katy Batchelor, co opted onto the committee in 2024 were approved by the committee as full time serving members . Fiona Luck and Andrew Percival have stepped down from the committee. Only one member expressed interest in joining the committee, therefore Jo Rodgers was approved by Mark Maryan and seconde(I by Dan Hodson. Any Other Business Several members asked of the viability of The May Concert being at The Royal Theatre instead of The Cripps as marketing would be easier. David explained that cast numbers at Royal would be severely restrained due to space. It was also suggested that the performance dates be changed to allow members who are teachers to book holidays in school holidays and therefore still be able to be involved. David explained that as a teacher himself he can only commit to directing the concert rf it is perfomied in school holiday time. Some members asked if there would be last minute £10 tickets for further shows. Kathryn explained that while this is popular and was a last minute life saver for opening night for Jesus Chris Superstar, the committee had decided it would be detrimental going forward as audience would wail for reductions and not buy tickets early on. Earl bird deals will be discussed with Derngate. going forward. Mark Maryan was asked to put together a talk to explain the benefit of sponsorship and indude the youth group. he asked if we could indude in our programmes words to suggest legacies and donations.

Kathryn agreed. Jay was asked to put together a diary of fundraising events. She has already begun a social calendar and this will go out to members as soon as possible. However, also expressed the need for more members support with ideas and organising. One member asked if we could have more posters and flyers to advertise our shows and singers concerts. Kathryn explained that the cost of producing them was sometimes counter productive. Members would however be encouraged to advertise digitally on social media platforms. The committee were asked lo consider 'relaxed" performances. Janice replied that this has already been discussed with Derngate and will certainly be considered in the future. Janice thanked Peter Phipps accountants for their ongoing support with our financial reports. Meeting concluded at 9 05 pm.

Chairmans report. 2025 FirstlyAGMs are the past year not whats to come. Lets look back to Footloose. What a wonderful show a fun packed opportunity for the younger members of the companyto shine. ( your all young compared to me.!) It was well received by all that came, but it was a hard sell and unfortunately a loss was made. We need more bums on seats. The youth production was once more a professional show and thanks must go to Katy for once again pulling out alL the stops and giving these young people a wonderful experience. Good to see those that are now too old to be in thenyouth in the main company. Then straight into the concert which everyone enjoys I think about 70 people performed and it is the best way of providing alL out members with the opportunity to perform and have fun. Thank you to David for his calm direction and organisation. For all of this we must thank Rod as Musical director and his continued support. Sadly we said a final farewell to Nannette who has been a very faithful member for 50 years, performing front of house. Officer of NODA and then as a life member.ln the Last fewyears she became a bit of a recluse and we must thank Andrew for he continued to offer her help right up to the end. On behalf of the company a special thank you. Then onto the main show, not a day to bhreathe before we were into auditions. I will endeavour for that not to happen again. 111 In June we appealed for anyone with marketing experience to come to a meeting to help us promote JCS. Not many peopLe came. but when we appealed for help when only 23 people had booked for the Tuesday and there was only 5 weeks to go. We had a fabulous uptake on all sorts of social media , a lesson learnt we need to be on this from the beginning. This is something we need to address and perhaps anyone willing to form a sub committee to address this problem Let me know. I feel that un less you are one of the faithful and come to the AGM members are not aware of the hard work that goes into a show or the expense. Jesus Christ Superstar was indeed a very professional show comments like better than the west end by people who had no ties to the companywas what I was hearing in the foyer.

I think itwill be hard to top. A shame that it did not sellwell and l am surewe will make another loss on this show. So with that in mind we have secured a funny and light hearted good feel show for next year. ELF the musical. and although the doubting amongst US feel its too early for Christmas, I feel that we are bombarded with Christmas from September onwards and because it is funny and most people know the film fingers crossed it will be well received. This brings me on nicelyto thank all committee membersfor their hard work and dedication. its not easy being on the committee and having to make so many choices And decisions but everyone works very hard and I want to thank each and everyone of you. Special thanks must go to Fiona and Andrew, who are stepping down from the committee and I hope that we can calL upon them occasionally for heLp if they would be willing. The company has now grown to such an extent tnat we must alL be prepared to help whenever help is asked for, the concert a, the youth and the main show. Fund raising is so important for everyone to support to help make up the losses we make from the shows. You knowyourselves everything is going up and that also means room hire scenery. sound lighting Derngate's costs. Finally I must pay a heartfelt tribute to the sad news of our President CLiff Biltings passing. aptly on the opening night. He had been a member, leading man numerous times committee member Chairman and finally President for 68years. He spoke about the company alL over the countyand often went singingto alL sorts of groups. He periodically rang me up to say he felt useLess and not abLe to contribute so he wanted to hand in his resignation. I told him thatto be president it was for life I guess now we have to put our heads together to think of someone to replace him . I thinkthis is goingto be impossible for his dedication and commitment I don'tthink can be replaced. Our love and thoughts go to Jean and his famiLy at this sad time. Now notwishing ot finish on a sad note from the bottom of my heart I wishyou all and your families a very happy Christmas and a full and busy New year. Business Mana ers Re 0rt- 2025 As already reiterated in other reports, once again we have received accolades for fantastic productions of 'Beauty and the Beast, (Cripps Theatre) performed by the Youth Society and directed by Katy Batchelor, the annual concert 'Jet Set, (Royal Theatre) under the helm of David Routledge and the show 'Jesus Christ Superstar, directed by Martyn Knight (Derngate). We continue to maintain a very strong and growing membership to the Company across our 3 different groups with over 96 paid up members. We are now also one of the oldest Musical Theatre Companies - starting in 1898 and looking forward to our 130th birthday in 2028. Our plans are coming together for the future and we already have a great set of shows- School of Rock (Youth Society in collaboration with NMPAT Band led by Faye Laurie), Elf and That Musical Feeling all booked into theatres for 2026. The contract for Elf is through, and we are working with Derngate to get this on sale just after Christmas. We have listened to members opinions about ticket prices and we hope that these will not be increased next year, and there will be a children's concession available. David, once again has all the concert organisation in hand and the concert auditions alongside our new members will be in held in January 2026. He will happily answer any questions regarding this in the AOB section. We do have shows and plans pencilled in for 2027 and 2028, but we are just agreeing licenses and need to monitor the financial viability for the possibility of these ideas. The NMTC Singers section have several concerts booked into their calendars- all advertised on our Facebook page- so lots to support, attend and get involved with. Jo Pusey continues to do a fantastic (and not easy job) of monitoring all the monies being deposited into the NMTC Accounts. The purchase of our own card reader systems (whilst an extra headache to itemise) have seen a benefit to the group meaning we can use them for a variety of reasons including fundraising, tickets and purchasing of programmes. Costs continue to increase for all areas of our business, and we will look at trying to keep costs as much as we can to minimise rises, but we are facing increased costs in printing, advertising, salaries

and hire of facilities so members support with concerts, fundraising activities is vital as every little helps. Since last year we have investigated several options to increase our management of advertising and publicity. We have met with professional marketing agencies (where costs for this would just be too financially burdening) and therefore we have relied on the support of cast members for publicity - Luke (for Footloose) Serena, Adam, Matt, Fiona and Casey over the past year. We are aware of the need for a permanent solution to our marketing strategy and we continue to visit different options to support this. Many thanks have already been expressed but also go to a few people who have kindly supported us this year: those who have given up time to volunteer front of house at our performances helping to sell programmes and raffle tickets and attend our shows. Mark Maryan for his work in generating income through sponsorship channels and for liaising with programme advertisers. These include: Mace, Stanair, CMC, Gee7 Wealth Management, Franklins Solicitors, The Vaccination Centre c/0 Hannah Taylor & Cynthia Spencer. Andrew Percival and Jay Upton for organising front of house and fundraising socials and events, Next year our Business Priorities include: Marketing Strategy, Website and Communications, Investigate further availability of Grants, New logo, plans and socials for our 130th year. Footloose Ticket sales were rnuch lower for this show at £46.102.00 cornpared to £75,872.99 for Kinky Boots in 2023. Well done and thank you to everyone involved. Unfortunately, whilst the Profft & Loss Account shows a loss of £11,475.38, we did also pay £600.00 for scenery, £1,200.00 for the rights. £771.97 for the score hire and £81.38 for the Fooljoose logo pack In the Previous flnancial year so the totsl loss for this show is much higher at £14,128.73.

West End Now This show made £8,187.68 in licket sales. raised £380.00 in show fees (in this financial year). £1,000.00 from programme adverts. £152.00 frcttn the sale of the programme itself and £142.00 from the sale of t shirts and hoodtes. As a resulL on paper, the Sl￿W appears to have made a profft of £5,160.96. Thosè of you that have re4ead my rewt from last ypar though may remember that we were carrying a small loss of £888.38 as the show stradded iwo financial years. but even wilh this loss. the show ended up making a profrt of £4.272.5B. The Revenue Account sets (￿rt the COmpan￿S other income and expendilure. As previous stated. we now separate out the membershi) fees from the sh(hv fees so the payment received PRre only includes the £40.(Kl annual f￿ that all adult members pay whith totals £3.485.00. The &ngers raised a further £3.090.￿3 and would also have conlributed £40.00 each towards the £3,485.W total. There is no separate membership fee for the Youth. In relation to Expendtture, I would comment as follows: Our usual expenses include our insurance (£568.30), NODA subs (£245.00), website and email addresses (£277.34) and the Companies House feas (£34.00>. We made a number of payments towards the Jesus Christ Superstar scenery (£600.00> and rights {£750.00), the School of Rock rights (£570.00) and towards Jet Set for backing tracks {£102.72) and room hire (£750.00). A total of £4,097.50 was spent on the NMTC Slngers, Musical Director and pianist. U&mh•rohl F•*0 At last yearfs AGM, I reported that the cost of hiring Northampton Active was Increasing from £675.00 to £750.00. Unfortunately this appears to be an annual increase and we have been infomied that from 1 DeGember, the hire charge will increase yet again to £825.00. In order to ty and offset some of the Cost of thls, we are proposing to increase the fee for the May production from £45.00 to £50.00 and the October show from £90.00 to £100.00. We will continue to allow this to be paid in instalments as before. The cost of The Singers will increase to £100.00 from £80.00 and the show foe for the Youth Society would also increase to £100.00 plus their £20.00 costume fee. All adult members will still be required to pay the annual membership fee which will also be increasing from £40.1)O to £45.00.
